Pinergy Smart Business Sales Process – Module 4This module outlines the steps around presentation for the customer, payment structure, contracts,supplemental T&Cs, tablet contract signups, taking meter reads and tracking the sale.1. Proposal PresentationAll Pinergy Smart Business Proposals(presentations) should be on Sharepoint on SharedDocuments/Pinergy Smart Business/Sales/Presentations. It is worth spending some time researchingthe customer to add some customer specific information into the presentation e.g. what the customer isfocussed on, their branding and KPI information.The presentation will include details of the metering solution and pricing information.2. Payment StructureEnquire from the customer if they have more than one site and if they want to pay for all of their sitesusing the one payment account (and DD) or do they want a payment account (and DD) per site? Acontract needs to be created for each payment account. Ask the customer what re-occurring date isrequired for each DD. The dates can be 15th or 28th of the month. Record the DD date details and numberof DD mandates created in Shared Documents/Pinergy Smart Business/Customer Sites/CustomerAccount Name/Sales as Customer Account Name DD Information. Provide this information to finance byemail.3. Supplemental T&CsShared Documents/Pinergy Smart Business/Sales/Terms and Conditions holds general andsupplemental T&Cs templates for managed budget and managed credit. The general T&Cs areappended to the contract. The supplemental T&Cs need to be filled out for each customer and presentedfor signing and once signed, stored in Shared Documents/Pinergy Smart Business/CustomerSites/Customer Account Name/Sales as Supplemental T&Cs – Customer Account Name.Note: While waiting for 3 phase meters, please complete the Generic Supplemental TandCs forManaged Budget Customers awating 3Phase Meter 20180221 in Shared Documents/Pinergy SmartBusiness/Customer Sites/Customer Account Name/Sales/Terms and Conditions.Sales Process for Pinergy Smart Business V1.0 Module 4 Page 1 of 7

4. How to use Adobe Reader on Ipad to complete a contractThe contract is currently in writable PDF format and should be opened using Adobe Acrobat Reader on atablet. To start a new Pinergy Smart Business contract on the iPad, open Safari and connect toSharepoint. 1. Go to Pinergy Smart Business/Sales/Managed Service Supply Agreement. 2. Open up the agreement and click on the download option circled below.3. Once you click on the downloaded agreement it will bring you straight into adobe reader4. Here you will be able to fill out the form and apply a signatureSales Process for Pinergy Smart Business V1.0 Module 4 Page 2 of 7

5. To get the signature click on the options which are circled below6. Once you have clicked on them it will ask you to put in a signature as seen below and click done.7. You will then be able to place that signature anywhere on the form by dragging the image of the signature to where you need it. 8. Once you have completed the form, click out of it and it should save automatically9. To upload the document, go to SharePoint on your internet browser on the tablet10. From SharePoint, upload the contract document to Shared Documents/Pinergy Smart Business/Customer Sites/”Customer Name”/Sales11. Double click on upload and it should bring up the options in the screenshot below.12. Select browse and select On My Ipad->adobe acrobat.13. Once in the adobe acrobat folder, select the file you wish to upload14. Once you have selected it, it will begin to upload.Sales Process for Pinergy Smart Business V1.0 Module 4 Page 4 of 7

15. Check the contract has been uploaded successfully and then delete it from your iPad.5. Completing the ContractNote: 1 meter is supplied for every 25K usage as part of the contract. Extra meters that are required cost37c.The contract template can be found in Pinergy Smart Business/Sales and is called Pinergy ServicesSupply Agreement Form.The following information needs to be entered into the contract:1. MPRN, DG MCC, whether Day/Night or 24Hr, EP (Essential Plant which means supply is critical) per meter required2. Contact details for who is most frequently contacted for access to the site etc.3. 5. Tariff details that MUST be pre-agreed with Tadhg6. Managed Services – Smart Business, Smart Portfolio, Smart Agro7. Managed Account – Managed Credit or Managed Budget8. Monthly Direct Debit Amount – Budget amount that will be deducted by direct debit each month.9. Deposit Payment – How is the deposit paid?10. Top Up Payment (Managed Credit Only) - value that the customer's account is debited by if the meter is about to run out of credit. This payment will be a direct debit transaction.11. Date the contract is effective from12. How many extra meters are required13. Complete the Direct Debit Mandate by clicking on the link. Until the Direct Debit Mandate form is changed to include the company name and re-occurring date, please ask the customer to enter the company name in the reference field at the end of the form. Ask the customer when they want to have their direct debits occurring each month – either 15th or 28th of the month. Notify finance of this by email.14. Complete both customer signature. Use the Fill & Sign function on the right-hand side to sign.15. Complete both agent signature. Use the Fill & Sign function on the right-hand side to sign.Save the contract with the customer's name in it e.g. Pinergy Services Supply Agreement – Berman &Wallace. Upload the contract to Pinergy Smart Business/Customer Sites/Customer AccountName/Sales in SharePoint.6. Taking Meter ReadsA reading from each of the customers existing meters needs to be taken at the time of signing thecontract. Details of each reading must be emailed to operations to request the customer comes ontoPinergy supply. This is required to send the market messages to ESB networks so that they can performthe switch.The sales person must also take a picture of each meter and store them in Pinergy SmartBusiness/Customer Sites/Customer Account Name/Sales in SharePoint.7. Tracking the saleThe Sales Pipeline Analysis spreadsheet should be kept up to date for each stage of the sale. There is aheading for each stage and an ‘X’ needs to be put into the cell to mark that this piece of the sales processhas been completed. The different stages are: Qualification – does this lead qualify to proceed? Introduction – Has an introduction taken place with the customer (by phone, email or in person) Proposal – Has a proposal presentation been presented to the customer? Acceptance - Does the customer accept the Pinergy Smart Business offering? Survey Started – Has the survey of the site(s) started? Survey Completed – Has the survey completed and passed? Contract Signed – Has the contract been signed? Installation – Has the meter(s) been installed? Operation – Is the site in operation?There are 2 other fields there that are used for customers waiting on a 3 phase meter but are comingonto Pinergy supply in the meantime. The following information needs to be captured regarding this: Date on Pinergy Supply while waiting for 3 phase meterSales Process for Pinergy Smart Business V1.0 Module 4 Page 6 of 7
