December 2015Thankful Thoughts from the Desk of Teresa Cunningham-Brown Issue 1 Volume 2 Chief Human Resources OfficerWe all have so much to be thankful for, much of it very personal I am sure; nonetheless, my thank you tostaff is related to our purpose here—working to support students, teachers, principals and othereducators in advancing educational excellence for all students. So, I’ll focus on three groups I’d like tocelebrate.First, thanks to all of you who speak up when you see opportunities for improvements and innovation,instead of saying “It’s not my job,” or “What can I do?” Thanks for speaking up frankly and honestlyand with respect when others seem to be sitting on their hands or holding their breath. When you shareyour ideas, you make it safe for others to be innovative and creative too.Second, thanks to those of you who use your innate abilities and skills to promote positive changes. Weare a small school district, but thanks to each of you for creating safe and supportive learningenvironments for our children. I witness you impacting the lives of students and changing lives throughyour strong work ethic; effective teaching, mentoring and coaching; and by supporting teachers andschool-based administrators across the district. Thanks!Finally, I want to thank all of you who help Human Resources in our efforts to stay the course. When weimprove relationships everything improves. Your passion for what you do keeps our team motivated; butmost importantly, your candid feedback and critical friend conversations are absolutely essential. 2Continuing Education Units (CEUs) Holiday ScheduleAs you complete OCSTORM evaluations or submit professional developmentcertificates for entry into your Continuing Education Report (CEU), please reviewyour CEU report to make sure all your professional development activity is posted toyour report. You should also review the report in preparation for licensure renewal.To access your CEU report through the Staff section of the website:Staff > Human Resources > Licensure > CEU Access > Enter SSN > LookupUID#With the increasing number of programs requiring you to enter your UID# to accessthe programs, you can view your UID # through the Staff section of the website.The number will appear in bold under your Social Security Number. (Note: thisinformation is also on the CEU report)Staff > Under “Quick Links” select UID# Access Leave BalancesIf you transferred to Orange County Schools from another NC school system, please review the leave balance section of your paystub. This information is requested from your previous NC school system. Once received, is posted to your leave balance account.Temporary Terminating ContractsThe Human Resources Department is in receipt of multiple Temporary Terminating Contracts for services starting prior to the date thatthe temporary/terminating contract has been approved by the Board. It is the expectation that the temporary contract is received in theHuman Resources Department with all completed signatures by 3:00 p.m. Tuesday before the Board meeting. The Board is responsiblefor final review and approval. Also note that non-employee contracts require that we complete a criminal background check and receiveemployment documents prior to including the contract on the Board report for approval. Below is information that will assist you indetermining when future recommendations are due to Human Resources.Temporary Contract Process:All Temporary contracts must be received, processed and approved by the Board prior to the start date of the contractSubmit Temporary Contract along with required new hire documents (available on the website) for all non-employees to Human Resourcesfor review and signatures (principal/supervisor, CAO, COO, CCO, CTO)Human Resources verifies employment status: o If current employee, no action is required regarding completing additional new hire documents o If not a current employee, make sure all required hire documents are attached to temporary contract Human Resources conducts the background check on all new employeesHuman Resources submits temporary contract to Finance for pre-auditing and signature from Finance OfficerFinance returns approved temporary contract to Human Resources to be placed on the Board reportHuman Resources copies and prepares contracts for the next Board meeting Board Meetings Due Dates to HR with ALL Signatures 12/14/2015 12/08/2015 1/11/2016 1/05/2016 1/25/2016 1/19/2016 2/8/2016 2/02/2016 2/22/2016 2/16/2016 3/7/2016 3/01/2016 3/21/2016 3/15/2016 4/13/2016 4/05/2016 4/25/2016 4/19/2016 5/9/2016 5/03/2016 5/23/2016 5/17/2016 6/13/2016 6/07/2016 6/27/2016 6/21/2016Approved personnel report is distributed the day after each Board meeting as a notification of Board approvalHuman Resources will forward a copy of the approved contract to the department administrator and to FinanceFinance will process the contract for payment once Timekeeper timesheet is verified
