AMSUN 2021 EXTERNAL AFFAIRS REPORT AMSUN The Association of Medical Students of the University of Nairobi (AMSUN) represents the interests and welfare of the Medical students of The University of Nairobi. It is the largest medical students’ organization in Kenya. It is an independent, non-political and non-governmental association. Since 1967, AMSUN has been in the forefront in advocating for the welfare of students in order to achieve the best medical training, providing leadership, nurturing young professionals and exploring their talents and gifts. Its membership is drawn from all students pursuing a Bachelors of Science in Medicine and Surgery (MBChB) from Level I to level VI with the patron as the Dean of students, Medical School. Hence, AMSUN Executive Committee serves as the link between medical students and the University’s Administration. For more than 50 years, AMSUN has brought together the local, regional and global medical student community with the common goal of working on pertinent health issues. Hundreds of activities are planned, designed and carried out every year at the local, national and international levels. EXTERNAL AFFAIRS OFFICE The External Affairs Office is largely concerned with connecting AMSUN with External Organizations and Partners to achieve the mission and vision of AMSUN. These stakeholders include faculties, institutes and centers focusing on health research, works etc including KAVI, KEMRI, UNITID and other external organizations that provide opportunities for growth & networking. The horizontal leadership at AMSUN Executive Committee also provides an opportunity for the EA office bearer to participate in other leadership roles by collaborating with other office bearers. These tasks range from organizing events to advocacy. The SPECIFIC roles of the External Affairs secretary are in line with the GENERAL responsibilities of the AMSUN Executive Team of Officials The SPECIFIC roles of the EA Secretary as outlined in the AMSUN Constitution: 1.Link the association with external bodies or individuals that might be of benefit in attainment of the associations objectives 2.Organize electives and exchange programs 3.Outsourcing corporate financial support to run AMSUN Activities 4.Implementation: Task Specifications redefined through restructuring the sub committee. 04
LEADERSHIP STRUCTURE Based on the roles defined we structured the sub committee into 4 subdockets, each having at least 2 members . The members served as leads within the different sudockets and assisted in the different executive roles. A. PR & Communications_External 1.Establish and maintain mutually beneficial relations with relevant stakeholders i.e. sponsors, alumni, external stakeholders, other medical students’ associations 2.Maintain and leverage a detailed repository of all external partners 3.Approach institutions to increase the number of Electives/Exchange Programs/Attachments accessible Bxj.c.gv.xjjg.gh.hkxH..Vx.gC.gj.J.hcJijmg.hhJ.gccjJbx to SoM Students. Draft relevant MoU documents as proof of partnerships to enable continuous engagement. 4.Update the Electives & Exchange Programs Repository 5. Draft External Engagement Documents B. PR & Communications_Internal 1.Mapping & sharing of available \"internal\" resources & developing \"internal\" linkages & collaborations for Students at SoM_ i.e. postgraduates, faculty & departments 2.Map & share clubs/ associations/student groups accessible to SoM to increase student engagement & participation 3.Develop repositories for the above. 4.Develop MoUs or establish means of engagement with the above stakeholders, especially where gaps exist. 5. LEADERSHIP STRUCTURE C. Marketing & Publicity 1.Spearhead mapping of \"general\" opportunities that are to be shared with SoM on a daily/weekly/monthly basis. 2.Compile & edit the calls and opportunities for friendly sharing across the various platforms 3.Help with dissemination of information related to EA through the social media channels. 4.Correspondence with AMSUN Publicity & AMSUN Editorial Team to ensure timely sharing of opportunities, materials (including EA Desk monthly writeups) 5. Managing EA Social Media (Telegram- Compiled Lists of Opportunities shared at least thrice a week), Instagram (Individual Opportunities shared as they come) 6. Help with Monitoring & Evaluation of uptake of Opportunities & receive feedback from SoM members D. AMSUN Social Accountability (“CSR”) 1.Work with SCOME Representatives & other interest groups to provide guiding documents to enable SoM students start up social accountability projects (“CSR” to neighbouring Communities -i.e KNH/ Schools around KNH/ Communities/ Patient Groups visiting KNH) 2.With support from the full team, help spearhead development of AMSUN Medical Students’ social accountability project. 3.Look for external Partners including Corporates AMSUN can collaboratively engage with to fulfil their CSR duties. 4.Share opportunities for students to give back to the community 2020 Impact Report 06

Reached out to different partners including departments at the SoM. Students were engaged in different department activities including data entry jobs, training opportunities & events i.e the World Under 20 Athletics Trials & Championships in partnership with the department of Orthopedics. Data entry and Rapporteur jobs at Kenya Pediatric Association 4.Developed and established several MoUs with different Organizations including AIESEC & Medixus [MoU Privately Accessible] 5.Supported MSAKE to increase visibility. Worked closely with SCOPE(Professional Exchange) to ensure Exchanges and sensitization on Elective Opportunities happened. 07

Shared more than 200 external opportunities in Expansion & visibility of research, health innovation, health entrepreneurship electives, exchange through the compiled resources weekly series. More programs & other information was shared regularly through instagram opportunities and Telegram channel 08 2.Mapped and created a repository of multiple electives & exchange programs. Expanded the Repository by more than 50% to include both regional and international electives opportunities. 3.Worked closely with MSAKE Local & National Exchange Officers to ensure equitable sharing of the IFMSA Electives. We established new relationships with aiesec and had several students participate in the Egypt Elective Programs, We worked closely with the AMSUN Publicity team to ensure extensive sharing 4.Opportunity Preparedness: Shared & circulated several on Application for Scholarships, Compiled the different resources on google drive (Sample Personal Statements, Recommendation Letters, Letters of intent), helped organize and share resources on preparation for these opportunities (study abroad series, Internship) 5. Spearheaded the Study Abroad Online Series to raise awareness on the extensive opportunities outside Kenya. The trainings covered the UK, US, Australia, Canada and South Africa 6.Five level VI Students interested in health technology got a 3 week mentorship & shadowing opportunity from MEDIXUS

CHALLENGES & RECOMMENDATIONS Huddles obtaining docket resources/ documentation (i.e previous email accounts, partners, mapped opportunities) from previous teams Late stakeholder engagement. We unfortunately, reached out to some stakeholders a little bit late. Some projects were difficult to implement because the necessary frameworks were not in place to support this Early and Regular Stakeholder Engagement_ Ensures planning and resolution of foreseen challenges by establishing contingencies. Detailed Proposals with budgets should be shared with the relevant stakeholders at the beginning of the term. Clear definition of the specific roles for different committee members to avoid duplicated efforts and enable synergistic collaborations. Upcoming teams to work on an AMSUN Website to facilitate continuous availability of resources including the repositories created. (I cannot think of a more efficient way to communicate, other than by having a website) Hopefully get student email (uon.bi) domains to operate AMSUN accounts Engagement of Administration in some of the activities to accumulate goodwill 12
