7 Onboarding & Offboarding process 7.1 On-boarding Process ● Upon buyer’s first notification, we will assign a Technical Account Manager (TAM) to meet with the buyer to understand the cloud requirements and objectives. ● Based on the buyer’s information, our TAM will suggest and agree with buyer the number and type of resources required and their duration of work. This works based on fixed “Capacity units” allowing buyer the option to scale up and down the number of resources at any time during the contract to shorten their Time- to-Market and to De-risk the delivery. ● Following this, GetSwarms will then work with the buyer to confirm contracts and you will be provided with a breakdown of all key contacts throughout the engagement. ● The resources will be assigned to project with in 7 days of sign off of Call Off Contract. Resources can be provided earlier depending on buyer’s request. Generally, they can be provided within 24-48 hours. ● During the ongoing contract, our TAM regularly reviews the progress with the buyer and satisfies any concerns ● Buyer also will have the option to have a Parallelization Opportunity Review Entitlement (PORE) with TAM whereby o TAM will inform the buyer if they see any opportunity to increase the number of resources to get work done in parallel providing shorter Time- to-Market to buyer while keeping the initial Service cost intact i.e. if there are 4 modules to be done, we can provide 4 teams instead of just 1 team (capacity units and cost remains same as initially agreed with buyer). o This helps to ▪ De-risk the delivery by bringing deadlines forward The information contained in this document is proprietary. ▪ Provides shorter Time to Market for buyers o PORE assessment is completely free and complimentary to the original service bought by buyer and there will be no obligation on buyer to take this opportunity. We treat this as our little contribution to buyer’s success in their endeavors. ● We also provide our Fully Agile ‘Distributed Work Management Service’ for free for the duration of the contract which allows to visualize all work in infinitely hierarchical tree model making managing complex pieces and parallelization, really, a piece of cake. This can be discussed at the time of initial engagement. 7.2 Off-boarding Process In the last phase of engagement, TAM will o Ensure knowledge transfer occurs to buyer’s satisfaction and that buyer has enough information to be able to use the and manage the service without major help. o Will work with the buyer to highlight and support any additional needs that may have arisen during the engagement o Will provide guidance on options for future development of buyer’s service using new technologies 8 Pricing We generally offer T&M basis details of which can be found in our SFIA Rate card. 10 Training Where required, GetSwarms will work with the buyer to deliver training and share our cloud service expertise. Agreement is reached with the customer at the outset of the engagement outlining the capabilities he/she would like staff provided with – and as appropriate, on-the-job training is provided. During the reviews, we cover the requirement for knowledge transfer and ensure this is tied into the deliverables schedule. ● Knowledge transfer relevant to the work undertaken by us integral to our approach and processes. ● Demos and Deliverable walkthrough workshops are setup at various stages to help understand the implementation ● Full handover and support period is provided to ensure new application gets properly embedded into client's ecosystem and that its users are able to use and manage the service with minimal support. ● Towards the end of phase, the cloud accounts are sanitized, handed over and proper documentation is provided to enable client to administer the system on their own in a secure way. ● Additional training available on request for underlying or integrated systems used by solution (e.g., cloud operations, management) ● We can evaluate training requirements for your staff for the given cloud service, prepare Capability Transformation service, Heat Map – Red/Amber/Green status model across all categories of assessment and recommendations for improvements based on Cost benefit analysis 11 Service Levels We adhere to following SLA as standard however these can be adjusted if so required in agreement with the buyer: 1. All enquiries and resource requests will be responded to within 24 hours 2. Our resources lead time to start work will be within 7 days from notification however we can provide them early depending on project requirements. Please talk to our TAM in the initial stages. 3. We will advise the buyer on any parallelization opportunity to deploy more resources to cut down time to market. The buyer will then have a choice to take up that option as agreed at the onset of contract. 4. 5. We will provide Technical Account Manager (TAM) contact details for any escalation or to discuss any deviations or extensions. All such queries will be responded to by TAM with in 24 hours. 12 Service Constraints GetSwarms perform staff screening checks which confirm to BPSS Standard. However, if required by the client GetSwarms will carry out staff screening checks conforming to alternative standards. If required, GetSwarms TAM and Architect will then perform gap analysis to understand differences in the current technical landscape and future landscape. They will then gather and analyze the requirements, understand required deliverables and construct a plan around the implementation of GetSwarms cloud-based services in order to achieve your cloud objectives effectively. It often becomes helpful to have a finance contact from client for invoicing related processing. GetSwarms Project Manager will discuss with you the invoicing process and ensure this aligns with your internal processes. Once our service is purchased, a Purchase Order or Framework call-off order should be provided to us. We will then invoice at the end of each month providing full details of the services, unit pricing and units purchased, VAT and any other expenses along with the customer approval about the units worked to their satisfaction. The additional expenses (such as reasonable travel, lodging costs if required) are agreed with the buyer in advance. Invoices can be issued in a format as agreed with buyer (email, post, online). 14 Contract Termination 14.1 By Customers Buyer termination terms will be identified and agreed for each individual service delivery. However, this will typically require a minimum of 20 working days’ notice of termination with a full specification of any outstanding deliverables yet to be completed, with the buyer agreeing to pay for all remaining work undertaken to the end of the agreed termination term. 14.2 By Supplier We will provide minimum 30 Days’ notice in an unlikely event where we wish to withdraw any of our service. Our ongoing commitment to a service will still be honored to completion. 15 Technical Requirements ● GetSwarms can help support the technical infrastructure required to deliver services on a case-by-case basis. ● GetSwarms can also deliver services within the buyer’s technical infrastructure if required.
