How to Use This Guide The main purpose of this guide is to make it easier for people to promote their events. Having a list of media to promote an event to along with instructions will save a lot of time. This document is a living document and should be kept up to date frequently. Every entry has a date last updated field to show how timely the information is. Websites are updated frequently, so instructions on how to submit an event can and will change. If the information in this document is not kept up to date, it will not be reliable. There is also an entry to evaluate the effectiveness of a medium from a promotional standpoint. This could be related to technical reliability, responsiveness to requests or general overall treatment. We do not want to spend time promoting to entities that do not want to work with us, don’t respond in a timely manner, have e- mail addresses that do not work or broken links. This guide will also provide cost information. Most of the time you will use the free types of media, but to have more effectiveness, you may choose to use advertising that charges a fee when promoting your event. The cost information will help project chairs and vice presidents to budget their costs. If you attempt to use one of the media in this document, and find that the information is inaccurate, please let the 'keeper of the manual' know. The few minutes you take to help keep this document up to date will benefit you and others in the long run. 3
