Overview As a new starter with the company, you are required to log on to Skytrust to complete inductions and update your personal details. Skytrust is a cloud based integrated management system that we use as a one-stop tool to assist us in managing risk, safety, quality, environment, inductions, employee licenses and personal details. As a General User this system allows you to: • Complete Inductions and view your learning. • Update your personal details and provide emergency contacts, health issues, residential address & home phone. • View actions assigned to you. • Report an incident or hazard • Access useful documents such as SWMS, Chemical Safety Data Sheets, Policies and Procedures Information available to you within the system will depend on your required use of the system and the company entity that you have been engaged by. Logon to Skytrust To commence you should be logged on to the company network for Single Sign On access. Browse to https://herga.skytrust.co Step 1 - Click 'Sign in with Microsoft' then login using your company logon credentials, if you are out of the office, you may be prompted for your 2FA. Update your Details and Complete Inductions Step 2 - Updating your details – From the top / horizontal menu click on My Profile > check your details under the “Modify Details” tab and update > Click the “Update Details” when complete. Step 3 – Complete your Company Learning – From your “My Profile” screen click on the “My Learning” > click “Start Training” on induction > Download the document > Read > Move back to the SkyTrust system tab to update as complete e.g. tick “I have read/reviewed the required files” > click “Start” > mark “I have read and understood the contents of this Procedure” > Click “Submit” > Click “Done”. Note: Depending on the induction there may be a need to click “Next” and electronically sign as completed for submit, or you may be required to answer questions about what you have read. Navigating in Skytrust – The Basics My Profile Tabs Step 4 – Review the other My Profile tabs Click the “Company Learning” tab to view any Company Learning modules incomplete. Some, while not required for your role, might be of interest. Click the “Job Titles & Training” tab – these are the training, tickets, licences, on-boarding inductions related to your role. The company learning is available as live links and if you have successfully completed these components they will show with a green tick. Note: When checking the tab “Job Titles & Training” you may note a requirement for Drivers Licence. A copy of your Drivers Licence (Front & Back) or any other tickets / licences / certificates required of your role, which you already possess, should be sent to Natalie Herrick, for upload to your profile. My Actions Step 5 – Access Action Items - To access your action items you must move to the parent entity “Herga Group”. To do this, click the dropdown arrow at the Business Unit field > Select “Herga Group” > Click Login Step 6 – Locate Action Items - Click “My Actions” from top horizontal menu – from this page you may (in Future) find Action Items that have been assigned to you. These will have an Action ID live link which you can click on to update with comments and mark as complete. When an Action is assigned to you, you will receive a notification via email. Documents Step 7 – Locate Company Documents – move back to your tier 2 level access (the entity to which you’re employed) > Click on “Documents” in the left-hand menu > expand any sub-menu sections > click live links to view any documents available to you. Documents available to view in this section will increase over time. The Safety Menu Step 8 – Review the Safety Menu Functions As use of the system increases, more information / data is likely to be available to you. The information available to you now may be limited depending on the company entity to which you have been engaged. However, try these searches and functions. INCIDENTS – Scroll up to “Incidents” > Click the “Add Incident Report” to view the electronic form for reporting incidents > Use your back arrow to exist out > repeat under Hazards to view the electronic Hazard report form. SDS – Click on “Safety” in the left-hand menu > Scroll down to the “Safety Data Sheets” > Click on “Current SDS Search” > Click the live link to one of the listed SDS to view DGHS– From the “Safety menu” scroll to “Dangerous Goods and Hazardous Substances” (DGHS) > Click on “DGHS Search” to open the Register > from the “Substance Name” column click on a live link SWMS - From the “Safety” menu scroll to “Safe Work Method Statements” (SWMS) > Click on “SWMS Search” to open the list page > Click on a live link to the existing SMWS > Scroll to view / read (these may only be available to some group entities). Note: Incident and hazard reporting should follow the company procedure on this subject (available under My Learning). Your manager should be notified of an incident. Completion of an electronic form will send notification to key health and safety group members. Receipt of the form is likely to prompt a phone call from the Safety Advisor and the form may be updated. Help?
