5 KEYS TO DESIGNING YOUR DAY Below are the five overall keys to creating a little magic and balance in your day. 1.Anticipate Setbacks: When your day-to-day routine gets an unexpected shakeup, you're genuinely tested, and that is okay. Re-adjust as you go. Always fall back on your minimums. 2.Be your own inspiration: Don’t compare yourself to others, work within your limits, and feel natural for you. 3.Find Balance: Find a balance, a rhythm within your day that just feels good. SIMPLE ACTION STEPS TO SCHEDULING FOR PURPOSE, PEACE & PROFITS Small Tasks: If you are in the beginning stages of your business and you are still doing the more trivial tasks yourself, reserve time in your schedule to batch together items such as responding to emails, and do other small jobs like entering expenses, filing, paying bills, small personal tasks, etc. Do this during times that don’t require a lot of energy and consolidate all smaller, like-items into the same time frame. Think about ways you can begin to get these off your plate as your time is best spent in other areas. Free Time: Make sure there is “white space” in your schedule. Leave yourself time to breathe and for time to regenerate your energy, like going for a walk. * DON’T book yourself back-to-back leave extra time between appointments or urgent tasks, relieving you of always having to rush. * The only time I’d ask you to book back-to-back appointments is when you conduct coaching calls. As long as you follow my guidance in sticking to your time boundaries, so you are always wrapping your calls up 5 minutes before completion. If you book these calls one after the other, your energy increases. It builds momentum. You’ll often find that your customers will have a similar theme or thread for that day. It keeps you away from the temptation of automation that can just suck you into a dark hole. If you don’t get distracted too quickly, you can also use the reminder on your calendar, Fitbit or phone too! Whatever works best for you. Just remember, when the time's up, you move on! Outsource: Outsource things you can’t stand to do. This will keep them off your procrastination list, and you won’t drain your energy, avoiding them. There are a ton of great resources out there to connect you to a virtual assistant. There are so many outsourcing companies online that pricing is very, very competitive, and can be very low in cost. Don’t be afraid to try an overseas virtual assistant office. Or, ask a college student. My nieces are so intelligent, and like most college students, I’m sure, could use the extra money. Perhaps you know someone who is out of work right now. Not only do they need the money, sometimes it's just nice to do something different, and they feel good because they are helping someone out. It’s the absolute minimum you must do for that day for business, family, financial, spiritual, etc. to thrive and show up at your best. Why and when would you only work within your minimums? There are days that you just can’t fit it all in. And, for days that seem to morph into something that looks nothing like what you had planned. Or, days with fun surprises, like your hubby taking an impromptu day off, so you decide to take the day off too! FUN! These are the days that you want to resort to your minimums. It will ultimately take all of the pressure off of you to try to get everything done. You get done what is necessary, and the rest can wait until tomorrow. No panic. No guilt. WORKING WITHIN YOUR MINIMUMS Let's remember a few important things before setting up your minimums, priorities that you can fall back on during challenging days. 1.) The over-scheduler: This calendar will put you into stress and anxiety just by looking at it. Meetings overlap, and usually, you are late for every one of them. This person never takes a holiday and is working during dinner—as for play. What, play? These days start chaotic, and they end drained. It's never-ending to-dos and tasks. An entrepreneur's works never done, but there is a better way! 2.) The dreamer: These are the people that only work by the minimums, always! Maybe they have one thing scheduled if they even have a schedule. For sure, they don't wear a watch (oops! Caught me, me neither!) We are looking for most days to be a balance between these two. So always have the minimums in place, so no matter what, at minimum, you get the important stuff taken care of! Just some reminders to help you connect to this concept. (And, a little repeat here. ;-) ) Start the day with gratitude and peace. Ie meditate, journal, count your blessings. Take the dog for a walk. This will set the tone for the day. For me, all these things are a minimum. Bookend your day with one thing you can control, like making your bed and returning to a made bed at the end of the day. Again, it's a minimum for me. Don't start the day with distractions; by getting on your phone, looking at email, social media, etc. Then move on to essential tasks first. The most successful entrepreneur's I know get their most important things done first. So block this time out of your day for a minimum as well. Protect time during the day for YOU! SCRATCHING IT OFF THE LIST! For this chapter, we are getting right into action! I want you to make a list of all of your procrastination items - unfinished projects that you have left to complete, from small tasks to larger tasks. Write down everything!!! There is no such thing as a task that’s considered too small for this list. This list represents all the items that drain your energy day in and day out. Even just thinking about these things can create stress for you and become so overbearing that it can slow you to the point that you aren’t getting anything done. Next, write down how long you think it will take to complete each task. Many want to skip this step, including ME! This is important. OVERESTIMATE how much time each item will take. \"Most of our obstacles would melt away if, instead of cowering before them, we should make up our minds to walk boldly through them.\" - Orison Swett Marden Chicken Task: 71 Now ask yourself . . . What ONE task have you been putting off? This is something that you want to do, but it kind of scares you to step forward & take action on. We'll call this your \"Chicken Task\". Be honest! Take your time with this list. You’d be surprised how many items will take under 15 minutes to complete. List all of these items under one task heading: “Unfinished Projects” or “Procrastination List” under your TASK menu, or Notes in your calendar. This way, it will be easy to add to or delete an item as you complete a task from your main list because it’s always handy. Now, choose 1-4 of these tasks and add them to your daily/weekly schedule. Along with your \"Chicken Task\" Commit to completion! I bet most of the items on your list won’t take very long, or just possibly, you don’t need to do it at all. Once you complete the task, take it off your master list. It feels good!!! You will find a nice little buzz of energy. Procrastination items tend to weigh us down. Whenever you avoid doing a task on your procrastination list, ask yourself if this is something that you can outsource, or is it something someone else may enjoy taking on as a project, or something you can “DITCH.” If these tasks stay on your list for too long, go a little deeper. Ask yourself these questions: What reward are you gaining by putting off completing this task? Or, what pain are you gaining by putting off this specific task? Sometimes you’ll find there is a secondary gain to putting stuff off. I look at this two ways, one you are giving someone else a job they enjoy, which makes you feel good and helps them because they are doing what they enjoy. Win-win! BODY RHYTHM After this, I enjoy writing my business articles, journaling, creating courses, and allowing ideas to flow… Anything that requires a little more connection and thought process. I know I’ll be at my best from 7 till 12-1’sh. So this is when I get the most work done. I crash and burn around 2:30-3:00 pm every day, so for about 30 to 45 minutes, I take a little time out. I leave this time to take a walk, check emails, go grocery shopping, meditating, “ME” time, or even little things that don’t require much energy or thought. No matter what I do, if I take this little time out, it seems to completely re-energize me for the rest of the day. If I don't, the day drags on! MORNING ROUTINE One of the top productivity things you can do for yourself is to prepare, plan, and execute on habits that make you more flexible, energetic and productive. What do I believe is the best way to do this? Focus on creating a solid morning routine that will create a day that will feel like the morning sun is shining on you all day long. You can begin simply by doing these few things: 1. When you go to bed, place your phone on Do Not Disturb, or the airplane mode. I use Do Not Disturb, and add phone numbers I want to come through in case of an emergency. I heard somewhere, “If you win the morning, you win the day.” You want to create a rise and shine sequence of your own. Personally, I meditate, connect with what I’m thankful for, drink a full glass of water, and then make the bed. MORNING ROUTINE 4. Make your bed! If you accomplish just one thing today, it’s making the bed. It’s a great bookmark to start and end the day. So even if things go a bit sideways later on with your schedule, you at least made your bed! Plus, if you work at home like most of us, this is important because the external mess can create a bit of internal mess. 5. Do some type of quick exercise to get the blood flowing. 10 push- ups, or Sun Salutations, stretches. Just to get you in that energetic, flow state, which will help you have a better day. 6. Journal! This is my favorite tip! Journal for just a few minutes every morning. Any thoughts or emotions that are trapped will free flow onto the paper and out of your head. 7. Meditate for 20 minutes: I do this prior to even getting out of bed. The key is to get it in before starting your day. I find the best meditation is quiet meditation with a seed word. But if you’d like some great guided meditations, the Soulvana app has some great ones! Doing this will help you learn to observe your thoughts and patterns, so if something goes awry, someone annoys you, your schedule is off, and you don’t react and make things even worse. You will begin to detach from say, becoming angry and short circuit those thoughts and choose a better response, making your day flow even better!! POWER-BLOCKING Power what? 87 Power-Blocking is an incredibly easy way to make your schedule work for you! In a nutshell, Power-Blocking is grouping similar like-items together in your schedule. Consolidate and assign a color code for each general area, then block this portion of time out in your schedule and give it your full focus. There was a study done that showed it takes 7 minutes for your brain to adjust to every new task. So if you are a multi-tasker (like I used to be), and are hopping around from task to task, it’s taking your mind 7 minutes to adjust to that new task. If you bounce around like I used to, my poor brain was re-adjusting eight times an hour no wonder I was always tired. That alone creates stress and chaos in your day. By consolidating like-items and giving it all of your attention, you are more likely to get these projects done quicker with less distraction. POWER-BLOCKING And, YES - create less anxiety and stress. Plus, think about the last conversation you had with someone. Did you give them your full attention? Really listen and engage in the conversation? Which is all anyone ever wants, to be listened to and validated. You’ll find if you do this in your business, you’ll add more profit to your bottom line because your customers will effortlessly sign up with you! And, your husband will thank you for listening too! ;-) Simply Empowered Success Tip: Do not over commit yourself and say yes to everything. I have many women customers who tend to want to say yes to everyone and everything. By the end of the week, you’ll find yourself either depleted or frustrated and pulling our hair out by the end of the day. Also, don’t schedule items back to back to back. I know, I know I just said I do this for my coaching calls, but I was referring to power-blocking like-items. You still need a 15 min or so buffer in between. I used to be the girl that had something at 1pm-2pm, 2pm-3pm, etc. I swear I’d hold my pee for hours!! :-) It’s not a perfect world. Your schedule will never work this way. Leave time and space in between each scheduled item. Always be moving towards the goals and the life you desire, allowing for this or better, course- correcting along the way, so that you stay aligned. 5 TIPS ON POWERBLOCKING: 1. I use Google calendar with Trello for my tasks, but Outlook works just as well. I choose 1 color to block out each “type” of task I’m doing. And, group similar tasks at the same time, based on the energy it takes. For example: All personal items are - green, all meetings - red, goal steps - pink, personal development - yellow, prospecting/business building- green, emails/bills/filing - yellow. . . You get the idea. 2. I can take one glance at my calendar without knowing all of the details and to instantly connect with what \"type\" of task is coming next, like an important meeting or something else just via the colors I've assigned. 3. For all recurring tasks that I do every day, week, or month, there is a recurrence tool that you can schedule these tasks for months or even a year out. Half of what I do every week is the same, so my schedule almost takes care of itself. I set it and forget it! 4. Don’t forget to integrate your procrastination and goal tasks into your PowerBlocking as well. 5. Book clients back to back on the same days. Book clients back to back on the same days. I usually say give yourself a little breathing room, so you don't feel rushed. But, if you are consulting clients, I suggest booking them back to back on set days. For the most part, every other Tuesday and Thursday is set aside for my most important 1-1 clients and/or mastermind groups. GAIN MORE TIME Did you know that wasting 15 minutes a day equals 84 hours per year? That’s wasting only 15 minutes a day! I have to confess, I used to be addicted to Instant Messenger, responding to every little message that came my way. I also used to have my Facebook and Instagram alerts turned on, continually distracting me. An hour or more could go by, and I had accomplished nothing. And, YES, many years ago, I too was the girl at the end of the day saying I was so busy that I had to work extra, long hours. And complained about how hard it was to get everything in. All of this I’ve shared with you has changed how I worked. I work maybe 20-24 hours a week and make much, much more than when I was tired and stressed working 12+ hours a day. TIME ZAPPERS: You’ll begin to figure out very quickly once you get a taste of being able to spend time on what matters most to you, and how this changes your energy level, giving you more peace and joy, you’ll do anything to protect this time. GAIN MORE TIME Automated Interrupters: Turn off automated interruptions when you really need to get things done ie, email tones, cell phones, instant messaging are the most common. The Phone: This sounds harsh, but phone conversations can be the biggest time zappers, and many times we don’t actually need to speak directly to the person. If you don’t need to talk directly to them, but need to leave them a message, do it during a time you think they’ll be on lunch hour or in a meeting. ;-) I love hour conversations with my girlfriends, talking and laughing about everything under the sun. However, most days, you won’t have all the time in the world to do this. Or, a quick question from a client turns into a whole story. So if this is the case, what do you do? At the beginning of a call, tell the person on the other line that you only have a quick moment, or 10 minutes until your next call. For my coaching calls...About 5 minutes before wrapping up a session, let your client know you only have a couple of minutes until your next appointment and ask if there are any other questions they have for your prior to concluding your time together. They’ll feel heard, and they’ll understand they need to keep it short. Email Overload: Emails can be overwhelming. Set up your email box so they go directly into a specified folder and that way you can look at those during a time you’ve set up in your schedule to do so. Or, use tools that will unsubscribe you to unnecessary emails that no longer serve you. GAIN MORE TIME Checking Emails: Check your email two times a day, maximum. I’m notorious for checking mine way too much. Return unimportant emails during off-times. Checking Voicemail & Returning Calls: Do the same with your voicemail. Set it up so you are returning all general calls at the same time and checking your voicemail only a couple of times a day. Return urgent calls as needed. Being the Go-To Person: Quit trying to be the “Go-To person” for everyone and everything. Some clients will eat up all of your time and start calling you for things that perhaps someone else can help them with quicker, and let’s be honest, probably better at doing so since it’s their area of expertise. Let people know you are more than happy to assist, but give them the choice. If someone else, such as the IT guy in the technical department could help them today vs you trying to assist them say tomorrow then I bet 9 times out of 10 they’d pick the professional that will help them today. You are always there to assist, but if it’s not your area of expertise, it’s time to let someone else handle it, or automate it. Customers will thank you for giving them the option. And, it will free up your time immensely. Make a list of common questions and answers your customers ask you and post it with your program, website, or support group. This will free up time for you and your staff on commonly asked questions. TAKING 140+ DAYS OFF Here are some easy tips that you can apply to your life and 97 business so that you can take 140+ days off a year too. Set up your programs and services in October for the year coming. Set up main vacation days off too. Go ahead schedule time off even though you may not know exactly what you are doing. Determine what your perfect schedule is . . . AND, even if you are not making the money you desire, do your best to stick with this schedule. Soon it will become your new normal. I determined long ago that I wanted to only work 4 days a week and that my perfect hours would be between 9:00 - 2pm/3pm. This gave me time to walk in the morning with our chocolate lab, Zeus. Meditate, enjoy a nice breakfast and begin my day. Having a 3 day weekend was important to me. What’s important to you? Sure sometimes I write or take care of all of my scheduling on Fridays for the week coming up, but that is up to me and whether I do that. Otherwise the day is mine to do as I please. This was a huge change in how I showed up the rest of the week. I always take time off around the holidays. Usually, business is slower anyhow. It's a time for you to rejuvenate. Take this time off guilt free. I promise you, more will get done during the time that you do work because you don't feel like your business is taking you away from your personal life.
