Objective Texchem Group is dedicated to the development and retention of employees. The Exit Interview is important in identifying workplace, organizational or other factors that have contributed to an employee’s decision to leave the organization. Comments and feedback from the Exit Interview will assist the company to identify any trends that require attention or any areas of opportunities for improvement. 2. Scope This guideline is applicable for full time and permanent employees in Texchem Group and it is not mandatory. Exit Interview is only conducted as when it is necessary and required. 3. Definition ▪ “HR” refers to the Human Resources. ▪ “GHR” refers to the Group Human Resources. ▪ “HRBP” refers to the Human Resource Business Partner. ▪ “HQ” refers to the Headquarter. 4. Responsibility ▪ HR/HRBP is to schedule and conduct the exit interviews with selected employees. ▪ Direct Supervisor is responsible to inform HR/HRBP upon the acceptance of employee’s resignation letter if exit interview is required.

Exit Interview Process Description Step 1: Scheduling Exit Interview ▪ The direct superior is to inform HR/HRBP upon acceptance of the employee’s resignation letter if an exit interview is required. ▪ HR/HRBP is to contact, schedule and conduct an exit interview with the employee. ▪ It is preferred for the interview to be conducted before the employee’s last working day. Step 2: Conducting the Exit Interview ▪ The employee will be asked to complete a standard set of questions and given a chance to provide written or any feedback they feel would be beneficial for the Company to know about their employment experience at the company. Step 3: Findings ▪ Once the interview is completed, HR/HRBP will complete his/her comments and findings. ▪ The information will be analyzed by HR/HRBP to identify areas or determine trends that may need to addressed. ▪ HR/HRBP is to share the analysis with GHR and work together on areas of improvements 6. Voluntary Participation and Confidentiality ▪ Employee’s participation in exit interview is on voluntary basis, employee may choose to decline the interview. ▪ If an employee chooses to participate in an exit interview, he/she will be encouraged to be honest, candid, and constructive in their responses. ▪ The information received through Exit Interviews will be confidential. No specific information that could possibly be traced back to an ex-employee will be disseminated or discussed.

Reports ▪ Periodically, HR/HRBP will share their analysis and recommendations with designated members of the staff and/or management team. ▪ The analysis and review may include; i. Relevant statistical information regarding the number and distribution of employees’ departures and reasons for leaving; ii. Analysis and discussion of any trends which are suggested by the Exit Interview feedback; iii. Suggestion of actions to address any concerns or opportunities which are identified through exit interview feedback.
