Xyber Email Assistant User Guide 1 INTRODUCTION This document is a detailed guide for using the “Xyber Email Assistant” application. Each of the tasks inside the application are described inside the appropriate sections of this document. 1.1 Installation procedure In order to start installing “Xyber Email Assistant” double click on the installation file “Xyber Email Assistant.exe”. The welcome screen will be displayed. Figure 1: Installation procedure (step 1/7) In order to continue installing “Xyber Email Assistant”, click on the “Next” button and the “License Agreement” screen will be displayed. Page: 3 / 15

Xyber Email Assistant User Guide Enter your full name and organization inside this screen and choose the users that will be using the application. Click on the “Next” button to continue the installation. The following screen will be displayed. Figure 4: Installation procedure (step 4/7) You can choose to install the application to the default directory (C:\\Program Files\\Xyber Email Assistant) or set the desired article by clicking the “Browse” button. Once you have defined the destination location, click the “Next” button. The following screen will be displayed. Page: 5 / 15

Xyber Email Assistant User Guide 2 XYBER EMAIL ASSISTANT INTERFACE This section of the document will give the definition of the “Xyber Email Assistant” interface. The interface contains the following elements: • Topics – pane for creating and organizing topics i.e. questions o - menu with the following options ƒ Insert Topic – option for creating a new topic i.e. category (see section 3) ƒ Insert New Question – option for creating a new question (sees section 4) o - option for deleting a selected item (see section 5) o - option for renaming an item (see section 6) o - option for returning back to the screen for creating topics and questions o - option for performing the search (see section 7) • Answers – pane for organizing answers to the questions Figure 8: Xyber Email Assistant Interface Page: 8 / 15

Xyber Email Assistant User Guide 3 CREATING A NEW TOPIC In order to create a new topic i.e. category, choose option “Insert new topic” from the toolbar. Figure 10: Creating a new topic (step 2/3) Enter the name of the new topic e.g. “Checking Email” and press enter on your keyboard (or click your mouse anywhere else outside the input field). Figure 11: Creating a new topic (step 3/3) The new topic will be created (note: see section 4 for further information on how to create questions inside the topic). Page: 9 / 15

Xyber Email Assistant User Guide It is also possible to create subcategories within the category by selecting the main category and choosing option “Insert new topic”. Page: 10 / 15

Xyber Email Assistant User Guide 4 CREATING A NEW QUESTION In order to create a new question within the topic i.e. category, select the desired category. Figure 12: Creating a new question within the category (step 1/3) After selecting the desired category choose option “Insert New Question” from the toolbar. Figure 14: Creating a new question within the category (step 3/3) Enter the question (e.g. “How do I check for new emails?”) and press enter on your keyboard to create a question. In order to define an answer for the created question, select the question and enter the answer inside the “Answers” pane. Page: 11 / 15

Xyber Email Assistant User Guide 5 DELETING AN ITEM In order to delete an item, select the desired item in the list (topic or question) and click on the delete icon . Figure 16: Deleting an item Once you click on the delete icon the selected item will be deleted. Note: when deleting a topic make sure all the questions within the topic are deleted first. Xyber Email Assistant User Guide 6 RENAMING AN ITEM In order to rename an item (topic or question) select the desired item and click on the rename icon inside the toolbar. Figure 17: Renaming an item Once you click on the rename icon, you will be able to rename the selected item. Enter a different name and click anywhere else or press “Enter“ on the keyboard and the item will be renamed. Page: 14 / 15

Xyber Email Assistant User Guide 7 PERFORMING SEARCH In order to perform a search for the desired keyword inside the topics and questions, click on the search icon inside the toolbar.
