SharePoint 2013 Power User GuideIntroductionSharePoint Online—A Brief OverviewSharePoint Online is an enterprise-grade solution that enhances communications and collaboration capabilitiesby empowering people and groups to easily create sites to share documents and information. It requiresminimal extra cost and overhead because there is no need to physically deploy any software on site, andbecause Microsoft assumes much of the operational burden of managing the IT infrastructure. Because it is acloud-based service, organizations simply subscribe to SharePoint Online, which can help simplify theimplementation process and accelerate time to value.SharePoint Online is available in two versions. Both versions are offered through flexible user subscriptionlicenses that include access to either the entire Office 365 suite or to individual services. • SharePoint Online Standard is hosted in a multi-tenant environment on shared hardware in Microsoft data centers, and is designed for companies of any size. • SharePoint Online Dedicated is designed for companies with at least 5,000 users. It provides enterprise-scale features, such as dedicated hosting and hardware, a fully customizable environment, and the ability to deploy full trust code.With either version, Microsoft handles themanagement of certain core IT infrastructurefunctions, including management of the serverhardware, the Windows Server layer, and theSharePoint Online farm. Because SharePointOnline is hosted by Microsoft in redundant,geographically dispersed data centers, it benefitsfrom mission-critical availability and reliability. It Figure 1. Other use cases include the creation of anexternal website for events or limited-time projects, and the creation of sites that provide partners or supplierswith carefully controlled access to corporate information, such as product specifications or inventory supplies.With SharePoint Online, organizations can create the most common and useful kinds of sites. These include: • My Sites are sites individuals use to manage, protect, and share personal documents and information, and to follow their colleagues’ activities. • Team Sites are used to keep teams synchronized, and to manage important projects. Teams can use these sites for tasks such as storing common documents and meeting notes, tracking key milestones and schedules, establishing project delivery schedules, and enabling real-time communications between colleagues. • Intranet Sites are used to deliver company news and information, and to keep employees up to date with the latest company news and information. Organizations can use them to share information with mobile or remote employees, find people and important documents, share ideas and seek input in discussion forums, and provide access to information about important corporate processes, policies, training, and reporting. • Public-Facing Internet Sites can be created for special tasks and activities, such as events or a timelimited activities like marketing promotion, or used to provide catalogs of features or functionality Page 4 of 48© Copyright 2015 Sistem RKK Sdn Bhd

The site can be populated with enterprise content, but minimize or eliminate direct access to the corporate network from outside the firewall.This variety of possible use cases and sites demonstrates how SharePoint Online is ideal for the creation ofhybrid enterprise intranet deployments. It allows organizations to selectively create, distribute, and provideaccess to information and workloads, while tightly controlling access to data that resides behind firewalls inonpremises SharePoint implementations, or in other line-of-business systems.SharePoint Online also works with familiar Microsoft Office applications. Users can easily create Officedocuments and save them directly to SharePoint Online, or co-author documents with Microsoft Office WebApps such as PowerPoint Web App and Excel Web App. Users can access Office documents offline orfrom mobile devices, and they can set document-level permissions to protect sensitive content. SharePoint 2013 Power User Guide1. Navigating and searching1.1. Browse • Browse Sites. • Browsing Document Libraries. • A SharePoint Document library is, in essence, a list of files. However, SharePoint libraries not only store files, but they provide a flexible collaboration environment for you and your team to work on these files. You can create/manage your own document, picture, form, and wiki libraries when necessary.1.2. Page • To the right of the Browse tab, click the Page tab. • The Ribbon appears. It displays the commands that allow you to work with a web page. The Ribbon is contextual, and the commands that are not available to you at this point in time are • dimmed. Explore the Ribbon and notice that the commands are grouped into sections on the Ribbon. The name of each group can be found at the bottom of the Ribbon.• In the Edit group, click the Edit button. The Editing Tools tab set appears to the right of the Page tab. It contains two tabs: the Format Text tab, which is selected, and the Insert tab. The Format Text tab displays the buttons and the drop-down lists that allow you to change and format the text on the page. Page 6 of 48 © Copyright 2015 Sistem RKK Sdn Bhd

For example, the Font group allows you to modify the text formatting on the current page and looks very similar to other Office applications, such as Word or Excel. • In the Editing Tools, click the Insert tab. The set of commands on the Ribbon changes to show the buttons for inserting different objects into the current page. The type of objects to be inserted is identified by the name of a Ribbon group, such as Tables or Links. • Click the Page tab to open it. Notice that the Edit button in the Edit group has been replaced with the Save & Close button. Because the Ribbon is contextual, it provides you with a command that is appropriate to you at this point in time based on your previous actions. • Click Save & Close. The Page tab closes, and the current page returns to the Browse tab, which displays the content breadcrumb and the top link bar in place of the Ribbon.Document Library Exercise Example:Shared Documents • Click Shared Documents which is under Libraries. The Shared Documents library page appears. On the top of the screen, notice the contextual Library Tools tab set, which contains two tabs: Documents and Library. SharePoint 2013 Power User Guide1.2.1. Browsing Lists on a SharePoint SiteSharePoint lists are web-based, editable tables. SharePoint lists provide you and your team with the ability towork with structured data. The typical site provides four default lists: • Announcements: The Announcements list is a place to post information for the team. • Calendar: The Calendar list is a place to maintain information about upcoming events. • Links: The Links list displays hyperlinks to web pages of interest to team members. • Tasks: The Tasks list provides a to-do list for team members.List Exercise Example:Announcements • Click Announcement under List, the Announcements page appears. On the top of the screen, notice the contextual List Tools tab set, which contains two tabs: Items and List. SearchingThe search functionality of SharePoint 2013, one of the Office 365 suite of products, is very robust and brings aGoogle or Bing-type experience to the corporate documents.Search is one of those things that don’t seem important until you really need to find something. You mayvaguely remember seeing a presentation done by your colleague a few months ago but have no idea where toeven start to look for it in the shared folder. You could e-mail him, but what if he is not available and you need itright away. Search solves the problem of needing to find specific information in a sea of digital data.SharePoint 2013 includes the ability to search across multiple sites. As your organization grows and you havean increasing number of sites, it would sure be a pain to have to navigate to each site in order to perform yoursearch. With SharePoint 2013, you can search in a single location and the search will span across multiplesites.Sometimes, it can be difficult to get the exact terminology just right to return the content for which you aresearching. SharePoint 2013 includes the ability to refine a search based on a number of configurable refiners.You can think of a search refiner as a filter. Your search for a broad topic might return hundreds of possibleresults. The refiner allows you to filter this information down based on the configured criteria. Recurring events are displayed as a single list item.Current Events This view displays all events that occur on the current date and any dates in the future. The updated Shared Documents page appears, with the ISO document folder added to the page.3.4. Checking Documents In and OutChecking out and checking in a document allows you to work on a document exclusively, while letting othersknow that you are editing this document so that other users will not be able to open this document for editinguntil you check in the document, your changes will not get overwritten. When you are checking in a document,you can also enter comments about what you’ve changed that others can then view. 1. On the Quick Launch, click “Document”. 2. Mouse over a document that you would like to check out, such as example.docx. A check box appears to the left of the document name. Click the check box to select the document. 3. Click the ellipsis on the above menu, from the dropdown list choose Check Out.The document now has been checked out. The file icon in the Type column has changed and shows a green,downward-pointing arrow, indicating that the document is checked out.Mouse over to this icon. A tooltip is displayed, showing who has checked out the document (you, in this case).This is useful to know when you want to edit a document that is checked out to another user. SharePoint 2013 Power User Guide3.5. Working with Version HistoryWhen versioning is enabled, SharePoint 2013 creates a separate copy of the document each time that it isedited. Although this takes up extra space on the server, it also makes it easy to revert to an older version ofthe document if necessary. 1. On the Quick Launch, click “Documents”. 2. Mouse over a document that you would like to select and click the check box to select the document. 3. On the ellipsis in the above menu, click Version History.You are taken to the Version History dialog, which shows the versions saved for the example.docx page. Eachversion of the saved document, the date and time that version was created, and any comments for the versionappear. 4. Mouse over the time stamp in the Modified column that identifies an earlier version of the document, and then click the arrow that appears on the right of the time stamp. 5. On the drop-down menu, click Restore.6. A message box appears, indicating that you are about to replace the current version with the selected version. Click OK. Using AlertsOne of the most difficult obstacles encountered in the business world is knowing when information changes.SharePoint 2013 can help address this problem by allowing you to subscribe to an alert. When a documentwhich you subscribe changes, you receive a message stating that the document has changed.Alerts are a great way for users to be notified when a document is changed or deleted. Users can also specifyif they want to be notified immediately or receive a summary alert on either a weekly or monthly basis. 1. On the Quick Launch, click Documents. 2. Select the document for which you would like an alert, such as example.docx, by mouse over it and clicking the check box that appears to the left of the document. They havethe same mechanisms for displaying the file information, including views, folders, filtering, and sorting. Picturelibraries then add many image-specific features and integration into other applications not available with adocument library. These added features make picture libraries the ideal place to store your image files inSharePoint. Appropriate uses of picture libraries include storage of corporate marketing graphics, presentationdiagrams, product photographs, and company event slideshows.Features of a picture library that are identical to a list or document library will be briefly mentioned here.4.2.
