Welcome to the first edition of the EFS OCM Newsletter! In an ongoing initiative to develop better communications between management and staff, this interactive newsletter, along with a new SharePoint site, media library, bulletin updates, employee training and other media to come, we hope to create a dialogue wherein we can hear from you on a regular basis and in-turn answer questions and share information critical to Amway’s success! Knowledge Acquisition & Shadow Support — continued... FAQ’s How will Wipro resources in Asia for example, shadow Amway resources in the US? This will be done online via Skype, WebEx or MST. There will be a four hour overlap each day where the Asian resources work in the evening to accomplish the shadowing process. What happens if someone is responsible for two separate applications? How will the shadowing take place? In this situation, the shadow support schedule will be developed to ensure that these two applications are not booked at the same time. Primary Support Starting January 13, Wipro will be responsible to provide primary support for in-scope services while Amway resources provide guidance and assistance as necessary. Go-Live! On February 1, 2020, Wipro will take on complete support of key responsibilities of supporting applications and services in scope for the EFS organization. Information Sharing Tower Leads OCM Toolkit As an integral part of OCM communication plan, the EFS team is in the process of developing an OCM Toolkit. The Toolkit will include pertinent information about the transformation and how it affects both Amway operations and you. The Toolkit is a knowledge base for Amway Tower Leads to utilize as they see fit, sharing timeline status and program details with employees. The Tower Leads will also be asked to share feedback results with the EFS team so that we can assist with the process of continuous improvement. As an example, we’re now developing a comprehensive PowerPoint presentation that should cover all of the issues and concerns related to transformational change. Tower Leads OCM Toolkit — continued... We answer questions such as “What is transformational change?” “Why is it happening?” “How will it affect me?” and “What are the benefits?” We also look at role clarity, overall strategy, new methods of communication and operational effectiveness. As always, we hope these tools will create a dialogue that will generate ideas that will help to improve Amway’s efficiency and productivity in the future. Research and Feedback Focus Groups — Your Thoughts Over the past few weeks, the EFS OCM Team has been conducting interviews with Amway Tower Leads and Focus Groups across many of the Towers. The Transformation Team is extremely impressed with the level of participation and would like to express our sincere thanks to everyone who took part. The information we received has been correlated and organized into categories, which in turn allows us to begin adapting your valuable feedback into the operational plan. As examples, we’re currently using your information to: Strengthen Relationships Strong working relationships provide the foundation from which EFS can grow and have proven to drive better performance and business outcomes. Drive Productivity While there are many factors that drive productivity such as processes, technology and organizational structure, communication forms the foundation. Boost Employee Engagement We’re making efforts to improve leadership and management communication with staff; we’re also asking Amway staff to communicate your thoughts, concerns, questions and suggestions to your supervisors and leaders. We’ll be sending out a survey very soon that will help us expedite the communications process. Build and Enhance Trust We’re making efforts to improve the leadership communications and effectiveness by delivering frequent, consistent and transparent information via Town Hall, team and face to face meetings. Facilitate Innovation Please feel open and comfortable sharing ideas, working through options and challenging each other, whether teams are in the same room or across the globe. Communication is critical. Your feedback is vital to improving the processes and moving forward with our vision.
