Ethics and Etiquette ❖ Weather Delays/Frost/RainIt is the responsibility of the employee to contact their employer for days that theweather are not favorable for the game of golf or days of work. In the case oflighting were to occur work is immediately stopped until the weather clears, if notclear in a hours time, work is ended for the day. Frost delays can stop play of golfmost mornings during times of the year that are under 0 degrees celsius, odd jobslike machine maintenance and jobs that don't in fact involve the turf itself are doneduring frost delays. During days of high intense winds, practices like fertilizing witha foliar application the practice will be halted till winds die down.

Ethics and Etiquette ❖ RefuelingThere are gas and diesel tanks for all equipment at the club (label clearly Diesel- D and Gas- G).Employees are in charge of filling up their own equipment after jobs at end of the day. The reason for thisis so the piece of equipment is ready to go for the next user.We come into work earlier to stay ahead oggolfers. Refueling in the morning will delay our start, so if this policy is not adhered to we will have to comeeven earlier. The fuel tanks are locked up at the end of the day by the mechanic or by the assistant(s)who will lock the fuel tank if the mechanic isn’t present. There is a spill kit located inside the closest shopdoor to the fuel tanks, and anything else needed to contain a fuel spill.

Ethics and Etiquette ❖ Player distractionEmployees are to cause as little distraction to the patrons of the facility as possibleunless a patron initiates a desire to interact. In addition, equipment will be idleddown or in some instances, for example if you’re on a green and a golfer is teeingoff, once you made sight with that golfer, stop what you are doing, move to a safelocation and shut off the equipment until they have moved to a different hole.Golfers deserve peace and quiet while playing and we are committed to providingthat to the best of our ability.

Ethics and Etiquette ❖ Safety Boots and Safety Hats ● Employees are required to wear closed toe shoes. Steel toes are recommended but not required. No flip-flops or sandals. ● Employees are recommended to wear a hard hat when golfers are on the course or when working in areas where objects might fall. There will be exceptions for those walking mowing greens or setting pins etc, whereas running shoes may be permitted because as proven that the heels from the steel toe boots tend to leave marks in the greens.Example: ● Wearing steel toes will protect you if someone is not paying attention and drives over your feet. ● When cutting down a tree, a tree branch could easily fall on top of the individual cutting the tree. A hard hat will also protect from golf balls.Reasoning: ● Closed toe shoes will protect your toes and feet better than open toe shoes. Steel toes will provide the best protection. ● Wearing a hard hat will protect your head.

Ethics and Etiquette ❖ Equipment WashingAfter using an equipment such as triflex, flex mower, fairway unit, or rough mower etc, they must bewashed fully, no grass on blades or mower. ● Buckets need to be rinsed and cleaned ● Blades should be manually rotated while washing to ensure all blades are clean ● Wash entire mower ensuring no loose grass to ensure equipment is clean before being stored. - This should be done because grass clippings left in mowers tends to stink - and also prevents our equipment manager to set the reels correctly. To ensure your unit is ready to go each day, support your mechanic who ensures our mowing units are both ready and operating as intended.

Ethics and Etiquette ❖ Uniform on & off the course ● While working on the premises, employees are expected to adhere to the uniform policy ● Uniforms should also be kept in a neat and clean condition. ● If this is not possible, a uniform can be provided for work during the day. ● While not working, employees are not required to wear a uniform. ● If employees are not working on the course, but are still present, they are expected to adhere to dress rules set in place by the club.Example(s): ● “My uniform has grease stains on it from working yesterday, and I was unable to clean it”. A uniform will be loaned/provided to this individual until they clean their personal uniform.Reasoning: ● It is important to represent a certain standard of employee health and cleanliness, since they represent the club that they work for. ● Uniforms should be worn at all times, and taking the staff members consideration into the design and look of the uniform can help with this. ● By providing a uniform when accidents/circumstances occur, the club can still maintain that standard of hygiene and professionalism. ● Also our uniforms helps our guests to identify us as staff members.

Ethics and Etiquette ❖ Member Interactions A crew member drives over a members golf ball and the member gets angry at the crew member forrunning over his ball. Our policy is put in place to train crew members to become respectful, honest, andact professional to the members. We will have a free drop policy in place and the crew member willcontact the pro shop to give the member a free sleeve of golf balls at the end of his or her round. Througha professional outlook, the members will get a positive vibe and will be able to calm down the member.Your staff should be encouraged to be friendly and helpful to your guests at all times. They are yourcustomer, and always \"right\", even a simple wave or hello goes a long way. If you are working but withinstriking distance from the tee/shot, acknowledgement that the staff member has seen the guest may alsoadd to their safety, and golfer enjoyment.

Ethics and Etiquette ❖ Work Ethic From experience there’s always something that can be done on the golfcourse. There is no I in TEAM, therefore we’re all in this together. Our policy iseveryday employees will carry themselves in the most respectable manner andwork to the best of their abilities. When the workload is shared the operation runssmoothly. Where an employee is weak in an area we will give training to bringthem up to the expectations.

Ethics and Etiquette ❖ Staff Privileges and DiscountWe would like all staff to take advantage of the opportunity to play golf. You will develop a better appreciation of the importance of yourwork if you get a chance to view the golf club from a golfer's perspective. This is a privilege being extended to you so we will need yourcooperation on the following matters. It is essential that the policies be followed so that members and guests will view staff positively.Failure to follow proper procedures will result in loss of golfing privileges. ● All seasonal staff may book up to 3 tee times per week at no cost. ● Tee times available to the staff will be at the discretion of the pro-shop. Priority will be given to members and paying customers. ● Each staff member will receive 6 guest passes per season that they may use to bring a guest at no cost. ● The pro-shop may provide staff and their guests with carts if they determine that they will not be needed for paying customers. If these carts are provided they will be provided at no cost. ● Staff members and their guests must follow the club dress code and club etiquette policy while golfing. ● A staff member may have their golf privileges revoked by the Superintendent or General Manager at any time as a disciplinary action. The reason for this action will be given to the staff member in writing. ● Pro-shop goods will be made available to the staff at a price of wholesale cost +10%. ● Staff receive a discount of 50% on kiosk goods while working. Purchases outside of work hours will be at full price. ● The kiosk staff may reserve certain goods for golf course customers if staff purchases will create a stocking issue. ● Staff members are entitled to 1 coffee or hot chocolate from the kiosk during their shift at no cost. ● Staff members may not purchase goods from the kiosk between the hours of 11:30 AM and 1:30 PM while they are working.

Ethics and Etiquette ❖ Work Schedule and Time Off● All staff will work a 5 days on and two days off schedule with a 36 hour work week.● One crew will work a Sunday to Thursday and the other crew will work from Tuesday to Saturday. Both crews will work 8 hour weekdays with a 4 hour weekend shift.● No overtime will be needed because the worker will not exceed 40 hours a week with our 36 hour work schedule.● Time off policy will have to be booked off at least two weeks in advance with the superintendent as long as you can find someone else to take your shift or if they find someone to fill that spot.● Any sudden events such as a funeral or medical emergency will be excused as time off from work.● Staff will be allowed up to three days sick without a doctor's note. After an extended illness a doctor's clearance will be required in order to return to work.

Ethics and Etiquette ❖ DisciplinePurposeOceanside Golf & Yacht Club progressive discipline policy and procedure is designed to provide a structured corrective action process to improve and prevent arecurrence of undesirable behavior and/or performance issues. It has been designed consistent with our organizational values, HR best practices andemployment laws.Oceanside Golf & Yacht Club supports the use of progressive discipline to address conduct issues such as poor work performance, safety violations ormisconduct and to encourage employees to become more productive workers and conform their behavior to Company and safety standards/expectations.Counseling and Verbal Warning - Creates an opportunity for the immediate supervisor to schedule a meeting with an employee to bring attention to the existingperformance, conduct or attendance issue.Written Warning - Involves a more formal documentation on the performance or conduct issues and the consequences and are always delivered in thepresence of a shop steward.Suspension - There may be performance, conduct or safety incidents so problematic and harmful that the most effective action may be the temporary removalof the employee from the workplace. When immediate action is necessary to ensure the safety of the employee or others, the immediate supervisor maysuspend the employee in the presence of shop steward pending the results of an investigation.Recommendations for Termination of employment - The last and most serious step in the progressive discipline procedure is a recommendation to terminateemployment.Generally, Ocean Golf & Yacht Club will try to exercise the progressive nature of this policy by first providing warnings, final written warning and/or suspensionfrom the workplace before proceeding to a recommendation to terminate employment. However, CHGC reserves the right to combine and skip steps dependingupon the circumstances of each situation and the nature of the offense.

Ethics and Etiquette ❖ Tool Cleaning/ReplacementEmployees must only use tools that are in general shop areas. Mechanic’s tools are only to be used by the mechanic.Employees must clean all tools when they are finished using them. The larger tools (shovels, rakes, etc.) can be cleaned atthe wash bay with the spray hose in the maintenance yard. Smaller tools (hammer, screwdriver) must be wiped down orwashed if they become dirty during use. This ensures that the tools are ready to use the next time they are needed and alsoprolongs the life of them as well. It is also good practice to put tools back where you found them. If any tools are broken onthe job, please report this to your supervisor as soon as possible. Tools that are broken under normal working conditionswill be replaced at the golf club’s earliest convenience. Any employee who abuses tools or damages them in an unorderlyfashion will be dealt with in a disciplinary manner. This type of behaviour will not be tolerated. Adherence to the ToolCleaning/Replacement policy is adamant as it ensures that day to day operations of the maintenance department runsmoothly. Any infractions of this policy will be dealt with accordingly. *Please refer to the discipline area of the handbook inregards to disciplinary actions involving misuse and damage of tools.

Ethics and Etiquette ❖ Smoking policyWe strive to promote a work environment that is comfortable and healthy for everyone. In line with thisphilosophy, all company vehicles, anywhere within the maintenance facility, storage building, fuel storage,and fuel pumps are designated as smoke-free areas. Please abide by these policies. While smokingplease keep the following in mind: That YOU are a direct representation of your department andOceanside Golf & Yacht Club and must present yourself in a professional manner at all times. Avoidsmoking in the view of the clubhouse, halfway house, and wherever golfers are present. Please respectthose around you when smoking around the maintenance facility. Do not leave cigarette butts on any golfcourse equipment and machinery, put the cigarette out and put the butt in your pocket to dispose of in atrash can later.

Ethics and Etiquette ❖ Safety PoliciesFit for Duty:Employees must report for work FIT FOR DUTY. This means being mentally and physically able to perform their duties in a safe andefficient manner, and free of effects, or aftereffects of drugs and alcohol.Employees must report the use of prescription or over the counter medications that affect their ability to work safely to theirsupervisor. If at any point management believes you are unfit for work, you will not be allowed to operate any equipment. You maybe asked to remain in the lunchroom while a taxi is called for you, or you will be put on modified duties for the day.Working Alone:Employees are required before starting any work periods or shifts to ensure that effective communication devices are in place andfunctioning properly. If there is ever any instance where an employee is not reached or verified as safe; the employee trying tocontact the ‘working alone’ employee will immediately notify an assistant superintendent or manager on duty.Fire Safety:All employees will be trained in the event of an emergency

Ethics and Etiquette Safety Policies Continued..Hazard Reporting:Job Hazard Assessments are important incident prevention tool that work by finding hazards andeliminating or minimizing them before the job is performed and before they have a chance to become anincident. The key to effective hazard assessment and control is early recognition. Some of the wayshazards can be identified include: Formal and informal workplace inspections. Formal inspections donequarterly by management, supervisors and workers and Informal inspections are done weekly bysupervisors.Formal and informal workplace inspections (Workplace Hazard Assessment Form) Detailed review ofscope of work, conducted daily or as the job changes (Field Level Risk Assessment, FLRAs)Utilization experienced workers during a hazard assessment Pre-Startup meetings to discuss tasks,hazards and controls (risk matrix cards) Use of safe work plans for high-risk work Review of prior historypertaining to related tasks (Incident Reports) Staff interviews,Personal Observations (Hazard ID/ NearMiss Report) Behavior Observation Cards

Ethics and Etiquette ❖ Positive Crew Behaviour Several members of the grounds crew decide to go for a round of golf after work. The next day, it is brought to theattention of the superintendent that these staff members were not following the course rules and signage regarding carttraffic and they brought their own alcohol onto the golf course. How should this situation be handled?Policy Employees must adhere to all club rules and policies. Employees must conduct themselves in a professional mannerand be the best representatives of the club. While on or off the premises, or through social media, employees must notdepict the club in a negative manner or portray themselves in a manner that gives the club or our brand a poor image. Beproud of where you work and show everyone else that we have the best employees!Implementation This policy is put in place to ensure that employees are good ambassadors of the club. It is important that a club’semployees never put a blemish on the club name because actions and words spread quickly. Employees arerepresentatives of the club and people are always watching how you conduct yourself. Immediate termination will occur when any employee deliberately trashes the club or it’s members to the public orthrough social media. Conducting oneself in a negative manner and representing the club standards in a negative way mayresult in suspension of golf privileges or further disciplinary action. Extreme cases of unprofessionalism and negativebehavior will result in termination.

Ethics and Etiquette ❖ Incident PolicyAll incidents are investigated so that the causes can be determined and corrective actions implemented to prevent similartypes of incidents from occurring in the future.Incidents which MUST be reported include:All incidents resulting in injury requiring first aid.All incidents resulting in an injury that requires time off workAll incidents that cause property damage or equipment damage, or interrupt operationsAll incidents that, under slightly different circumstances, could have resulted in an injury or loss.Any other incident that an employee believes requires attention. ★ EVERY employee is responsible to verbally report incidents to their supervisor immediately after the incident occurs.

Ethics and Etiquette ❖ Personal Protective Equipment PolicyPersonal Protective equipment (PPE) may not prevent an incident from occurring, but it may prevent worker injury. PersonalProtective Equipment (PPE) is considered to be the last line of defense. All attempts must be made to address thehazard(s) through engineering out the source. However in the event that it is not possible to do so, then the following ismandatory:Workers will wear the issued PPE assigned to them at all times while performing the task.A hazard assessment must be completed for activities that require the use of other personal protective equipment (PPE)(i.e. respirators, fall protection, face shield, etc.) The organization, as per contractual agreements, will supply all personalprotective equipment necessary for the task.Employees are expected to maintain all issued PPE according to manufacturer’s recommendations.Defective PPE must be immediately removed from service.

Ethics and Etiquette ❖ Personal Protective Equipment Policy Cont’d.Defective tool/equipment lock-outAny worker that notices a defective tool or piece of equipment must follow these steps:Once a defective tool is noticed put a lock out card on it immediately, and put that tool in the area.Fill out defective tool/equipment sheet. Sheets are located beside the equipment sign out board. Once the sheet is filled out,staple the sheet on top of the correct equipment hour tracking sheet.Report defective tool to your supervisor and an equipment manager.Do not try and repair or make do with the tool. It must be repaired by qualified maintenance personnel. ★ Never use a tool once it is tagged and put out of service.

Ethics and Etiquette❖ Reporting Procedure- Chain of Command All employees are encouraged to communicate and ask questions to other staff, supervisors, team leaders and assistants. In the case of disputes, issues arising between employees, concerns about the task and any personal matters please follow the chain of command listed below. ● Team leaders are in place to ask questions regarding a task you have been given and any concerns about other employees work ethics within your assigned task group. Team leaders can then bring these concerns to supervisors and/or assistants. Team leaders are there to help your task group and provide information for what you are doing. ● Supervisors( irrigation tech, spray tech, horticulturist) are there to ask questions and or raise concerns regarding appropriate tasks that fall under their category. ● Mechanics should be notified regarding any piece of equipment that has malfunctioned or is broken. ● Assistant superintendents can be approached about personal matters. Also, the assistants can be talked to by anybody if an employee feels unequally treated, has questions and/or requires information regarding tasks and course details. ● The superintendent can be approached if there was a problem regarding a supervisor or assistant that the employee feels warrants a discussion. The chain of command is here for all employees to communicate any kind of concern regardless of what it is. Please adhere to the reporting procedure and attempt to resolve problems and issues with the person who is above you. Try not to skip people because you do not like them or get along poorly, this can cause other issues.
