MinutesAgenda#1: Welcoming the dignitaries on to dais:The Patron, President, General Secretary and Treasurer of NITRAA wererequested to take seat on the dais.Agenda#2: One minute silence for the departed souls in the precedingyearSri Bharat Bhusan Mohanty, President, NITRAA requested all the memberspresent to observe one minute silence for the departed members of the alumniassociation and faculties of NIT Rourkela during the last one year, i.e in 2014-15.Agenda#3: Welcome address by PresidentIn his address, the President welcomed the august gathering with the briefbackground and the modus operandi of NIT Rourkela Alumni Association(NITRAA). He further enlightened how our association, which was originally setup by first batch alumni in the name of Old Boys Association (OBA) in the year1965, subsequently became Regional Engineering College, Rourkela AlumniAssociation (RECRAA) and then got changed to NITRAA in last 50 years. Healso brought to the notice of the members present w.r.t. the major mile stonesachieved by NITRAA in the last 50 glorious years.Agenda#4: Confirmation of the minutes of last AGMThe President, while updating that no comments received on the minutes of thelast AGB held at Bengaluru, sought the confirmation of the minutes, to whichthe members present agreed. So the minutes of the meeting held on 13th April,2014 were confirmed.Agenda#5: Annual Report by General SecretarySri Biswajit Mishra, the General Secretary, NITRAA, presented the annualreport of the Alumni Association for the year 2014-15, as per annexure II.Agenda#6: Presentation of Audit Report for FY – 2014-2015 by theTreasurerSri Sanjoy Mohanty, the Treasurer, NITRAA presented the Balance Sheet andIncome & Expenditure Statement of the Year March 31, 2015 (as per annexure
III). He also informed the house that the income tax return and quarterly returnshave been duly filed as per the law of the land.Agenda#7: President seeking opinion for passing of Audit ReportThe general body duly approved the Balance Sheet for the financial year 2014-15.Agenda#8: Appointment of Auditor for FY- 2015-2016Sri Sanjoy Mohanty, proposed the names of the existing auditor Sri A. K.Tibrewal, who has been associated with NITRAA and various other reputedorganistions in and around Rourkela, to appoint Statutory Auditors and fix theirremuneration for the year 2015-2016. After due deliberations, it was agreed thatthe services of M/s A.K. Tiberwal & Co be continued for this year as well. It wasagreed that the remuneration could be fixed by the EC.Agenda#9: Remarks by the Patron, NITRAADr. Sunil Ku. Sarangi informed the general Body about the new initiatives takenup by institute in last couple of years and shared all positive comments andfeedback received from various corner of the globe. He also expressed hisvision to come up with an Alumni-cum-Student Activity Centre near Naga Pondarea in NIT Rourkela, with an estimated budget requirement of Rs. 20 crores,which, in his opinion, is only possible with the financial contribution from eachmember of the alumni association. He also proposed to NITRAA to evolve amechanism to meet this vision within a shortest possible time.Agenda#10: Vision & Action Plan for NITRAA in 2015-16 Sri Kumar Behera congratulated all for the efforts put by various members of EC, the co-opted members and the active chapters of NITRA for spreading the good words about our alma mater and contributing in making its present felt worldwide. He also emphasizes the efforts being put to make the NITRAA Bhavan habitable with state of the art facilities and desired to make it useable at the earliest. Sri Fakir Charan Mohanty also congratulated the team for revamping the website with state of the art facilities and requested all the members present to actively participate in celebrating Golden Jubilee of NITRAA, proposed to be held on 26th & 27th December’ 2015.
Sri Ashutosh Nayak updated the general body regarding various student projects that are being undertaken by various Student Clubs in NIT Rourkela and about their performances in various national and international level competitions. He also requested to all alumni to come forward to mentor any student project of their choice and elevate the enthusiasm of the student to bring more laurels to our alma mater. Sri Bimal Bisi urged the members present to contribute generously to the corpus of NIT, Rourkela as well as to NITRAA during the forthcoming Golden Jubilee of NITRAA. Dr. Santanu Ku. Behera also congratulated the team for reviving the website and e-bulletin and requested all present to contribute for alumni corpus fund in whatever capacity to realize the vision of our Patron. Sri Dillip Ku Panda emphasized that the 50 years of glorious existence of our association has become only possible because of tireless involvement of various senior NITRAANs and now time has come for young NITRAANs to come forward to shoulder this task to take our association to new height. Sri Dipankar Choudhury ventilated his happiness over the way NITRAA is making its presence its felt and expressed his willingness to serve for the alma mater through association in his capacity.Agenda#11: Any other business with permission of ChairNo matter taken upAgenda#12: Vote of thanks by Co-TreasurerDr. Manoj Ku. The AssociationTo begin with, let me appraise the august gathering about the back ground andthe modus operandi of our association. NITRAA was set up by the first batchalumni in the name of Old Boys Association (OBA) in the year 1965. It wasofficially registered under Societies Registration Act for the first time asRegional Engineering College, Rourkela Alumni Association (RECRAA) videSGD No. 4525-88 of 2002 dated 2nd April, 2002. Consequent upon the changeof name from REC to NIT on 26th June’ 2002, RECRAA got changed to NITRAAon 7th September’ 2002. We have a full fledged officially certified constitution.Every year our accounts are audited by a Chartered Accountant and arerequired to be passed in the Annual General Meeting.As per our constitution, NIT Rourkela Alumni Association is governed by anelected Executive Council having headquarters at the Alma Mater. The presentExecutive Council (EC) of NIT Rourkela Alumni Association (NITRAA) waselected under the constitution of the NITRAA by e-polling process. The listmembers constituting the EC of NITRAA for the year 2014 – 2016 is attached(Annexure-1).
02. Executive Council MeetingAfter NITRAA got registered in 2002, the Executive Council has met for a totalof 88 times over a period of 13 years at an average of 6.8 times / year. Apartfrom various meetings held with Chairperson, BOG & Director, NIT, Rourkela,the current Executive Council has met as high as 12 times to discuss variousissues in last year.03. ChapterWe have now 14 Alumni Chapters spread all over the world. They are Anugul,Balasore, Bengaluru, Bhubaneswar, Delhi, Kolkata, Mumbai, Pune, Qatar,Ranchi, Rourkela, Sambalpur, Singapore & Visakhapatnam. It is my earnestrequest to all the alumni to get in touch with their respective Chapter Secretaryand get involved with various alumni activities.The constitution of NIT Rourkela Alumni Association has a drafted Chapterformation guidelines, which are acting as pivotal point in activating the chaptersand the giving them accreditation. The latest inclusions in NITRAA family areAnugul and the Balasore chapter, who were successfully launched very recentlyand accordingly got accreditation as well.For further insight, kindly visit our newly refurbished website i.e. www.nitraa.organd remain updated about various chapters and their activities.04. StrengthAs far as our present strength is concerned, you’ll be happy to note that verysoon we’ll surpass 20,000 marks with the declaration of result for 2015 batch,however, till date; only 13,780 profiles have been uploaded in our website. Thisshows that right now we do not have correct contact details of more than 30%of our members. The biggest challenge before us is to enroll the left over 1/3rdalumni and to update the existing profiles with correct and latest information inour website and trust me, our team is trying its level best to adopt all possiblemechanisms to reach you and to induct all alumni into our home.05. EventsA wide range of local, regional and national events were conducted during lastyear to enable alumni to connect face to face with each other, reconnect withthe Institute, its student body and faculty.
To begin with, for the 1st time in the history of NITRAA, the Golden Jubilee AGB of NITRAA was held at the Silicon Valley of India, Bengaluru, which was organized in association with Bangalore Chapter at NGV Club on 13th April 2014 with presence of more than 120 alumni across states, well represented by alumni starting from pioneer batch to the freshers from 2013 batch. On this occasion, NIT, Rourkela also presented the Doctorate of Science (D.Sc.) degree to Padma Vibhushan Mr. E. Shreedharan in a special convocation and NITRAA presented the Shailalata memorial award to Mr. Prasad Chandragiri for his outstanding contribution in the field of Chemical engineering. 2014 was also the occasion for the Silver Jubilee Reunion of the Class of 1989, which took place for two days on 27th and 28th December’ 2014. It was a unique occasion to see more than 100 alumni from the same class exchange notes with one another, reconnecting with faculty and alma mater. Prof. Dr. Asutosh Dutta (1985 Electrical), currently the Lead Member of Technical Staff (LMTS) at AT&T's Mobility and Cloud Security division visited Rourkela with family on the July 31, 2014. NITRAA arranged a lecture by him in the Institute on “Mobile Networking and Cyber Security” for benefit of students & faculties. Additionally the technical talk was got video recorded and a small get together was also organized by NITRAA on the same evening to felicitate him so as to create a good impression on our outside alumni, those who are occasionally visiting our institute and to make them NITRAA existence felt. On 21st March’ 2015, during the Alumni Reunion organized by NIT, Rourkela, NITRAA was also instrumental in the book launching programme of “Rear View Mirror”- authored by Vineet Bhat , a1988 alumus of NIT, Rourkela. On 18th April’ 2015, 50th Annual Alumni Induction-cum- Home Coming was organised by NITRAA in association with Centre for Alumni Relations & Resources Generation, NIT, Rourkela organised 50th Alumni Induction Ceremony and Annual Home Coming to welcome the graduating students to NITRAA at Prof. B. Behera Auditorium, NIT Rourkela. Sri Ansuman Das, Chairman-cum-MD, NALCO graced the occasion as Chief Guest. Dr.
Somnath Misra, Ex-Principal, REC Rkl,, Dr. Sunil Kumar Sarangi, Director, NIT Rkl, Sri S.K.S. Narayan, Ex-Director RINL and Sri Bijoy Dash, Ex-ED, NALCO also graced the occasion. The event witnessed a gathering of more than 800 students, faculty & alumni. The Sand animation on NITR & NITRAA by artists from Puri & Brain Bang Popping performance by Sri Ajit Singh from Mumbai attracted huge appreciation by the media & students. On this occasion, Dr. Chandan Giriya & Ms Anamika Sinha were awarded with Sailalata Memorial and Asim Chowdhury Award respectively for their outstanding contribution in respective fields.06. Chapter Activity Rourkela Chapter had organized Alumni Induction Ceremonies on 26th April’ 2014 & 27th October’ 2014 to welcome 14 new freshers to their chapter, which were held at Indo German Club, Rourkela. On 15th of September’ 2014, Rourkela Chapter also celebrated 47th Engineers Day celebration at the same venue. The Chief Guest for the function was Sri G S Prasad, CEO, Rourkela Steel Plant & Prof. P. K. Jena, Padmashree, Director, IATES, Bhubaneswar and Former Director General CSIR, was the Key Note Speaker on the occasion. Another active chapter is NITRAA Pune Chapter, who had conducted its first ever Musical Night –cum- Get Together on 14th June, 2014 at the Shivneri Auditorium, Vaikunth Metha National Institute of Cooperative Management (VAMNICOM), Pune. The chapter had also organised the first ever conference call meeting at 8 to 9 pm on 16th Nov, 2014 with an objective of discussing the future roadmap for NITRAA Pune with the alumni fraternity. Pune chapter also successfully organized one more pre- conference meeting on 31st January’ 2015 at the Boat Club in Pune with an objective to address the major problems that our society is facing in terms of pollution. The Chief Guest on this occasion was Mrs Vasantha Ramaswamy, Chairperson, Board of Governors (BOG), NIT Rourkela. Bhubaneswar chapter had successfully organized a seminar on “Preparing for Tomorrow” on 13th Dec, 2014 at Swosti Premium Hotel, Bhubaneswar. Two very eminent personalities, Dr. Anil Kakodhar, DAE Homi Bhabha Chair person, BARC and Prof. Anil Gupta, Professor at IIM, Ahmedabad were the
chief guest & key note speaker respectively on this occasion. The event witnessed representation of more than 100 alumni from all part of country along with their family members. A Get-together-cum-dinner meet of NITRAA Mumbai chapter was held at Hotel Atithi on 29th January’ 2015 to discuss about NITRAA’s vision & mission and requirements from various chapters to make the association more vibrant so as to partner in the prosperity of the Alma mater. Another family Get Together was also successfully organized by Mumbai chapter at “Vaid Farm” at Panvel on 22nd March’ 2015. Amongst others, NITRAA Vizag Chapter held its recent interaction and get together on 30th November’ 2014. Delhi Chapter had also organized an Annual Family Meet on 21st February’ 2015 at Civil Service Officer’s Institute at K G Marg, New Delhi to make their presence felt. Similarly, Qatar Chapter had organized a get-together on 17 April’ 2015 to upkeep the spirit of NITRAA & togetherness.I would like to update the house that all these chapter activities organized inIndia have been personally witnessed by our current President Sri BharatBhusan Mohanty.07. Community Services In accordance to the request received from Dr. K.C. Patra (1971, Elect.) for financial help for his chronically ill batch mate Sri Kamalakanta Pradhan, NITRAA extended an aid of Rs. 25,000/- immediately to Sri Pradhan. On the occasion of 68th Independence Day and 53rd Foundation Day celebration of alma mater, 80 nos. of Mango saplings were planted under a Tree Plantation Programme, which was carried out by NITRAA along with students and faculties of NIT, Rourkela, after executing necessary land- development in side NITR campus on 15th August’ 2014. Similar to last year, the Birsa Munda School, in the vicinity of NIT, Rourkela, had been assisted with a sum of Rs. 30,000.00 to meet their proposed expenses for further development of infrastructure.
08. Student Activities Similar to last year, the “Road Runner 4.0” from NIT Rourkela was facilitated with an aid of Rs. 40,000.00 to partly sponsor their project for participating in formula SAE competition, “SUPRASAE – 2014” held at Madras Motor Sports Club Race Track in Chennai on 11th July' 2014. It may please be noted that this time the Team “Road Runner 4.0” won the 2nd prize in Design and remained among the top six teams that could successfully complete the race. Based on the request received from the team “Blue Streak” from NIT, Rourkela, was served with a sum of Rs. 30,000.00 to overcome their immediate financial constraints, which participated in the event ASME HPVC -2014, an international level competition for Designing, Modeling and Fabricating a Human Powered Vehicle (HPV). Team ESTINNO, who have developed worlds’ smallest Portable washing machine, “Vortex”, the first innovative product developed by 3 students Anurag Mishra, Kirti Sai Shukla and Mrityunjay Sharma of our beloved Alma Mater which has earned appreciation from public was financially supported by NITRAA by extending an interest free loan Rs1.35 lakhs, for a period of two year, which will be returned back to NITRAA by them within two years from the receipt date.09. New Initiatives Refurbishing of Website: Our Website, www.nitraa.org, was recently refurbished in collaboration with M/s Almabse with state-of-the art and users friendly features. Now if you have an email id or a face book id or a linkedin id, you can connect to our website. It is my earnest desire to bring all the alumni closer and I strongly believe this platform will help a lot to keep all of us updated and to march ahead in sustaining the relationships established with its alma mater. I would like to personally encourage all of you to get involved, to reach out and to connect with us. Kindly never forget to update your contact information in this website, so that you will be kept informed about the latest happening in NIT Rourkela & NITRAA. My aim is to bring all of us together, to become a very strong community to reckon with and for mutual benefits as well.
IIT Kanpur Visit: A meeting was held with Chairperson, Board of Governors (BOG) & Director, NIT, Rourkela at Board Room, NIT, Rourkela on 16th January’ 2015, where the Chairperson had formed a committee comprising of 5 members from NIT, Rourkela along with General Secretary & President of NITRAA to visit IIT, Kanpur to carry out a detailed study of their existing Alumni Association and their activities and to submit a report to her on the same. Accordingly a visit was carried out on 27th & 28th February’ a joint report was also submitted as desired by the Chairperson, BOG. New office at TH-1(East), Sector-4: Since the authority of NIT, Rourkela had taken back the Alumni Home constructed on the auspices of Silver Jubilee Celebration; since then NITRAA has been facing a lot of problems for holding EC meetings. Though an office space with a Larger Meeting room and a smaller one had been allotted to NITRAA during Chairmanship of Sri Drona Rath, 1971 batch alumnus, but after his resignation, the Meeting Room, where skype was installed and used for some EC meetings, has already been withdrawn by NITR authority. Now the existing smaller room (Size: 6’x8’), where NITRAA operates its office with a PC, has also become inadequate to store ever increasing volume of documents and to maintain its day-to-day activities. In this backdrop, based on NITRAA’s request, RSP is gracious enough to offer a single-storey house in Sector-4 on monthly rent on co-sharing basis with Indian Institute of Materials Management (IIMM), Rourkela chapter for a plot area of 800 Sqr. Mtr. (approx.) with 50% carpet area having a central hall with two symmetrical wings of 3 rooms on each side with attached toilets. The approximate monthly rental will be about Rs. 8,000/-, which will be equally shared by both NITRAA & IIMM. But the building being an old and outdated one, required immediate refurbishing and accordingly the job is under progress and expected to be habitable by August’ 2015 with an approximate 1st phase expenditure of Rs. 7.00 lakhs. Revival of E-News Bulletin: The Quarterly E-News Bulletins have been revived and already 3 editions have been released and available in our website. But the editorial team is facing problem to prepare & release the e- News Bulletin in time due to non receipt of adequate news materials. Hence all members present here are requested to kindly extend help and furnish news/information for coverage in e-bulletin, so as to timely release of the same.
Marching ahead with Alma mater: Meetings with Director & Dean (AR&RG) are being conducted at regular interval to chalk out future course of action for the development of students, faculty & alma mater. In one such meeting with Director on 23rd & 24th March’ 2015, NITRAA has agreed to submit a Vision Plan for the growth of NITR which will be executed simultaneously and together with the Institute (Annexure-2). In this regard, I earnestly request all members of NITRAA to offer their suggestions in this regard. Golden Jubilee of NITRAA: This year 2015 is the golden jubilee year of NITRAA. To make it memorable, it has been decided that Golden Jubilee will be celebrated in the Alma Mater in appropriate manner. NITRAA proposes to organize various Seminars at different parts of Globe by the registered chapters so as to maximize participation and involvement. This has been further discussed with Director, NIT, Rourkela on 25th June’ 2015 (Annexure-3), where it has been decided that a grand celebration will be organized from 25th Dec to 27th Dec’ 15 at NIT, Rourkela along with Crystal Jubilee class of 2000, Silver Jubilee of class of 1990 & 1st Golden Jubilee Class of 1965. So time left with us is very short and all of us have to work really hard within these coming 6 months to make this event a huge success.10. AuditingThe Auditing of the accounts for the financial year 2014-2015 has been done byour Chartered Accountant, A.K.
