Semester 2 Reports, Yr 7-11 Data Entry Instructions (Version 10, 29 /11/16) Academic ReportingEnsure your programmes are set up using the correct course type:  Y7 – 9: Marks based  Y7 Options: Marks based Option  Y10: Y10 Courses  ATAR: Course of Study – Full Year Concurrent or Consecutive  ATAR Practical: Course of Study Practical  General Courses: Course of Study - Full Year Concurrent or ConsecutiveFor more information on ‘Changing YourMarks Book Type’ see PDF.1. Log on to SEQTA via the Staffweb link or by entering ta.ncc.wa.edu.au into Firefox.2. Access your marks books.Open your timetable. Click on the class you wish to report on andselect ‘Load marks book’. (Green % Symbol)3. Load the Report Type.You will need to scroll to the far right of the marks book to view the Purple Reporting Area.In the marks book, ensure the correct Timetable period is selected – 2016S2. Then Select ‘Type’ > Semester 2.Template should be ‘General Semester 2’.

Semester 2 Reports, Yr 7-11 Data Entry Instructions (Version 10, 29 /11/16)4. Enter your Report Data:ONLY ENTER COMMENTS AND BEHAVIOURAL TRAITS FOR YEAR 7 OPTIONS. DO NOT ENTER GRADES ORMARKS. See HoLAs if in doubt.GRADES: Please see your HoLA to confirm if you are reporting on a whole year or a Semester 2 mark/Grade.Click on the ‘Copy’ icon on the darkpurple column ‘Calc %’.Then click the ‘Paste’ symbol in thecolumn ‘Mod %’.Next, still in the dark purple AREAClick on the ‘Copy’ icon on thecolumn ‘Calc Gd’.Select the paste icon on ‘Mod Gd’.5. YEAR 7-9 enter a ‘State Grade’ for Maths, English, Science and Humanities subjects (MESH) only. Allother courses leave this column empty.6 . Year 10 enter a ‘State Grade’ and an ‘ Exam  Broad-based sciencemark’. Exam marks are only necessary for the following  Physicssubjects:  The Human Body  Our Chemical World  Pre Methods  Pre Applications  Pre-ATAR English  History  Living Planet7. Additional notes for Year 11 courses: Year 11 courses enter an ‘Exam mark’ for ATAR courses only. Year 11 practical courses are not required to enter a written and practical mark. Year 11 VET courses need to enter a ‘C’ (Competent) or an ‘N’ (Not competent) in the ‘Md Gd’ column and add values and a comment. Leave ‘Must Discuss Course Change’ blank. See image below.

Semester 2 Reports, Yr 7-11 Data Entry Instructions (Version 10, 29 /11/16)You may MODERATE and OVERWRITE these marks and grades as required however see HoLA first to confirm.Grade X = New to Course.Grade Z = Not applicable, special Circumstances, e.g. extended absence.Rounding of GradesYou may have a non-rounded %.The reports will print rounded up or down as per Mathematical convention:.5 or above rounds up, .4 or below rounds down. For e.g. 74.6 will become 75%, 49.3 will become 49%.Be mindful here and check the score is what you what to report on and that the GRADE you select will matchthe %.8. Behavioural Traits:From the Drop down menu, select C, U, S, R or ZC – ConsistentlyU – UsuallyS – SometimesR – RarelyZ – Not Applicable (Check with HoLA)‘Must Discuss Course Change’ is for Y11 only.Year 7-10 Leave this column empty.9. Enter CommentsRemember – all students require at least one comment. When you click on the ‘Comments’ box, a pop up window will appear. You can view past assessment grades and comments here.Your entered reportdata shows here.Type your comment CODE to see a specificcomment. Isolate by DEPARTMENT to see therange of departmental comments. Click on the white space to deselect first comment – press enter on keyboard to put second comment on new line.Click on the comment here and itwill display above Isolate by DEPARTMENT or SUBJECT Select a maximum of 2 comments per student. Once finished you can tab to the next student, using the green arrow, without D o n ot writ e you r own ‘fre e verse’ com returning to the Marks book.men t s. To return to the marks book, click ‘OK’.

Semester 2 Reports, Yr 7-11 Data Entry Instructions (Version 10, 29 /11/16)10. Save your reports:Click ‘Save’. Once saved you may exit the application. You may also ‘Print’ a copy to PDF or Excel, for you ownrecords.You may return to edit your reports at any time before the reporting deadline.Marks will not auto update if you update scores in an assessment or exam.You must transfer marks over and save again each time.
