Chief and Deputy Academic Officer Updates Action Items ● Proclamation 2020 ELAR Adoption for 9th-12th The district will be adopting new 9-12 ELAR resources to be implemented in the 20/21 school year. Please fill out the linked form with Teachers/ICs for the adoption committee. The first meeting will be a brief orientation after school on Nov. 12th. The committee will also meet two full days, once in January and once in February to review and ultimately choose the districts HS ELAR resources for the coming years. Curriculum and Instruction Action Items ● Excellence Exchange Program Guidelines: ○ Flexible Staff Days/Staff Development: These are the PLC Planning dates that were designated for teachers only. The completion days were July 1-August 8. ○ Flexible Staff Days/Exchange Days-November 25-26:Professional development for Exchange Days must be completed during the following window: June 7, 2019 through January 6, 2020. ○ Click here for more information on required documentation and options for professional development. Staff members who do NOT complete the activities indicated or other appropriate professional development activities approved by their supervisor will be docked a day’s pay for each day (or each six of the twelve required hours) not completed before January 6, 2020 and documented in Eduphoria such a deduction will be reflected in their March 2020 paycheck. Informational Items District PLCs ● We enjoyed reading every 4th Grade composition and discussed strategies and ideas at our 4th Grade PLC for reading and writing. Advanced Academics Action Items ● AP Registration continues! High school principals, please remind students and parents of the timeline below. Students have three more weeks to register for AP exams. Informational Items ● PSAT 8/9 will be offered to 8th grade students NEXT WEEK on October 23. Thanks to all of the counselors who are working so hard to make this day go smoothly. ● If parents and students (and teachers!) wonder why we give this test, tell them that it’s an early snapshot of whether or not students are on track to be college-ready. We think this information is valuable for planning for ALL involved as students prepare to transition to high school in the coming year. Joy Philpott

State Assessments and Accountability Action Items Upcoming dates for Opportunity 1 for the State-Developed Interim Assessments: 10/21-10/25-Student registration completed by the Assessment Department. A “How-To” will be sent to CTCs for printing test tickets, checking PNPs, language of assessment, etc. 10/28-11/1-Teacher accounts created. Assessment Department will email Principals and Assistant Principals to let teachers know when to expect the ETS email. We will only be creating Reading and Math teacher accounts at this time (as well as ICs). 11/4-11/15-Opportunity 1 window for 3-8 Math, Algebra I, English I, and English II. Informational Items At some point this Fall, please review the Accessibility/Designated Support Training with all STAAR-tested teachers. The goal is to make decisions on Designated Supports in a more timely manner to positively impact the needs of individual students. Kevin Malandruccolo

Federal Programs, State Reports and Grants Action Items ● Formative Review Quick Updates are Due October 31st in Plan4Learning for all Campus Improvement Plans and the District Improvement Plan. ● Click Goals on the Left Side, then select Formative and Summative Reviews ● Scroll down to the strategies. For each strategy, slide the progress marker to show level of completion for the strategy, and provide 1-2 sentences notating current progress made. ● Complete this for all strategies in each of the three Goals ● *Note: There are a few strategies that are in place for compliance purposes; however, at this time, they are not applicable to your campus. For example, elementary campuses might not ever have a student that is pregnant, however, the strategy for Pregnancy-Related Services program services still needs to be addressed. For a strategy like that, you can slide to 100% completion and note, “Services available for students if needed.” Dr. Sharrah Pharr

Career and Technical Education (CTE) Action Items ● No action items at this time Informational Items The October 1, 2019 report from Workforce Solutions Rural Capital lists 16 occupations in the medical industry that are in demand. In Hays CISD, we currently have 985 students in CTE classes related to the medical industry which is approximately 20% of our high school students. We are getting our students #CareerReady! #HCISDPrideBeginsWithYou Targeted Occupations are defined as: ■ In demand or emerging in the local economy ■ Experiencing growth, and ■ Provide opportunities for high-skill, high-wage jobs. Digital Learning Action Items ● Classlink is available at home for students to use. They will use the same login that they use at school! Here is a link to instructions if you want to send them out electronically. Informational Items ● Password resets for teachers have been forced this week! Academic Support Action Items ● 504 Coordinators: Mark your calendar for October 25th. We will meet to discuss some updates to 504. Kunkel Room from 10:00 am - noon. Informational Items ● Behavior RtI forms are in Eduphoria. ● Dyslexia teachers should be progress monitoring students on Fridays. ● Middle School only - Corrective Reading materials have been ordered for your intervention teachers. ● October is International Dyslexia Awareness Month Big thank you to our dyslexia specialists. Multilingual Education and Migrant Programs Action Items FROM THE DESK OF BEN ESTRADA: TELPAS & LPAC COORDINATOR: Dear LPAC Chairs and Clerks, After some consideration it was decided to make some changes on who is responsible to administer the new state assessment for initial placement (pre-LAS & LAS link) into a bilingual or ESL program. At this time we are asking only that all PK/K teachers, APs & ICs at the elementary and LPAC clerks and ESL teachers at the secondary level be online trained. They will need to create an account on the DRC portal and complete the online module training to be certified to administer the new state assessment. The due date is still the same, which is Oct. 25th. Any new student that needs to be administered this test will be required to use the new assessment tool (Pre-LAS or LAS link) after Oct. 31st 2019 (extended date approved by TEA). A copy of teachers certification of completion will need to be printed and a copy given to the campus LPAC Chair. LPAC chairs will scan the certificates into a folder that will be shared with you soon. All remaining ESL & Bilingual teachers (1st -5th) will need to complete this training before the last day of school. Informational Items October 21, 2019: Hays CISD School Board Agenda Item BE/ESL Program Evaluation All school districts required to conduct a bilingual education or English as a second language (ESL) program shall conduct an annual evaluation in accordance with Texas Education Code (TEC),§29.053, collecting a full range of data to determine program effectiveness to ensure student academic success. The annual evaluation report shall be presented to the board of trustees before November 1 of each year and the report shall be retained at the school district level in accordance with TEC, §29.062. Special Education Action Items Every summer and beginning of the year, special education teachers are trained on and/or provided information regarding their case manager roles and responsibilities. As campus administrators, we ask that you please familiarize yourself with these duties so that you are aware of the work that is to be completed, and when these things should be done. Together, we can help ensure that special education teachers are completing these tasks to keep things in compliance. Below is the link to the Case Managers Checklist. You will find a tab for Team Leader Responsibilities and a separate tabs for Secondary and Elementary Responsibilities. Thank you so much for supporting our teachers! They have difficult jobs and they could not do them without your support. Case Manager Checklist Informational Items This week, on October 16th, we celebrated White Cane Day. This day brings awareness to students who are blind, visual impaired, and require assistance with mobility assistance. To increase awareness, I have included a link to the TSBVI site as well as a news clip from this week. Human Resource Action Items ● As district employees, we shall comply with standard practices, respect and obey the law, demonstrate personal integrity, exemplify honesty, and extend just and equitable treatment to all members of the profession. ● Below are a few courtesy reminders we must adhere to immediately: Copyrighted Materials: ○ We must comply with the provisions of federal copyright law relating to the unauthorized use, reproduction, distribution, performance, or display of copy righted materials (i.e., printed material, videos, computer data and programs, etc.) as district employees. ○ Recently, Houston ISD had to settle a copyright lawsuit costing millions of dollars. Senate Bill 944 ○ As district employees, we should conduct school business using district-supported applications (email, google docs, etc.). ○ Among the new laws that went into effect September 1, 2019, is Senate Bill 944 that creates a category of “Temporary Custodians of Public Information.” That applies to any school district employee who conducts school business on a personal device, including text messages, social media posts, personal email accounts, etc. The law recognizes the content of a message, not the ownership of a device or software, in making the determination as to whether something is subject to the Texas Public Information Act (open records) and required to be surrendered to the district upon receipt of a request. That means, even if you are on your own computer or phone, your communication is still subject to open records. Senate Bill 944 makes you also responsible for retaining those records according to the records retention schedules issued by the State Library and Archives Commission. Those schedules are complicated in terms of varying timeframes for retention depending on the type of record. Student Health Services Action Items ● Student Flu Shot Resources / Communication to parents - We encourage parents and students to be vaccinated for flu early in the flu season. Though we were unable to hold school clinics this year, we wanted to provide resources for vaccines. Most insurance companies provide flu vaccines for free as preventative care. You can visit your primary care, a pharmacy, or the Live Oak Health Department in San Marcos for vaccines.
