Staff Guidelines 2022 This document is a summary only of many school policies and practices therefore it is to be read in conjunction with all school policies and procedures, which are maintained on the school server common drive ‘t’, as revised from time to time as necessary, communicated to staff. I believe your presence on this staff adds a further dimension of commitment and richness to our school community. Teaching is one of the gifts of the Spirit mentioned by Saint Paul in the early Christian community. The importance of your ministry as a member of this staff is acknowledged and appreciated as essential to the growth and development of this faith community. It is understood that every staff member at St George Preca Primary School will embrace the policies of this school along with these guidelines and other related documents. These guidelines will provide you with most of the organisational information necessary for the adequate fulfilment of your role as a member of staff and for the smooth operation of the school. HISTORY OF ST GEORGE PRECA PRIMARY SCHOOL St George Preca Primary School had its first students commence on 4th February 2009. Ninety students in Years Prep to Six commenced on that day in our contemporary Learning Street design buildings. By 2020, St George Preca School grew to being a four stream school consisting of 655 students. There are 672 students for 2022. This is the second school in the Parish of St Catherine Siena, the first established school being Christ the Priest Primary School in 2005. The need for a second school is due to the area being within the largest growth corridor west of Melbourne. SCHOOL PROFILE St George Preca Primary School is a co-educational school located 23 kms west of Melbourne CBD, providing a Catholic Education for children in Years Prep to Six. St George Preca, our patron saint, espouses the themes and standards of living the gospel values; inclusiveness; fighting for your beliefs, even against the odds; and spreading the good news to all. He was renowned for his commitment to teaching about faith and his wish that the whole world would follow the gospel. Education is a life-long journey and the empowerment it provides is the common goal binding us all - that we can work together as members of the community to build a better life for our children and the future. The school population includes some 52 nationalities. The higher numbers are in the following cultural backgrounds: Filipino, Maltese, various African countries/nations, Vietnamese, Chinese, Spanish, South American, Italian, Greek, Indian, Sri Lankan, Pacific Islanders, Macedonian, Croatian, Polish, South African, Syrian, Egyptian, Eritrean, Ethiopian and Sudanese. Many of the children were born in Australia and some speak two languages. For the 2022 school year there are 672 students across 28 classes from Grades Prep to Six. 4 03 December 2022
ST GEORGE PRECA, OUR PATRON SAINT Saint George Preca was born in Valletta, Malta on the 12th February 1880. He was the 7th child in a family of 9. During his childhood, his family moved to another town, Hamrun, where he spent the rest of his life. Like any other child he went to primary and secondary school up to the age of 16. By that time he was feeling God’s call to become a priest. He entered the Seminary of Malta where he studied theology until he was ordained a priest on the 22nd December 1906. Around the time of his ordination he was also feeling another call. He felt that catechism courses in parishes were not adequately organised and that God was calling him to do something about it. He met a group of young people with whom he started meeting for Bible study sessions. Soon things developed and the new Societas Doctrinae Christianae Society was established in 1907. Working for and within Societas Doctrinae Christianae meant a lot of hard work for Fr Preca. Naturally he had his normal duties as an ordinary priest serving in St Cajetan’s parish in Hamrun, Malta. Regularly, almost every day however he would go to different SDC centres throughout Malta to talk to the children, young people and members. Often he would also talk to the people out into the open air. Hundreds of people regularly packed any place, street or square where he would go to give talks. Some of his favourite themes were ‘The aim of man’, ‘Right intention of our actions’ and ‘Forgiveness’. He also found time to talk to people who regularly wanted to seek his advice or talk to him about personal matters. Fr George was also an avid writer. He wrote over a hundred publications on many spiritual and theological issues, which he would then have published and sold at cost prices or given out freely to people. Among his best known writings are ‘The Great Book’ and ‘The Sanctuary of Christ’s Spirit’. Fr Preca passed away on Thursday 26th July 1962 at the age of 82 years. Nine years later, in 1971 the official process towards canonisation started. Following a long process he was beatified by His Holiness Pope John Paul II on the 9th May 2001 in Malta. Fr George Preca was canonised by Pope Benedict XVI on 3 June 2007. 5 03 December 2022

Religious Education SCHOOL MASSES / LITURGIES School Masses and Liturgies are celebrated throughout the year. The Religious Education Leader (REL) assists staff with the planning and preparation of Masses and Liturgies. Our school is part of the Parish of St Catherine of Siena, Caroline Springs. The church building is located at 28 College Street, Caroline Springs. Masses are held at our Parish church. Students attend mass at least once per semester and travel by bus to and from the church. Year level sets of mass booklets are supplied through the REL. The cost of the bus is part of the Excursions (Religious Education) budget. Whole School Liturgies are led by a Home Group throughout the year. The Religious Education Calendar and Roster is organised by the Religious Education Leader in collaboration with the classroom Teachers in consultation with Fr Richard, Parish Priest. Fr Richard visits each classroom throughout the year and also provides opportunities for students in Years 3-6 to attend regular Reconciliation. SACRAMENTS Reconciliation The Sacrament of First Reconciliation is offered to those children who have been baptised Catholic and are in Year 3. (Term 2) Eucharist The Sacrament of First Holy Communion is offered to those children who have been baptised Catholic, have received the Sacrament of First Reconciliation and are in Year 4. (Term 3) Confirmation The Sacrament of Confirmation is offered to those children in Year 6 who have been baptised Catholic, and have received the Sacrament of First Reconciliation and First Eucharist. The Sacrament is offered every year. (Term 2) All Sacraments will be organised in accordance with COVID-19 guidelines and density limits as appropriate. 10 03 December 2022
The Order of the Mass As per the Archdiocesan text To Know Worship and Love, prayer will be introduced and reinforced at each level as detailed in the following tables, as will the parts of the mass outlining the Order of the Mass. 1. PRAYER IN THE CLASSROOM Prayer was the constant background of the Lord’s life. From the example and teaching of Jesus Christ, it is clear that a Christian should be a person of prayer. Thus it is an essential requirement that each teacher is not only a person of prayer him/herself but also creates prayerful experiences for the children and leads the children in prayer. LEARNING AND TEACHING The school’s objective is to improve learning outcomes for all students at our school. This requires a commitment to improve the quality of teaching and learning throughout the school. As a member of the staff of St George Preca Primary School, teachers are required to teach in accordance with the learning and teaching. As we begin a new stage of consolidation and transformation with the shifts in pedagogy, the introduction or expansion of programs and strategies, curriculum priorities, etc. it is our objective to produce the desired levels of student achievement, learning behaviours and wellbeing. It is our responsibility to ensure progress towards targets is monitored student by student, class by class and year level by year level and initiatives and programs such as Fountas and Pinnell and PASA are systematically evaluated for their effectiveness in producing the desired levels of learning achievements. Teachers are expected to familiarise themselves with all aspects of learning and teaching as contained in St George Preca Primary Learning and Teaching Policies. 14 03 December 2022
PLANNING Wherever possible, the school timetables are organised in such a way as to enable teachers to plan and work as a team, for the benefit of all students. In accordance with the requirements of the VCAA and to ensure the requirements of Victorian Curriculum are met, teachers are required to plan and record on three levels: ● Term Planning ● Unit Planning ● Weekly & Daily Planning The Learning and Teaching Leaders oversee planning to ensure it meets all requirements. Teachers are required to complete all necessary planning and assessment documentation as per compliance policy and guidelines of the various federal, state and catholic system authorities. See Learning and Teaching Policy, English Policy APPROVED PLANNING TIME Each teacher is allocated an approved amount of planning time where they are released from face-to-face teaching duties. At a minimum, this time allocation is based on a Full Time Equivalent amount, and in accordance with the Award. The professional and efficient use of this time is essential. This time is offered in order to enable teachers to work in the following areas: ▪ Professional learning/discussion for the team of teachers ▪ Special roles/task allocation (e.g. Position of Leadership roles) ▪ Planning of learning and teaching ▪ Maintaining up-to-date student records SPECIALIST TEACHERS are required to plan for their specific subject area in collaboration with each level team wherever possible, utilising the Victorian Curriculum, stating the relevant goals to be attained, the content, learning intentions, success criteria, strategies to be utilised, including resources, and where applicable details of arrangements for addressing possible risks. For example, Physical Education lessons on batting would include that children are to be seated in a defined area whilst waiting to bat, that the batter is not to throw the bat, etc. The planning pro forma to be used to assist teachers in fulfilling the planning and assessment learning and teaching requirements will be reviewed on a needs basis (e.g. during the introduction of the PASA P-2 strategy). IN CASE OF ABSENCE the teacher is to ensure planning documentation and focus sheets are available for the use of the Casual Relief Teacher (CRT). Documentation should be recorded with sufficient detail that the CRT will be able to quickly ascertain what is required 15 03 December 2022
for the day. All documentation should be placed in the CRT folder on the google drive. CRT’s can access this folder using the CRT Chromebook supplied to them when they sign in at the office. WEEKLY TIMETABLE required in each classroom. The teacher must have a ‘timetable’ for the week displayed in the classroom. This is a requirement of the VRQA. ASSESSMENT OF STUDENT ACHIEVEMENT Assessment is an ongoing process, individual to each child. Comprehensive records of each child’s progress are to be kept. Teachers are required to regularly assess and record the performance of the students in their Home Group. The form of assessment may vary according to the type of learning taking place. Assessment should be formative, summative and based on the standards of the Victorian Curriculum. More information on Assessment and Reporting and an assessment schedule is found in the Assessment Policy. STUDENT RECORDS Teachers are to keep up-to-date records of each pupil’s progress. Each child has an individual file kept in a lockable filing cabinet provided to the Home Group Teacher. This file contains samples of work and any other relevant information. This file should be kept neat and only required samples included to keep it at a reasonable size. In the Administration Office there is a student file which contains personal records, enrolment particulars and any other confidential information. HOMEWORK See St George Preca Primary School Homework Policy ATTENDANCE ROLLS St George Preca Primary School has an electronic roll on nForma which MUST be completed twice daily at 9am and on return from the 2nd break. A text message is sent to families if a child is marked absent from school without explanation - therefore it is important the roll is marked on nForma by 9:30am to enable correct data and eliminate incorrect messages going to parents. Learning Diversity Expectations PERSONALISED LEARNING PLANS (PLPs) & PROGRAM SUPPORT GROUP (PSG) MEETINGS A PLP or Goals & Adjustments document is to be completed for any child who has been diagnosed/imputed with a disability and is eligible for NCCD funding, and for any child who has an identified learning difficulty including cognitive, language, social emotional or physical. 16 03 December 2022
The PLP or Goals & Adjustments document is to be reviewed at the end of each term and discussed with the parent/s of the child at a Program Support Group Meeting (PSG). PSGs are coordinated by the Learning Diversity Coordinator and held once each term at a minimum. Students on a or Goals & Adjustments document will have their progressed discussed with parents during PT Interviews At the PSG, goals set at the previous meeting are reviewed, progress in relation to those goals is reported upon, and goals are revised for the following term. The Home Group Teacher, parent/s of the child, the Learning Diversity Coordinator and/or Principal (or delegate) attends the PSG. At times there may be other members present; for example, this may include SGP Speech Pathologist/Occupational Therapist/Psychologist, outside professionals working with the child, the teaching assistant, MACS personnel. 17 03 December 2022
SCHOOL COMMUNITY - TEACHERS AND PARENTS REPORTING TO PARENTS As partners in the education of their children, parents expect to be informed about their child’s progress in all areas of school learning. Twice yearly (Term 2 and Term 4) a digital report will be provided for parents through nForma. Parent/Teacher Interviews will take place at the end of Term 1 and Term 3. Outside of Parent/Teacher Interviews, parents are invited to make an appointment with their child’s Home Group teacher at a mutually convenient time in order to discuss their child’s progress or any concerns they may have about their child’s schooling. Teachers are asked to: ● Inform the appropriate member of the Leadership Team of the interview/meeting and its outcome ● Complete the Parent/Teacher interview form after the interview. This form can be located on the SGP STaff Desktop Please see also, Program Support Group Meetings as described above. PARENT PARTICIPATION AND INVOLVEMENT Parents are encouraged to participate in the life of the school in a number of ways, such as Classroom Helper Program, the work of SGP Parents & Friends Committee, maintaining the student library resources and excursions. It is a requirement that parents sign the school’s Code of Conduct, have a current Working With Children Check and are fully COVID vaccinated. SGP PARENTS AND FRIENDS COMMITTEE Parents are encouraged to participate in the work of this committee. Meetings are held monthly in the staffroom. Their mandate is to organise fundraising, social events, special lunches and other services to the school community as may be desirable. CLASSROOM HELPERS Parents and community members, who are able to, may volunteer their time to help in the classroom. They are required to participate in the Classroom Helpers Training Program, which is run in Term 1 of the school year. As a requirement of the Archdiocese of Melbourne, all classroom helpers must have a Working With Children Check, and mu st sign the school’s Code of Conduct. All visitors must provide proof of covid vaccination to enter the school buildings. 18 03 December 2022
LEADERSHIP AND MANAGEMENT - ADMINISTRATION All staff members are employed by MACS Ltd in consultation with the Principal. Teachers must show their updated VIT registration card each year and provide a copy to the admin office. Non teaching staff must show their Working With Children Check on employment, and on renewal and provide a copy to the Office. All staff must complete a police check every 5 years and provide a copy to the office. Proof of vaccination certificate for all staff must be provided on employment. Staff members are reminded of the Victorian Institute of Teaching Code of Conduct available for viewing at the following link: http://www.vit.vic.edu.au/media/documents/imported-files/spl/Code-of-Conduct-2015.pdf and the AITSL standards for Teachers which can be viewed at the following link: http://www.aitsl.edu.au/ The Principal is ultimately responsible for the internal management of the school in consultation with MACS Ltd. Consultation for decision making is sought through MACS Ltd, Parish Priest, Leadership Team, Consultative Committee, Staff Meetings, and the SGP Parents and Friends Committee. SPECIALIST TEACHERS are considered as full active members of staff and are expected to show interest in and support for all aspects of the school program. It is also expected specialist teachers will experience the full support of other staff members. Part-time staff members are required to attend planning and professional learning meetings and will be asked to attend Full Time Equivalent (FTE) staff meetings and professional development programs that are relevant to their role in the school. They are required to attend a pro rata number of all meetings. POSITIONS OF LEADERSHIP (POL) Staff members who hold a position of leadership are required to document the duties they perform in their role and in their allocated POL time. This document is to be made available to the Principal on request. CASUAL RELIEF TEACHERS The school appreciates the assistance provided by Casual Relief Teachers. To enable them to function efficiently and smoothly, the classroom teacher’s / specialist teacher’s timetable and weekly/daily program must be carefully planned and clearly presented. Classroom teachers should print and add any updated copies of these timetables to the red CRT folder in the classroom. 19 03 December 2022
Casual Relief Teachers are asked to: ▪ Report to the school office on arrival to sign in using the digital QR codes - location information will be given at this time to the classroom they are working in. ▪ They will be assigned a CRT account and Chromebook and advised how to log in and find the timetable and work program in the CRT google drive folder. ▪ Refer to the Casual Relief Teacher Folder which is maintained in each classroom and by each Specialist Teacher ▪ Leave a short diary/summary of the day’s activities, e.g. special messages, unusual occurrences, work covered and any special activities. ▪ Mark roll on the CRT google doc. - Instructions are available in the Casual Relief Teacher folder this will submit to the admin office once complete ▪ Report to the school office before departing at the end of the day to return the CRT Chromebook and sign out. HOURS OF DUTY Teachers are required to be at school between the hours of 8:30am and 4:06pm and until all duties are complete, with the exception of regularly scheduled meeting days, which includes Staff Meetings (3.45-5:00 pm) and Professional Learning Meetings meetings 3.45 – 4.45pm). At times staff are required to be at school for further meetings such as Parent / Teacher Interviews, Parent Information Sessions and Sacrament Faith Nights. All teachers are required to attend all staff, planning and professional learning meetings (and other meetings as required) or the equivalent Full Time Equivalent pro rata amount. Teachers on other committees are required to attend the relevant meeting/s as they occur, such as Leadership Team meetings or Consultative Committee meetings. STAFF PROFESSIONAL LEARNING MEETINGS & PROFESSIONAL LEARNING TEAM MEETINGS Staff Professional Learning Meetings (PLMs) are held weekly on a Tuesday and begin promptly at 3.45pm, concluding at 5pm. All teaching staff members (including specialists) are required to attend all meetings or the pro-rata full time equivalent amount for part time staff. Part Time staff members are required to liaise with the Deputy Principal as to attendance at those meetings relevant to their role or specific needs, e.g. whole school performance briefing. . Professional Learning Team Meetings (PLTs) are held weekly on a Wednesday, alternating Maths and Literacy P-2 and 3-6. They will begin promptly at 3:45 p.m. concluding at 4:45 p.m. All teaching staff members are required to attend all meetings or the pro-rata full time equivalent amount for part time staff. Literacy and Mathematics will be held weekly but alternate teams each week, either Junior (Prep – 2) or middle senior (year 3 – year 6) teams. Part Time staff members are required to attend those meetings relevant to their role. Should you be unable to attend, please notify either the Deputy Principal or Principal. The Principal may find it necessary to call extra staff meetings on occasions – such meetings will be regarded in the same light as the regular staff meetings. 20 03 December 2022
Staff members are asked to: ▪ Arrive punctually and remain for the entire meeting ▪ Contribute actively and be willing to volunteer their services to such a meeting and its outcome. ▪ Share responsibility for the role of chairperson, secretary and leading prayer. Minutes are kept for each meeting. A roster is distributed for minutes, chairperson and staff prayer. ▪ Read the agenda for meetings and contribute as necessary. The agenda will include general business and agenda for the focus of the meeting. Items for General Business must be forwarded to the Deputy Principal prior to the meeting. TEACHER ABSENCE If a member of staff is to be absent on any scheduled school day, or part thereof, event or function, staff members are required to directly inform the Deputy Principal in person or via a phone call, with sufficient notice should they need to leave school earlier than normal or if they expect to arrive late to school. In the event of illness: ▪ The teacher is to call the Deputy Principal (Aggi Parisi) on the contact number (0428 764 632) provided to them by 7am (at the latest) on the day of absence. ▪ If the teacher knows they are going to be absent for further day/s, they are to call the Deputy Principal as soon as possible. Notification MUST be in the form of a phone call or in person. Under no circumstances is this to be via text message or email message or other non-verbal method. This is in order to allow time for a Casual Relief Teacher to be contacted and booked. STAFF NAME BADGES All staff members are provided with a Name Badge; this must be worn where it is visible. It is to be worn each school day and at all school related events such as excursions and professional learning days both at the school and off site. School keys are not to be attached to a lanyard with the school’s name on it. SCHOOL CODE OF CONDUCT & CHILD SAFE POLICIES St George Preca Catholic Primary School is committed to ensuring the safety of the children who attend the school. All staff are required to be aware of the SGP MACS Child Safety Code of Conduct, SGP MACS Child Safety Policy, SGP MACS Identifying and Responding to Abuse Policy and complete all at the beginning of each year. DRESS CODE Staff are to observe professional dress standards at all times. Clothes are to ensure that modesty is maintained by staff when in the process of completing duties (eg - dresses/skirts to be of a length which when on the floor or bending over, maintain modesty; cleavage is not showing, trousers/pants/dress shorts cover the wearer when seated and bending down; tops/shirts are of a length which cover the midriff area etc). Blue denim and activewear are not permitted to be worn unless it is a student free day. Coloured denim (i.e. black - white) is permitted if it is of a standard that can be described as being in very good condition - i.e. not faded, torn or frayed. When attending Sacraments or representing the school at events, St George Preca staff are expected to maintain the same level of professional dress standards as listed above. Other than by the Physical Education teachers, tracksuit pants, active wear or sport shorts are only permitted on days where the teacher is engaged in sporting activities (e.g. whole school athletics carnival). Dress shoes are to be appropriate (i.e. practical, comfortable and well maintained). Open-toe footwear is not permitted. This includes such items as thongs or thong-like shoes, sandals, fine stiletto heels, or other extreme footwear. Any tattoos are to be covered at all times. Piercings are only to be visible in the ear lobe. Any other visible piercings are to be free of jewellery. Any queries in relation to the dress code may be raised with the Principal or Deputy Principal. PROCEDURES FOR USE OF SCHOOL EQUIPMENT AND RESOURCES STAFF DEVICES All staff at SGP are supplied with the technology to be able to support the expectations of their teaching role as well as the digital learning environment. Classroom Teachers and members of the Leadership Team will be issued with an Asus 14” Touch Flip Chromebook with Google Remote Desktop Access installed. The functionality of the Chromebook enables a seamless transition to all of the Workspace for Education licensing components and also ensures that both staff and students have access to the same platform. New staff will be issued with a Chromebook on their commencement of employment at St George Preca. For those staff members who are unfamiliar with Chromebooks and Remote Desktop applications, support and training is available year round. Please note that the school DOES NOT SUPPORT any personnel laptops, MacBooks, etc. The use of these devices or hot-spotting within the school is NOT permitted and as such, it is expected that each staff member will comply with this expectation. 23 03 December 2022
The Principal, Deputy Principal and the IT Manager are the only persons permitted to authorise any repairs, and software availability of any of the school owned equipment. A staff member with any items requiring attention is to report this to the IT Manager by logging an IT support request through the staff desktop. Photographing / Videoing Students & their Classroom Work for School Purposes On occasion, staff members may wish to take photographs of students in their classroom environment or on school grounds to publish in/on: ● A class learning environment; ● A school’s learning and teaching platform (for example, class learning space, class dojo); ● The school’s publicly available website and social media accounts; ● Promotional material for the school, including in pamphlets and public advertisements; The school’s newsletter and other communications to the community and public. Staff members at St George Preca Catholic Primary School will only photograph / video students for these purposes (or other incidental purposes related to a classroom activity) after a parent has provided prior consent. Consent is generally obtained at the commencement of each year via the school’s consent form. Staff members will download all images as soon as is practical to the school server/shared photo drive folder and are not permitted to store any image on their own device. Failure to comply with this requirement is a breach of the School’s ‘Child Safety Code of Conduct’ and may result in disciplinary action, including in the case of serious breaches, summary dismissal. See also Staff ICT Policy LEGAL RESPONSIBILITIES – DUTY OF CARE FOR THE CHILDREN Duty of care for the safety and behaviour of the children is a professional and legal responsibility of all staff. It must be carried out with the utmost diligence and care at all times. It is important that all staff members have a sound knowledge of any legal constraints to which they are subject, and any privileges that they enjoy. Some points to note: a) NEGLIGENCE Teachers owe their pupils a higher standard of care than that which a prudent parent would take of his/her children if he/she were in the school situation. prudent parent would not allow his child access to injurious articles, dangerous liquids, faulty equipment or unsafe essential services. All possible risks must be taken into account when planning for school activities both on the school property and at off site venues. Site inspections should be carried out. Identified risks should be assessed and planned for – what is reasonably foreseeable. Negligence is a failure to do in the circumstances what the circumstances require. See also Occupational Health and Safety b) SUPERVISION The amount of actual supervision required of a teacher depends not only on the age of the children but also on the activity they are engaged in at the time. Generally, more supervision is required during periods of instruction than during recess breaks. (See Yard Duty Policy) Students are to be supervised at all times. In the case of a student leaving the classroom for the purpose of an errand, for example, the student must always be accompanied by another student. Students wishing to use the toilets during class time, need to seek the classroom teacher’s permission. This will enable the teacher to monitor the length of their absence. The internal toilets located close to each of the classrooms are readily accessible. Therefore with this design of building and the external security measures, students do not need to be accompanied to the toilet by other students. This reduces any further interruption to learning for many students. Teachers may use their discretion based on age and needs of the individual student especially in the early weeks of the school year. At no time are children to be in any part of the school without teacher supervision. In an emergency, a teacher from a neighbouring classroom area may be asked to assume responsibility for a Home Group for a short period of time. Teachers taking on this responsibility must ensure they are in constant visual contact with the Home Group they have assumed responsibility for. At the conclusion of recess breaks, music is played, which allows both students and staff time to move to the line up area. Staff should begin to move when music begins and be with their Home Group as the bell sounds. If there is an emergency, another teacher should be asked to cover the absence. If an accident was to occur and a teacher had been remiss in this duty, not only school negligence but personal negligence may also be involved. SUPERVISION DURING EATING TIME Students will have a 15 eating time before/after each break. This break is to be supervised by the Class Teacher. This includes before/after planning sessions. This allows Specialist teachers to have the time to move/prepare resources between year levels. 25 03 December 2022
c) OFF SITE ACTIVITIES - EXCURSIONS During an off site school activity the teacher has a continual responsibility for the safety of the children, from the moment of leaving to the moment of return. At St George Preca School, the minimum adult to child ratio for excursions is 1 adult to 10 children. However, the age of the children, any special needs to be considered, along with the type of activity undertaken must be taken into account. See Excursions and Incursions Policy and Appendix 1 for Checklist For Planning Excursions/Incursions EMERGENCY MANAGEMENT PLAN St George Preca Primary School Emergency Management Plan is to be followed in case of an emergency and all teachers should become familiar with this document. A copy should be displayed near the exit doors of the classroom, in the red CRT folder and is also available online through the staff desktop All staff members are trained in emergency management procedures each year. Regular emergency management drills are conducted. See Dynamiq Emergency Plan Training Book RECORDS AND CHILDREN TRANSFERRING OUT OF THE SCHOOL When a child transfers to a new school, copies of information will only be provided when the request has been made through the Principal. The child’s parent must sign a form giving permission for the Principal to provide information to the new school. STUDENT ABSENCE When a child is absent the parents/guardians are requested to complete an absentee form through the Skoolloop app / notices / school forms or through the Parent Community website noting the reason for the absence. Staff members are required to report to the Principal any unexplained student absences. Where the parents/guardians have not contacted the office, the classroom teacher or delegate should contact the parent/guardian in order to ascertain the reason for the absence. A record of the contact will be recorded and the office notified. The Deputy Principal or delegate will contact the parents of students with high levels of unexplained absences with the view to developing and implementing strategies to minimise absences. See Student Attendance Policy for full details EXTENDED STUDENT ABSENCES At times when families arrange extended absences from school for any reason, such as a family holiday, the parents are to complete an extended absence form and submit to the Principal, for their child to be granted this leave of absence. This person administers First Aid during recess breaks for any condition too serious for the teacher on yard duty to handle him/herself. Our school nurse is a member of our Covidsafe committee. In the event of First Aid being required during indoor learning time, children should only be sent to the First Aid Officer if the condition is serious. Minor incidents are to be dealt with by the supervising teacher. Always call for an ambulance in the event of an emergency such as ▪ A child is unconscious ▪ A child has loss of power or feeling in the event of a back injury ▪ A child has a major haemorrhage ▪ A child has severe burns ▪ A child has a snake bite or has swallowed poison ▪ The child is known to be allergic and has an anaphylactic reaction. ▪ The child has difficulty breathing, whether known to be asthmatic or not. In the event of children with a medical condition requiring emergency care, call an ambulance and refer to the instructions displayed in the classroom and/or sick bay. The Home Group teacher is provided with a list of children with a medical condition, and the Casual Relief Teacher (red) folder also contains information regarding those individual children. Parents are to be notified after the First Aid has been administered and the ambulance called. ALLERGY BUDDY BAG Each classroom is provided with an Allergy Buddy Bag. This contains an action plan and relevant medication for those children in the Home Group who have a medical condition and/or allergy. The Allergy Buddy Bag is to be kept in a prominent place in the classroom - on hooks. If your hooks are missing or damaged, log a maintenance request to have it rectified. ACCIDENT RECORD BOOK (STUDENT) The accident record book is kept in the Administration office. In case of a serious accident the teacher on supervision duty at the time must complete all details in the accident book. If a teacher is concerned further he/she should discuss the matter with the Principal or Deputy Principal. 29 03 December 2022
ACCIDENT RECORD (STAFF MEMBER) Staff injuries are also to be recorded in the accident/injury register, which is maintained in the administration office. This can be accessed via administration staff, the Principal or Deputy Principal. In case of an injury that may cause permanent damage or absence from school, a WorkCover form must be tendered. MEDICATIONS Please refer to the First Aid Policy in relation to administering medication to students. All medications must be accompanied by a Medication Form available on the Skoolloop app and Parent Community website. Medications will be stored and administered by the School Nurse. No medication other than asthma medication is to be administered or kept by individual children. YARD DUTY A Yard Duty Roster is provided at the beginning of each school term and is revised from time to time, as necessary. Staff are to note their allocated yard duty and ensure they arrive promptly to the designated area for their duty. Teachers are not to leave the playground until the person relieving them arrives to replace them. If the next person on yard duty has not arrived promptly, the teacher may send two children to the staff room to inquire about who is relieving them. All teachers on yard duty are to wear a St George Preca high-visibility Yard Duty Vest and carry a ‘bum-bag’ for addressing minor first aid incidents. See also Yard Duty Policy CHILDREN LEAVING SCHOOL GROUNDS Parents collecting their child early must report to the school office. No child is to leave the school without the adult first reporting to the office to register the early dismissal of the child electronically by completing the Early Departure form located in the Skoolloop app. Once the form is complete, office staff will call the classroom to ask the student to come to the office. Children are not to be dismissed from the classroom unless advised to do so by office staff or leadership Any person found in school grounds during school hours is to be directed to the office. If a child leaves the school without permission during school hours, the Police are to be contacted immediately (000) ST GEORGE PRECA SCHOOL WAY This set of guidelines for behaviour at our school, forms the basis of the way we act, in addition to our Behaviour Management Policy. BIRTHDAY CELEBRATIONS If parents wish to, they are requested to make arrangements for a simple celebration of their child’s birthday with the Home Group teacher, prior to the day. This normally consists of individually served food such as cupcakes or lollies. All items are to be individually wrapped (including lollies) and handed out at the end of the school day as the students 30 03 December 2022
leave the classroom. Any food that does not meet this criteria will be sent home at the end of the day, and a phone call should be made to the parent/s at the earliest possible opportunity to explain that they will not be given out. This advice may alter due to changes in Covid Restrictions 2022. Please check the school’s most current Covid guidelines provided by our Covid safe committee. LUNCH ORDERS SGP Parents and Friends organise weekly lunch orders and special lunch days for students. Students have the option each week of ordering subway, a lunch order and donuts. From time to time the SGP Parents and Friends will organise special lunch days (sausage sizzle / pizza days) Twice a week there are Icy pole sales (Terms 1 & 4) and popcorn sales (Terms 2 & 3) during recess breaks on Mondays and Fridays. FOOD ALLERGIES The school has a policy and strategies to avoid allergens. SHARING LUNCHES Students are NOT permitted to share lunches. Lunches are eaten and supervised in a specified area in the classroom. TRIGGER FOODS Parents are informed that they are discouraged from providing lunches containing nuts for their children’s snacks and lunches. Allergy Buddy Bags and Emergency Response plans are maintained in the Sick Bay and in the classrooms. Parents are to be advised of food allergies in the classroom if there is any sort of food sharing organised e.g. for a class party, multicultural food celebration, etc. All food provided must be labelled with the ingredients clearly listed. Parents of students with food allergies are to be advised of the food sharing activity so they are able to provide appropriate foods. Parents of students with allergies are invited to provide an alternative for birthday celebrations. They are to be clearly labelled and stored appropriately out of reach of children. SUNSMART From 1st September to 30th April each year, staff and students must: ● Use available areas of shade when outside ● Wear sun protective clothing ● Wear a hat that protects the face, neck and ears,(i.e. legionnaire, wide brimmed or bucket hat). 31 03 December 2022
● Apply 30+ sunscreen at least 20 minutes before going outdoors and if outside, reapply every 2 hours. (Teachers and students are to provide their own sunscreen. However, the school has a supply as a backup. If required for students, the teacher must check that the student does not have an allergy to sunscreen. The student is to apply the sunscreen themselves) Staff members are to role model appropriate Sunsmart practices at all times. CHRISTMAS PRESENTS FROM TEACHERS TO STUDENTS Small gifts from teachers to students are allowed but are not to be paid for by school funds. EXCURSIONS/INCURSIONS Excursions/incursions are an integral part of the learning and teaching at St. George Preca Primary School. The aim of the excursion is to enrich the students’ experiences and understanding of the unit of work or to provide a stimulus for future learning. On average an excursion/incursion should take place at least once each term. These guidelines are to be followed for all excursions including school events such as Sports Day, swimming program, etc. Prior to the excursion, teachers are to visit the site and ensure they familiarise themselves with the location of the site, the emergency procedures, the entrance/s and exit/s, location of toilet facilities, location of suitable eating spot/s, any risks present (e.g. traffic hazards, public events, etc), and so on. Whenever possible parents should be given two weeks notice of a day excursion and 4 weeks notice of an overnight excursion (e.g. camp). The notice to parents should include: ▪ The precise details of the venue and means of transport ▪ The aims and purpose of the excursion ▪ The date, time of departure and return to school, for the excursion ▪ Meal arrangements and clothing requirements ▪ If parent helpers are required (no siblings are allowed). The parent must have a Working With Children Check and sign the school Code of Conduct The note will be published through our parent community website and permission granted online. Only those children who have permission slip will be able to attend the excursion. Verbal permission is NOT acceptable. On the day of the excursion, the teacher in charge is to ensure the following: ▪ Take the First Aid bag ▪ Take the ALLERGY BUDDY BAG and any required medications for children who have a medical management plan e.g. EpiPen ▪ Ensure all children with asthma have their asthma puffer and spacer ▪ Ensure electronic roll is marked with any absences noted. ▪ Other staff and parent helpers attending the excursion are assigned to a specific group of children to be supervised. All groups must be under the constant supervision of a teacher (i.e. a parent helper or non teaching staff member must not have sole responsibility for the supervision of a student or group of students). ▪ Ensure all staff and parent helpers have a timetable for the day’s activities. ▪ All children are wearing the required clothing and have their food as applicable. ▪ Check the number of children on leaving the school, on arrival at the excursion, on leaving the excursion for return to school, on return to school, and at other times during the excursion when the group may have dispersed for activities and then come back together. ▪ Staff will be given access to the master permission forms online ▪ Ensure safety procedures are followed during travel and at the excursion venue. ▪ Ensure children remain seated whilst travelling on the bus/tram/train. 33 03 December 2022
▪ Between 1 September and 30 April, students are to wear their school, wide brimmed hat for ALL outdoor activities ▪ 30+ Sunscreen is to be applied 20 minutes prior to being outdoors and, if outdoors, reapplied every 2 hours (teachers and children are to bring and apply their own sunscreen) SWIMMING PROGRAM St. George Preca Primary School has a swimming program for all year levels P - 6, which is organised in conjunction with a local swim centre. The Swimming Program at SGP is a COMPULSORY part of the curriculum. PARENTS WISHING FOR THEIR CHILD NOT TO PARTICIPATE IN THE SWIMMING PROGRAM MUST MAKE AN APPOINTMENT WITH THE PRINCIPAL OR DEPUTY PRINCIPAL TO DISCUSS THE MATTER. IN THIS CASE, THE PARENT MUST PICK THE STUDENT UP PRIOR TO THE CLASS LEAVING FOR THE PROGRAM AND CAN DELIVER THE STUDENT BACK TO SCHOOL WHEN THE CLASS RETURNS The excursion guidelines outlined above are to be followed for this program. 34 03 December 2022
OCCUPATIONAL HEALTH AND SAFETY Health and Safety Representative 2022 Ms Aggi Parisi The Occupational Health & Safety (OHS) policy informs staff, students, visitors and other relevant parties that OHS is an integral part of all our operations. PURCHASING PROCEDURE Budgets are prepared annually by the Principal and Accountant, and are to be strictly adhered to. Each Leader/Teacher who is responsible for the budget is to discuss the purchase with the Principal and receive approval PRIOR to the order being placed. Purchasing Guidelines are provided to each person with budget responsibility. The guidelines are to be adhered to strictly. ALL purchases must have prior approval of the Principal or delegate. ONLY APPROVED SUPPLIERS are to be used for ALL purchases unless there is prior agreement with the Principal or delegate. Please note that REIMBURSEMENT WILL NOT BE MADE for purchases which have not had prior approval and/or exceed the stated limit. ALL BUDGETS ARE CLOSED IN THE FINAL WEEK OF TERM THREE. Unapproved expenditure is NOT to occur after this time. MONEY/NOTICES Any money or notices are to be sent to the office daily, as per the Administration guidelines. 36 03 December 2022
INTERNAL ORGANISATION NORMAL SCHOOL TIMETABLE 8.40 a.m. All teachers are to be in the classrooms. Children may enter the classrooms to drop off their school bag and go to play in the playground. A teacher is rostered for Yard Duty and is to supervise the school playground. On wet days, the children remain in the school building. A teacher is rostered for duty at the school gates and car park to supervise children as they are dropped off to school. See Yard Duty Policy for precise details. 8.55 a.m. Music is played and all children line up outside their classroom, where they will be met by their teacher each morning and led inside to get ready for morning prayer. 9.00 a.m. Bell rings. School day commences. 11.00 a.m. Bell rings. Children eat lunch/snack indoors 11.15 a.m. Bell rings for first recess break 11.40 a.m. Music is played. Children are encouraged to go to the toilet and have a drink then line up. Teacher on yard duty is to stay at the assembly area until all Home Groups have their teacher with them. 11.45 a.m. Bell rings. Children go the classroom under the supervision of their teacher. 1.45 p.m. Bell rings. Children eat lunch/snack indoors 2.00 p.m. Bell rings for second recess break 2.25 p.m. Music is played. Children go to the toilet and have a drink then line up. Teacher on yard duty is to stay at the assembly area until all Home Groups have their teacher with them. 2.30 p.m. Bell rings. Children go to their classroom under the supervision of their teacher. 3.30 p.m. Bell rings for the children to be dismissed for the day. A teacher on yard duty is posted at each school gate, and car park. These teachers are on Yard Duty until 3.45 p.m. 37 03 December 2022
WET / EXTREME WEATHER DAYS The Principal or delegate will declare a wet weather program in the event of excessively wet weather. The timetable for the Wet / Extreme Weather Day Program will be put in place for supervision of children in the classrooms. In the event the children are outdoors and it starts to rain, the teacher on yard duty will contact the school office for the bell to be rung to indicate to the children to move to classrooms where they will be supervised according to the Wet Day Program Timetable. A Wet / Extreme Weather Day Program may also be called for days of extreme weather such as heat and wind. TELEPHONE Teachers may use the school phone for school business and for limited personal use as long as it doesn’t interfere with the person’s employment obligations. Personal mobile phones are to be switched off during school hours and all meetings. In the event of an emergency situation where the teacher may need to be contacted urgently, the teacher is to notify the Principal or delegate of the situation. CAR PARKING Staff parking is available in the front of school staff car park on Lancefield Drive or in the gated carpark off Lancefield Drive, adjoining the Grammar school. Do not park in the designated Disabled Car Park spots unless you are legally allowed and display the appropriate signage. Staff wishing to park in this car park will need to download the PAL GATE APP to access this carpark. 38 03 December 2022
CONDITIONS OF EMPLOYMENT, LEAVE ENTITLEMENTS ETC. Information regarding this is available in the Victorian Catholic Education Multi Employer Agreement (VCEMEA). This is available on the CEVN for you to view. LEAVE Long Service Leave is to be applied for 12 months in advance and is to be taken in accordance with the rules of the Catholic Education Long Service Leave Scheme, which are available on CEVN. LWOP will not be approved for holidays and/or in order to extend school holiday periods NORMAL DAILY DUTIES FOR ALL STAFF All staff are required to: ▪ Be punctual for supervision of students at all times. ▪ Check that all classrooms are free of children during any recess periods. ▪ Punctually dismiss their class at 3.30 p.m. ▪ Ensure that the classrooms and passageways are clean and free from litter before dismissing the children at 3.30 p.m. ▪ Ensure that children take all their belongings from the bag/tub trolleys on dismissal. ▪ Ensure that children treat school materials and resources, school and personal property with appropriate care. ▪ Ensure all windows and doors have been closed and locked before recess breaks and at the end of the day. ▪ Ensure that all equipment such as computers and audiovisual items, have been switched off and returned to the correct storage area where appropriate ▪ Ensure that heaters, lights, fans, etc are switched off before leaving the school at the end of the day. ▪ Ensure all sporting equipment is returned to the relevant areas each day. ● Whenever practicable, students are to use local classroom door for external access. 39 03 December 2022

CLASSROOM SUPPLIES AND MAINTENANCE SPORTS EQUIPMENT Monitors organise equipment which is available for students to use during each recess break, they then ensure all items are returned at the end of the recess break. Although not banned, children are reminded that if they bring their own toys and sports equipment to school it is at their own risk and no responsibility will be taken by the school. CLASSROOM PRESENTATION We take pride in our learning environment at St George Preca Primary school. Therefore the Teacher is responsible for leading by example in order to maintain a clean, attractive, and stimulating environment for the students. A quick clean and tidy up is necessary before the teacher and the students depart at the end of the day. Rubbish bins are to be located for easy access by the cleaner. LOST PROPERTY All unclaimed and unnamed clothing and other belongings should be placed in the Lost Property basket, located in the foyer outside the staff room. SAFETY OF VALUABLES 1. Teachers are responsible for the safety of their own belongings. Each staff member has access to a lockable filing cabinet/cupboard where they are able to keep their valuables. When students are out to recess and the classrooms are vacant, doors are to be kept locked. Personal property is not covered by the school’s insurance policy. 2. Any money and valuables brought to school by the children must be given to the teacher for safekeeping. KEYS AND SAFETY All staff members are issued with a school buildings key. The staff member is responsible for its safekeeping. If school keys are lost, it must be reported to the Principal immediately. Keys are NOT to be lent to anyone without the prior approval of the Principal. Please refer to the Key Policy for full details. END OF TERM CLEAN UP To ensure that all is in order at the end of a school term all staff will be expected to assist in the following way. Each teacher is responsible for his or her own classroom or work area. ▪ Cupboards cleaned and tidied ▪ Rubbish removed ▪ Class sets fully accounted for and repaired if necessary ▪ Tables, chairs and tubs and bag trolleys cleaned ▪ All children’s belongings cleared from bag areas ▪ All resources to be returned to the correct storage areas ▪ Passageways and classrooms are to be cleared free of rubbish and materials. 41 03 December 2022
STUDENT ACCESS TO CLASSROOMS On arrival at school in the morning, students may choose to remain in the classroom OR go to play in the playground (weather permitting). Students are not to enter classrooms during recess breaks. Teachers are to ensure the classroom doors and exit doors (other than ones closest to staff room) are locked during recess breaks. With the permission of the teacher on Yard Duty they may go to the Sick Bay/Admin area/Staff Room, entering via the double doors closest to Staffroom (located between the children’s toilets). 42 03 December 2022

CHECKLIST FOR PLANNING EXCURSIONS/INCURSIONS □ Discuss the proposed excursion/incursion with the Principal to gain approval □ Check with the Principal that the date of the proposed excursion/incursion is suitable □ Check that there is sufficient funds available from the Excursions/Incursions Budget allocation □ Inspect the Excursion Site □ Book method of transport e.g. bus □ Ensure accounts are forwarded to the school address (PO Box 3534 Caroline Springs Vic 3023) □ Write a letter to parents providing information about the excursion/incursion, the date, venue, how it will enhance the children’s learning and the related curriculum areas. If walking to the venue state that the ‘blanket excursion form’ provided at the beginning of the school year has given permission for the child to attend the excursion □ Prepare the excursion form. The following details are required: ▪ The excursion venue and address ▪ Date of the excursion ▪ Time of departure and return to school ▪ Method of transport ▪ Curriculum areas the excursion is related to ▪ Clothing/Uniform to be worn (From 1 September to 30 April school hat must be worn for all outdoor activities) ▪ Any special requirements, e.g. water bottle, lunch and snack in a disposable container ▪ Whether parent helpers are required ▪ Parent Helpers require a Working With Children Check □ Keep a record of permission slips returned. Follow up any not returned. VERBAL PERMISSION IS NOT ALLOWED. Permission slips are kept by the teacher. At the end of the school year they are forwarded to the school office to be archived □ Request the office staff to scan a copy of the permission forms for all students attending the excursion □ The teacher in charge is take the permission slips on the excursion □ A First Aid kit is to be taken on the excursion. This is prepared and provided by the First Aid officer. □ Allergy buddy bag is to be taken on the excursion (for those children attending and for whom it is required) □ If outdoors, ensure the students apply their own 30+ sunscreen 20 minutes prior to going outdoors and, if outdoors for an extended period, re apply the sunscreen every 2 hours □ Ensure all children with asthma have an asthma puffer and spacer, and that they carry it with them at all times, whilst on the excursion □ Ensure the Teacher In Charge carries an EpiPen for any child in their care who has a medical management which may require its use (This is in addition to that in the allergy buddy. This is also available from the First Aid Office. The register must be completed) □ Collect the school mobile phone for use by the teacher in charge for the duration of the excursion. □ Inform the Administrative Officer of the final number of students attending the excursion and the names of any students who are not attending. 44 03 December 2022
