Broker Portal1. Go to http://www.brokers.intactinsurance.com and you will see the page shown below.You can also access it from the intranet homepage. IT Systems BrokersServices Access PortalYour user name and password will be the same as your computer log in.You may also encounter a pop up window asking you to download a small patch from LotusDomino – Click “Yes” to load this patch otherwise the page will not open properly (you will onlyneed to do this once).You will then be logged into the Broker Portal.Halcion – Commercial Auto – February 2015 4

Setting Up a New Business 1. Enter in through WUPROD 2. Select “U” for Underwriting.NOTE Halcion is not case-sensitive, and all characters entered will be converted to upper case after leaving a given screen or pressing Enter.Halcion – Commercial Auto – February 2015 6

If you have to manually rate for any reason you will enter though “B” Create New Business - Manual Rate Policy: Put “7” in the first blank, and leave the rest blank, those will automatically populate. Policy Type: CAP for commercial auto policy Agent: This will be your agent code for the broker you are setting up the new business for. Client Abbr Name: This is the client’s abbreviated name. Ex. Carson Wilson shows up as WILSON C 1245896 Alberta Ltd. Once you hit enter it will bring you to the next screen, hit F10 “A” to add a new policy.Policy Types CAP • Commercial Automobile FLT • Commercial Fleet Automobile FAP GAR • Farm Automobile • Garage AutomobileNOTE If you attempt to type outside of a valid entry field, the cursor will become locked – A symbol at the bottom of the Halcion screen will be displayed (with a red “X”). Client Create ScreenFill out the required fields on the Client create screen.Abbr Name: Enter the client’s abbreviated name as you entered on the previous screen.Client Name: Fill out the fill client’s name. If it runs longer than the line, drop it down to the nextline and end it with a colon :Address / Postal Code: Put the insureds full address including postal code.Banking Info: If there is a monthly pay, banking information needs to be entered. Enter the fullbanking info twice. The first left hand side will not show and the second right hand side will showthe numbers. This is to ensure you enter it twice and it matches. Send the void cheque andauthorization to accounts.If it is three pay, one pay or credit card information send that all to the accounting department tobe applied. Make sure to note that you did this in the GPsCR Chk Consent: This should always be “N” unless there is a specific reason to pull a creditcheck on the insured (generally only done when personal lines vehicles are on the policy).<Enter>If the address turns red, make sure it is a valid address and postal code. New Business ScreenThis is the first screen your newly populated policy number will show up. Make sure to writeyour policy number down.Co.#/Auto X-ref: If there is another commercial auto policy for the insured the policy numbercan be written here.Expiry Dt: Fill out your expiry date for the date the policy ends. This is normally 1 year afterinception.Rnwl Term: If your renewal term is for anything other than a year, you need to amend this line.If this were a 6-month policy, you would put 06 instead of 12.Rnwl Type: This will default to “S” for system rate, which means the policy will automaticallyrenew. If for some reason you want the policy stopped every renewal you will amend it to an ‘M’.Status: This will be 10 automatically for the new business. If you want to stop the policy on itsfirst renewal for any sort of review, you can amend this to an ‘18’.M.P.D. Policy: If there is a cross reference property policy, this is entered here.Special Comm: If there is a special commission rate different from the standard 12.5, you enterthat here.Billing Type: This will default to “A” agency bill or “D” direct bill. If it does not default to thecorrect billing type, you can go to the Billing Override option and amend it there.Financed (N/3/Q): This field usually defaults to “N” for one pay. If you need to amend it tomonthly, you can change it to “Q” or “3” for three pay.Billing Override: This is where you will override the type of billing you need if it does not showcorrectly under Billing Type: “D” for direct bill, this would be one, three or monthly pay.Alternatively, you can amend it to “A” for agency bill.Halcion – Commercial Auto – February 2015 10
Withdrawal Day: If there is a specific desired date requested for monthly payment, you can putthe date here. If there is not a specific date, it will go out the same day as the effective date ofthe policy.Replaces Policy: If this policy is replacing another that was in halcion you can put the policynumber here.Zero Comm?: If there is no commission on the policy, you would amend this field to a “Y”. Thiswill make the policy not generate any commission to the broker.Bound By: The first line is “U” for underwriter. If someone specific quoted it, you can put theirinitials. If it was bound by, the broker put “BB” for broker bound.<Enter>It will stay on the same screen, prompting you to double check the information and make sureyou have written down your policy number.<Enter> On most policy screens, there is an Action field at the bottom right- TIP hand corner of the Halcion screen – pressing F10 will automatically move your cursor to this field.Halcion – Commercial Auto – February 2015 11
Risk Selection ScreenNOTE The ‘Risk Selection’ screen acts as a central “hub”, allowing you to navigate many of the policy screens: all Risks, all Drivers, the General Pages, and Accounts Receivable screens. In a Production session, it is also the screen from which many policy-related actions are performed, such as rating and suspending. Certain fields in Halcion, field level help is available by pressing F1 with the cursor over the field. If help is available for a given field, there will be a description, as wellTIP as a list of the valid values: • The values can be searched (by description) and scrolled through (if more than one page). • In a Production session, they can also be automatically selected by entering the ‘No’ of the line in the Action field.Halcion – Commercial Auto – February 2015 12
Risk Selection – Adding DriversPrior to adding vehicles, you have to add drivers. You can put up to nine drivers on this screen.If you have more than nine, the additional ones will have to go in the GP notes.To add a driver hit F10 to bring your cursor down to the bottom line. Once you do that you needto add the number of the driver, you would like to add.<Enter>Driver DetailsYou have to add the drivers in numerical order. Because there are no drivers, we start withnumber one. If we add another driver we would hit F10 “2”, F10 “3”, etc.Curr Grid Level: Leave all grid information blank, this is only used on personal lines policies.Date: Use the effective date of the policy.Driver: The driver name. Last name, first name. Ex. Carson, WilsonRelationship: Is the driver’s relationship to the policy. If they are the insured you can put“insured”. Some other common descriptions are, spouse, son/daughter, employee.Occup Code: You can default to “OTHR” for this field.Birthday: The driver’s birthday (DDMMYY).Sex (M/F): The driver’s sex, male or female.Marital Status (M/S): The driver’s marital status: married or single.License No: The insured’s licence number.NOTE This needs to be the exact digits, if the insured has an older licence number 12365-789 you have to enter it 012365-789 to ensure it meets the format criteria.Lic.Prov: This is the drivers licence number province. If the format is not working you can put“OT” for other.MVR Date (ddmmccyy): The date of the MVR, if you do not have an MVR you can leave itshowing “ddmmccyy” or put the effective date of the new business.Halcion – Commercial Auto – February 2015 13
MVR Pending (Y/N): If you do not have an MVR and want to order one with halcion, switch thisfield to “Y”.Fist Licensed (ddmmccyy): If you have, the information when the driver was first licensed, butthat date in this field. If you do not have the information, take their birthdate and add 16 years.Yrs Verf Ins: Based on their date first licensed, add up the years licensed and put that in thisfield.License Class Current: Put the license class that shows on the abstract.<Enter>Additional Driver Details - ConvictionsIn this section, you will put any convictions, and license suspensions.Lic Suspensions (type/ddmmyy): This section is for any license suspensions. If the driverswere suspended from Oct 10, 2010 to Oct 10, 2011, you would put that information in here.Convictions (ddmmyy/type/code): Any minor, major or criminal convictions are listed here.You enter the conviction date and the type of convictionsMajor – 01 Minor – 02 Criminal – 03If there are no claims to add to the driver <Enter>If the driver has claims that need to be listed, hit F10 ‘F’Driver Details (Continued) - ClaimsEach claim can be listed on this screen.Claim No.: If the claim is from another policy in halcion, there will be a claims number attachedto it that is entered here. Date: This is the date of the loss.Risk No.: Is the risk you will be coding the loss too. If there is only one risk being added to thepolicy use 0001 as your risk number.Loss Type/Chargeability: This is where you list the type of loss and whether the driver was atfault. Loss Type: L = Liability, A = Accident Benefits, 1 = All Perils, 2 =Collision, 3 = Comprehensive, 4 = Specified Perils Chargeability: Y = Yes, N = No<Enter>Keep adding drivers as needed. By hitting F10 and the number, you are adding. Ex. F10 ‘2’, F10 ‘3’, etc.To review or edit a driver you have already added just hit F10 and the number of the driver youwould like to review. When there is an option to scroll through multiple pages, pressing F8 will move to the next page, and pressing F7 will move to the previous TIP page – When there are no more pages in either the forward or reverse direction, a message will be displayed at the bottom of the Halcion screen.Halcion – Commercial Auto – February 2015 15
Adding VehiclesOn a CAP policy, there are specific types of units you can add. They’re listed on the top of theRisk Selection screen.COV: Commercial vehiclesCMT: Commercial trailersPPV: Personal use vehicle.NOTE PPV risks are not typically added to a CAP policy unless it is based out of the TerritoriesPPT: Personal trailersPUB: Public passenger vehiclesSNO: SnowmobilesMCY: MotorcyclesMOP: ATVsMHO: MotorhomesEXT: Extension policies, for out of province risks with excess insuranceTo add a new vehicle, again it has to go in numerical order. On a new business, you start with0001. If you ever need to go into a policy to add a unit and are not sure whatTIP risk you are starting at, you can view the top of the risk selection screen to check. If it shows, 0000 that means start at 0001. If it showed 0004, you would add starting at 0005.Halcion – Commercial Auto – February 2015 16
Once you have your risk number and risk type selected, you can hit <Enter>.Commercial VehicleProvince: This will default to the province of the territory you entered in the address line. If youneed to override to another province, you can amend the province code here, and amend thepostal code below to one that matches the new province.NOTE AB - Alberta BC - British Columbia MB - Manitoba NB - New Brunswick NF – Newfoundland NS - Nova Scotia NT - N.W.T. (incl. DescriptionsDrv Rec/Rat Rec: Put the applicable driving record (0-6) in all four blanks.Vehicle Code: Check the rate group in VinLink so you know what the rate group should be.For light units, use the Rate Groups Car Codes table. From the fifth, sixth and seventh digit ofthe serial number. If you cannot find the four digit vehicle code on this sheet, or it’s a heavy unit.Use the rate group you got from Vin Link and take that number and get the V code from theRate Groups Table.Body Type: Default “0”RG Table (S/W/P): Use “S” unless price rated use “P”.Group: This field will automatically populate based on the vehicle code you have filled out. Soleave this one blank.Yr: The year of the vehicle. If the vehicle is newer then the current year. Ex. A 2015 Dodge butTIP your still in the 2014 calendar year. You have to put 14 in this field and then on the next page in the vehicle description you can put 2015 before the vehicle name.Serial No: The vehicles serial number.Cyl: Leave blank.Weight (Met.T.): Vehicle weight in metric ton. Class 36 = 2.5, Class 44 = 3.5Purchase Date: Date of the new businessPrice: If you have the vehicle price enter it here. If you do not, leave it blank.Att. Mach.Excl. Commercial Vehicle Coverage ScreenLiability: Enter the liability limit for the policy.Accident Benefits (Y/N): Defaults to Y, if you have a trailer or parked vehicle amend to N.All Perils: Fill out if you have all perils coverage.Collision: Fill out if you have collision coverage.Comp: Fill out if you have comp coverage.Sp Perils: Fill out if you have specified perils coverage.Endorsements: Add any applicable endorsements. CAE should be applied to all risks.Discounts: Apply any discounts. Ex. New Business = 2NB *See attached Plus Pack Cheat SheetSurch/Disc (Cov/ /-/%): This is where you apply surcharges or discounts to specific coverages. Ex. To add 15% to liability it would be coded: L / 15 If you are adding a non-owned trailer, the liability limit is charged here. TIP It will show: L / 5 for a 5% surcharge on the liability.Cert. Field (Y/N): Defaults to N, leave as is.Driver Surcharge % (A/P/N/C): Drivers surcharges are added here. Ex. If you have a driver with a 25% surcharge due to convictions, you would put 25/-/-/25R/I Method: Defaults to 0 for no reinsurance. Vehicle Information ScreenYear: This will default from the prior screen.Make: Make of the vehicle. Ex. Dodge Ram 2500Model: Put the model information. This line does not print but has to be filled out correctly. Ex. Ram 2500Body: Type of vehicle Ex. Truck, Car, Van, PickupSEF 36 (Y/N): Defaults to N, do not change.SEF 23A (Y/N): Put N, this line does not affect the lessor or lien.Endt. Code / Additional Data / Amount: If you have an endorsement, you want to describe onthe papers that go out to the insured or a non-owned trailer it goes here. Ex. Endorsement Description: Ex. Non-owned Trailer without Section C Ex. Non-owned Trailer with Section CNOTE Even though you put the premium for the section c of the non-owned trailer on the Amount line it will not always transfer over to the premiums page. When rating out make sure that there is the charge under the 025L, if it is blank manually fill out the premium for the section c.<Enter>This will take you back to the main Risk Selection Screen. Loss Information (F-Tran) IRCA Policies 1. Enter into the inquiry side of Halcion and go through ‘F’ to view the claims for the policy. 2. To get the basic details you can view this screen. It will show you the Opus claims number, the date of loss, date the loss was reported, the amount paid and the risk the loss was applied too. 3.
