Exercise 1, Business case You work as a freelance consultant for the technology firm ÆSMÆS. You are in direct contact with the CEO, who is a pleasant but busy man. He has called you and asked for a meeting. You have just arrived at his office, curious to find out what kind of assistance he needs. The CEO says the following: ‘Thanks for coming at such short notice. I’m very busy at the moment so I need your help to determine whether we should proceed on a project I have been working on for a couple of months. I’m very much in two minds but I haven’t had the chance to write anything down on paper. It’s all in my head so I’ll give you a quick briefing about the project and I’d like you to weigh up the pros and cons so we’re sure it makes sense to continue investing in the project. The project is about a new mobile phone. We did some market research that showed we need to position ourselves with the younger segment. It’s crucial to the future of the company that younger people see us as their preferred supplier of modern technology. Otherwise we will lose our business platform in the space of a few years. But the project is probably going to require a major marketing campaign. However, we don’t need to find extra funding, as the existing budgets are big enough to cover the cost. The development manager thinks we should create a whole new series of mobile phones, but I daren’t invest several more millions in the project, so I’ve decided only to develop one new phone. Having said this, I believe it can be a huge success. It has to have lightning fast internet access – much faster than other phones on the market – and it must be solely voice-activated. Its design must also be so elegant that at least 50% of the target group will rate the phone as the coolest on the market when it reaches the shops. It will cost DKK 2-3 million to develop over the next 24 weeks but there will be no extra support- related costs – our existing support department can easily do the job, and marketing estimates we can probably sell around DKK 3 million worth of phones in six months. But the most important thing is that within six months of the phone launch a majority of 23- to 35-year-olds will see us as their preferred technology supplier. Unfortunately this will mean that we won’t have time to develop new products and technology for the older segments. But most of all, I’m worried that some other mobile phone manufacturer will bring a similar phone to market well ahead of us. Or at a far more attractive price. I’ve therefore set a development deadline. The phone must be in the shops in six months at the latest (in an ultra-cool box) and the first month has already gone. So you can see we have our work cut out for us!’ Your task is to draft a Business Case for the CEO which he can use to determine whether to go ahead with the project. Do NOT prepare an investment appraisal, as the information from the CEO is not sufficiently detailed for this calculation. Nor should you prepare a executive summary. Exercise 4, Product-based planning As PRINCE2 was not used on the mobile phone project, no one has used product-based planning. You have now decided to use this, as you are about to prepare the first actual project plan. To gain an overview of the project you have interviewed the development manager, who provided the following description of the project scope: ‘As you know, our job is to develop this new mobile phone. It has to have a new smart cover, which we can’t manufacture ourselves. So we’ve given the job to an external manufacturer who will deliver according to our specification, which will be ready soon. The actual phone needs lots of new software, which has to be coded by the development department before we do anything else, but of course only after the phone specification is ready. If they run into problems, we will never be able to complete the project. If they succeed, which we naturally expect them to do, we’ll need to convert our production equipment so it fits the new phone’s format. We’ve got the cover manufacturer to make the cover so it simply clicks on just before it drops into the box. 7 3 PRINCE2 Foundation Examination Design 3.1 Examination Administration Duration: 60 minutes NOTE: Candidates taking the exam in a language that is not their native or working language may be awarded 25% extra time, i.e. 75 minutes in total. Materials permitted: This is a ‘closed book’ examination. No materials other than the examination materials are permitted. 3.2 Question Types All 60 questions are Objective Test Questions (OTQs), which present four options from which one option is selected. Distractors (wrong answers) are options that candidates with incomplete knowledge or skill would be likely to choose. These are generally plausible responses relating to the syllabus area being examined. 10 3.7 Paper Build Rules Exam papers must be built to consist of the number of questions per assessment (sub-) criterion shown in the table on page 9. Questions must be presented in random order, not in the order of the syllabus. Answer options must be presented in the order provided in the question bank, and not in alphabetical order/order of length/random order. Additional paper build rules are: 1. The number of questions specifically testing knowledge of the purpose of the PRINCE2 management products (listed in Appendix A of Managing Successful Projects with PRINCE2, 2017 edition) is limited to a minimum of 3 OTQs, and a maximum of 5 OTQs.
