If you select another section to view, your selection is saved in a cookie, so that the next time you access the job the same section will be presented to you. You can Drag&Drop pages from the Drop off zone back to the Flatplan and this way the page is reassigned with a page number, you may also drag pages directly to the drop off zone in order to take them out of the Flatplan. CAUTION: The Drag&Drop action is only available if your system administrator gave you the rights to this function when creating the job. CAUTION: If you submit a file containing a SPOT colour, it must exist in the system spot colour database otherwise a preview will not be available. This menu allows users to create their own spot colours and add them to the system therefore allowing them to be viewed. ProofStream_User_Guide.doc ProofStream v.7.x.x.x. 4.2.13 Upload To submit new pages, click the Upload button which brings up a Java applet that can load multi-page documents, documents JDF attachments for this Job or upload using a standard HTML upload for compatibility with some clients (see Figure 4-65). Figure 4-65 Choosing Standard (HTML) Upload provides an alternative when a user is in an environment where Java applications are not allowed. In this case, a standard HTML code used to transmit one file at a time to the ProofStream server. A maximum of 10 files can be transmitted at once. By pressing the button 'Choose File', your interface will allow you to navigate to the desired file. When you have chosen your files (maximum 10), press the Upload button to send the selected files (see Figure 4-66). Note: You can send single files, as well as ZIP archives to the system. From the Page List and Page Thumbs view users may select multiple pages for download. In Edit Single Page view only the page being viewed is available for download. The names of the files are links and can open a PDF directly in the browser or by clicking the ZIP & Download at the bottom of the list. By checking the Show Job Attachment checkbox users may also download any attachments associated with the job. CAUTION: The Download action is only available if your system administrator gave you the rights to this function when creating the job. It also possible using this menu to download virtual proofs, screened pages, combined sections and any associated job attachments (see Section 4.2.5). This is the interface where users are able to add annotations, colour profiles and collaborate with other users (see Figure 5-1). The interface may be accessed by clicking on a page in FlatPlan view or by clicking the Corrections Editor button in Single Page view. There are three menus available in the Corrections Editor. The Main Menu at the top,(see Figure 5-2) The Annotation Menu on the left and the Colour Menu on the right. (See figure 5-3). The red marque on the thumbnail image enables users to select a specific part of the page when the desired zoom is achieved. Custom Colour: The custom colour dropdown menu will display a colour if any custom actions have been set by the Job administrator. Clicking on the dropdown enables user to see the specific action required. Lock: Allow users to lock the page currently being viewed. Only if this privilege has been activated by the systems administrator. Show versions These buttons allow users to view either the latest version of a page or all versions of a page within the corrections editor. Show all page versions: Selecting this button will open a dropdown menu showing all of the page versions in the job (see Figure 5-6). Only if this privilege has been activated by the system administrator. Save: This function saves the users notes and corrections to the database and instigates the sending of automated emails to nominated users of the job. (see Section 4.2.2.). Reload: This function allows users to refresh the page. This function is particularly useful when notes or corrections are being created by concurrent users. ProofStream_User_Guide.doc ProofStream v.7.x.x.x. 5.1.2 The Annotations Menu It is important at this stage that the user understands the distinction between Notes and Corrections. A note is intended to advise other users in the group of any information that is relevant to the job, any notes generated will be automatically emailed to group members but they do not affect the status of the job. A correction is intended as an instruction to make changes to the job, This will also generate an automatic email to the members of the group. However, unlike a note the status of the job will be changed to reflect the fact that a correction, and therefore a new version of the page is expected to be uploaded. The annotation menu is divided into three parts. The uppermost section contains the following five tools: (see Figure 5-5) Figure 5-7 Selection Arrow: Allows users to select and move the page image being displayed. When working with notes and corrections the selection arrow also enables users to resize and move any annotations applied to the page. Colour Picker: Allows users to sample the colour information within the page. When clicked on the image the colour information is displayed at the bottom of the Colour Menu on the right side of the interface. Text Highlighter: Allows users to highlight areas of text or image when used in conjunction with the note or corrections creator. See Figure 5-6 . Minimise: Allows users to minimize notes and corrections applied to the page, when selected notes and corrections are replaced by colour coded pins - (See Figure 5-7) Figure 5-9 The middle section of the annotations menu contains the Create Note and Create Correction Buttons. These buttons when used in conjunction with the shape selection tools in the lower part of the annotations menu provide the means to add notes and corrections to the page. See Figure 5-8. Figure 5-10 5.1.3 Using Notes and Corrections To add a note or correction to a page, select either the notes or corrections icon then click and drag on the page. This action will open a notelet containing your user name . Double clicking on notelet opens the text input dropdown. Allowing your note or correction details to be typed in. (see Figure 5-9). Ensuring that the notelet is still selected choose your preferred outline tool from the bottom section of the annotations menu then click and drag the selection over the area to which your notelet applies. You will see that proofstream automatically creates a link between the notelet and the outlined or indicated area. (See figure 5-9) If necessary a number of selections may be appended to a single notelet. Proofstream will now send automated emails to all members of the group informing them of your input into the job. 5.1.4 The Colour Menu Figure 5-12 The colour menu (see Figure 5-10) is divided into two parts the upper part of the menu allows users to view the Bleed Box, Crop Box, Trim box, and Media Box contained within the page. By checking the appropriate box all or a combination of the boxes may be applied. Colour Profiles: Clicking on the colour profiles dropdown menu will open a list of predefined colour profiles which can be applied to the page. (see Figure 5-11) When applied users see the effect of the profile change on their monitor. Note: The accuracy of this function is dependent upon the user having a colour-calibrated monitor. If spot colours are present in the job then they will also be listed here. The eye icon to left of the colour name will grey-out when clicked, the selected colour will then be turned off on the page view. It is also possible to turn off all the process colours or spot colours on the page by clicking the appropriate eye icon in the list. Colour channels can be turned back on by clicking on the greyed-out eye to the left of the colour name. Toggle black background: Checking this box will make the background colour of the page view solid black. This allows colour profiles to be view more precisely by removing glare and visual distractions that may appear in the standard view mode. Conventions All pages sent through the system get a 6 characters alpha-numeric signature and a folio (page number) assigned to them in order to preserve unique file name trough versions submission. 5.2 Messages All delete actions in the system will present you with a confirmation box in order to execute the action (Figure 6-1). Figure 6-1 “The number of pages configured in the job does not correspond to the actual number of pages received. It was changed to accommodate the Flatplan view” This message will appear in Flatplan view when the number of pages configured in the Job is smaller than the number of pages received. In this case the Flatplan will still include the extra pages and will show the message (Figure 6-2).
