Btc Reno FAQ What is the btc lingo? Boys are referred to as TeamMates, Parents are referred to ask Coaches, their class is often referred to as their team or Class of … When should I wear my T-shirt or other btc clothing? TeamMates and Coaches must wear their btc shirts/sweatshirts when engaged in philanthropy hours and interacting with btc philanthropy and the general events. What is the hours year? May 1 - April 30 How many hours do I need? Each TeamMate and Coach needs: Grades 7-9 15 philanthropy 6 league Grades 10-12 10 philanthropy 6 league For example, Tommy, an 8th grader, did 15 philanthropy hours and 6 league hours. Tommy's Mom did 1 philanthropy hour and 4 league hours. Tommy's father did 14 philanthropy hours and 2 league hours. They have met their annual hours requirement. Note: All Coaches in a single family are combined to fulfill the Coach League Hours requirement Can my son and I complete more than our required hours? Yes! This is encouraged.

Who can be a coach? - A coach is the parents or guardians of the boys - In general, if the TeamMate has two parents, it is recommended to sign up BOTH parents as Coaches - If you are not signed up as a Coach in the system you cannot volunteer as a btc representative due to insurance requirements. I have two boys - one in 8th grade and one in 12th grade. What are my Coach requirements? Coach(es) with multiple sons in btc have the same philanthropy requirement as their youngest son. Example: A coach with an 8th grader and a Senior has an annual philanthropic requirement of 15 hours How do philanthropies get selected and approved? All approved philanthropies must have 501C3 status. The btc Reno Board used its discretion to maintain a list of various types of organizations that align with our charter, and where btc can be a valuable service provider. The board reviews any new philanthropy requests at monthly board meetings. If you have a philanthropy that you are interested in adding to the btc, feel free to contact us. What's the difference between philanthropy, league and donation hours? Philanthropy hours are earned by providing hands-on service/volunteer time to a partner organization through a btc-supported event League hours are time spent with your Team (grade level class) meetings and in general membership meetings. If you are doing administrative work, committee work or special btc events not related to philanthropy, that also would count toward your league hours. Donation hours are earned through donation opportunities offered/authorized by btc. You will log these as donation hours in the system. The system will record them as league hours and they may be used to meet the 6 hour minimum League requirement - 1⁄2 hour per dona on opportunity, up to a maximum of 2.0 hours of League credit per btc Year. I signed up on the calendar, but the system says I have no philanthropy hours. What do I do? Signing up on the calendar reserves your volunteer space, but you MUST still log your actual hours worked in the system. I have extra hours in philanthropy, but I am missing league hours. Can I move them around? Philanthropy hours MAY be substituted to meet the annual minimum League Hours. League hours may NOT be substituted for Philanthropy Hours.

I'm still short on my league hours. What can I do? See if there are any donation opportunities. Donations may be used to meet the minimum League hours requirements - 0.5 hours for each donation, up to a maximum of 2.0 hours of League credit per btc Year. How many hours can you count if both Coaches attend an event with their child? Only one coach can post hours per event. Can I move hours around from league to philanthropy? No. These hours have to be earned by providing hands-on service/volunteer time to a partner organization through a btc-supported event. Do Coaches have to attend when a TeamMate is earning league hours (like at a team meeting)? No. Not if the team meeting does not ask Coaches to attend. Typically team meetings are teammates only. Do Coaches have to attend when a TeamMate is earning philanthropy hours? Yes. For the required hours (either 15 or 10 depending on Teammate’s grade) Coaches must volunteer with their TeamMate. See next section for boys that want to do more than the minimum required for philanthropy hours. Can a son volunteer without a coach? Yes - if your son is in grades 9-12 and has already completed all required hours they are encouraged to do more and log Above and Beyond hours. Can one parent Coach take their son and their son's friend, who is also a registered btc TeamMate, to a philanthropy event? In general, no. One of the four btc Critical Goals, is to Strengthen Family Relationships - Deepen bonds with parents by volunteering together in boys team charity activities. However, if you are signed up to volunteer and a parent is sick or has an emergency come up and they are able to send their son with another Coach this is allowed. If the TeamMate is ill, the Coach can still attend without them. Jan Jones wants to take her son Jimmy Jones and his best friend, Bobby Smith to volunteer at the food kitchen. She should ask Bobby Smith's mom to sign up so both Coaches and TeamMates can volunteer together.

Can my nanny/babysitter go with my son to a philanthropy event? Only registered Coaches on the btc Reno website are allowed to attend events per btc insurance. For safety and insurance liability purposes only registered btc members may attend meetings or participate in events. *See above who can be a coach. The calendar says my shift is 3 hours, but the organization only needed me for 2.5 hours. What do I log? If you are released by the organization early, you can log the 3 hours that were stated on the calendar. If you have to leave for a personal reason, only log the hours you were able to work. This said, please do not plan on leaving shifts early, as many of our philanthropies depend on our volunteers and this could damage our relationships with them. If calendar says 3 hours and I work 4 hours what do I get to log? If the charity asks you to stay later and you are able to do so, you can log the 4 hours worked. If charity cancels event do I get to log hours? If an event gets cancelled in advance you do NOT get to log hours. However, if it less than 24 hours' notice, then you can log the hours. Additionally, if you show up and the event is cancelled you may also log hours. I just signed up online and then realized we can't make it. What do I do?  If the event is 2 or more weeks away, you can delete your names from the volunteer list.  If the event is less than 2 weeks away, it is your responsibility as a member to find a replacement if you are unable to work an event you have signed up for and to allow another btc member the opportunity to serve one of our philanthropies.  Use the Wait List on the event calendar as soon as you know you have a conflict for the event to secure a replacement.  If there is no Wait List, send an email blast to your membership, explaining your situation and asking for someone to cover your shifts for you.  Once you have found a replacement, contact the Liaison so you can be deleted from the sign-up list and your replacement can be officially added. Can I contact the philanthropy directly to cancel or change my shift? No. Our philanthropies work with a number of different organizations and have asked that btc communication be handled by their designated philanthropy liaison. If I'm sick or my son is sick should one of us still go if we can't find a replacement?

Yes. Some of our charities depend solely on our volunteers and would be very short handed without us. If there is another Coach and TeamMate going, you may send your son with them if that works for you. If you can't find a way to have someone show up, please contact the charity liaison. I have a friend who wants to join btc Reno. How do they do that? Encourage your friend to look at our btc Reno website and reach out to our VP of Membership! Who do contact if I don’t know where to direct a questions? Your Team Manager is always the best place to start with any question. If they don’t know, they will direct you. The website is also an excellent source of information.
