EXPENSE REIMBURSEMENT Darkhorse Tech desires to establish an expense reimbursement policy pursuant to Reg. 1.62-2, upon the following terms and conditions: 1. Any person now or hereafter employed by shall be reimbursed for any ordinary and necessary business and professional expenses incurred on behalf of Darkhorse Tech only if the expenses are adequately substantiated as required by the Company policy on expense reimbursements. 2. Under no circumstances will Darkhorse Tech reimburse employees for business or professional expenses incurred on behalf of Darkhorse Tech that are not properly substantiated. Darkhorse Tech and employees understand that this requirement is necessary to prevent our expense reimbursement plan from being classified as a “non-accountable” plan. 3. All expenses must be substantiated within 30 days after the expense is incurred. 4. All charges to company credit cards must be substantiated in the same manner as the above- mentioned reimbursements. Misuse of a company credit card will lead to immediate termination. 5. All meal expenses must be for Darkhorse employees only. No other persons’ expenses will be reimbursed by Darkhorse. 6. For travel related expenses, please note the following: • For days employee completes an overnight away from home on behalf of the company, meals are reimbursable at up to $50 per day. • If employee is travelling home from a trip and get home before the end of the work day, they would also get up to $35 in meals covered • If employee is travelling home from a trip and get home after the end of the work day, you would get 1 | EXPENSE REIMBURSEMENT
EXPENSE REIMBURSEMENT up to $50 in meals covered • Example 1: I am travelling home from a job that was Mon-Fri and get home at 3pm on Friday, I would get up to $35 covered • Example 1: I am travelling home from a job that was Mon-Fri and get home at 7pm on Friday, I would get up to $50 covered • All meal receipts must be itemized.
