THE ENTITLEMENT TO A COMPANY MOBILE PHONE The following groups are entitled to a company mobile phone: a. Management committee: ManCom members and their direct reports, who are managers. b. Other employees who need a mobile phone, due to job requirement. Please see Appendix A for the current list of positions that require mobile phones. An employee under point b receives the right to a mobile phone based on: 1. Recommendation of responsible manager and 2. Confirmation from the ManCom responsible. IT department issues phone based on confirmations of steps 1 and 2. When a mobile phone is handed out to an employee, who has not used a company mobile phone before 1.1.2018, an agreement of usage (Appendix B) needs to be signed. The agreement will be documented in the HR files. B. Company Mobile Phone Guideline BDF- Policy Austria If the entitlement is removed for a position, the respective ManCom member together with the employee’s manager inform the employee. If the employee had received the mobile phone before 1.1.2018, the mobile phone will be returned to the company and changed to a private contract with the employee’s consent. If the employee had received the mobile phone at or after 1.1.2018, the mobile phone is linked to the position (please see appendix B for usage contract). In the case of loss of entitlement, the mobile phone will need to be returned to the company and the usage will be stopped without compensation. Employees, who lost the right to a company phone are given a grace period of three months to take care of transfer to a provider for private use. There will also be a possibility to keep the mobile phone number, if requested by the employee. The transfer to a private provider needs to be organized by the employee and any cost needs to be borne by the employee. On request by the employee, the employee can continue to use the conditions of the Beiersdorf “Member agreement A1”. For information on this “Member agreement”, please contact the IT department. The above mentioned rules are not applicable when the employee exits or leaves for other long- term leaves (maternity leave). In this case the rules of paragraph “G” apply. C. HANDLING OF PACKAGES Below please find the A1 packages (usage per month in Austria or other European country): A1 Europe A1 Europe Standard Medium Voice (Minutes) 500 3 000 SMS Data (GB) 500 3 000 3 GB 7 GB a. All employees, who use company mobile phones, are in “A1 Enterprise Europe Standard” except below mentioned exceptions (please see Appendix A for positions and packages). b. Man com based on consumption in A1 Enterprise Europe “Standard” or “Medium” c. Pharmacy sales reps, Sales Managers, KAMs and Digital team in “A1 Enterprise Europe Medium”. MMS (sending pictures via SMS) are not included in the packages, therefore usage of MMS should be limited. Data usage is limited to the package size stated under paragraph C. The provider A1 will send a SMS message, when 75% of data in the package has been consumed. When the data package is fully consumed (100%), A1 sends a SMS message, and data consumption via mobile networks will be blocked. Company Mobile Phone Guideline BDF- Policy Austria The voice/speaking services and SMS are never blocked, even if the volume of the package is exceeded. Exceeding the packages can be avoided by: • Always using WLAN (office, home, hotel, etc.), when available • In the office, please use the Beiersdorf network (desk phone, computer) for calls outside of the Beiersdorf world. • Limit the download of big media or data files, and streaming on the phone, when you are not in a Wi-Fi (WLAN) environment. D. PRIVATE USAGE OF COMPANY MOBILE PHONE Private usage within reasonable limits is accepted. E. MOBILE PHONE PURCHASE LIMITS Beiersdorf allows for a mobile phone purchase budget of up to: ➢ € 480 for ManCom members. ➢ € 280 for all other entitled employees. If the employee decides for a more expensive phone, which is exceeding above mentioned budgets, the difference can be paid privately as a lump-sum at purchase time. This additional private payment will be deducted from payroll and will not be refundable, in case of exit (for whatever reason) or return of mobile phone. The prices of mobile phones are published on Beiersdorf MU EE intranet under IT-Focus-A1 Enterprise Mobile 100 - Beiersdorf. The order for the mobile phone is sent to IT [email protected] with proper authorizations as mentioned above. In case of renewal of mobile phone, the responsible manager needs to be in cc. F. MOBILE PHONES- HARDWARE Employees must handle the company’s phones with care. The phones need to be protected from damage, destruction and theft. The life cycle of a mobile phone is 24 months. Earliest after 24 months the entitled employee under paragraph A can ask for a new phone. EXITS AND MATERNITY LEAVE The following rules are applied in case of exit (when employee is leaving the company for whatever reason) or maternity leave: a. The mobile phone remains in the ownership of the company and needs to be returned to HR latest on the last day of work. Private payment for an upgraded phone will not be refunded. b. If the mobile phone is more than two years old, the phone can be bought by the employee for 10 EUR excl. VAT (€ 12 incl. VAT) to the employee. Buying the phone will need to be agreed between HR and employee before exit / maternity leave. c. If the employee wants to keep the telephone number after exit/maternity leave, the number can be kept, and the transfer to a new provider needs to be organized by the employee. Cost of transfer to a new provider are borne by the employee. d. Expats moving to another BDF company, can keep the phone for the time of transition. After the time of transition, the phone has to be returned to Beiersdorf Austria. If the expat wants to keep the phone, the SIM card needs to returned to Beiersdorf Austria and the phone may need to be unlocked by the provider. The costs for unlocking the phone are borne by the employee.
