EXECUTIVE SUMMARY This is our framework and strategy of how Small Groups run and operate. This book is open to all departments to see and take in awareness of all that Small Groups do. Our Groups Life Groups Tagline: For Every Stage of Life About: Meet twice per month, either virtually or in members’ homes, for a time of connection, prayer, and real talk. These biblically-rooted groups consist of 5-12 members that meet twice per month (typically the 2nd & 4th weekends of the month). We also have types of groups for all ages, gender specific, and stage of life: Men’s, Women’s, Married, Teens, Young Adults, and more! Curriculum Meeting Occurrences ● Bible-Focused: Created by the Small Life Groups meets the 2nd and 4th week of Groups Team and sent to leaders a week the month. Special groups, upon approval, before groups meet. can meet once a month or weekly (ex. Bloom Groups meets once a month. ● Life-Focused (Stage of Life): Created by the Ministry Director. Activity Groups provide opportunities to enjoy a common interest with others—such as a hobby or an outdoor activity. Fellowship with like-minded Christ followers while doing what you love! Curriculum Meeting Occurrences ● Created by Leader and approved by the Activity Groups meets Once a month. Small Groups Team Leaders and/or the Administrators will pick days and dates. Our Groups Care Groups Tagline: For Support During Life’s Challenges About: Care Groups offer a safe environment to share, learn, and discuss life’s major challenges—including addiction help, grief care, divorce and separation support, and individual groups for both men’s and women’s conversations. Advertisement Cycle Below indicates when to activate and inactivate groups from being advertised to the public on Rock RMS, the Small Groups website, and any other marketing channels when applicable. The Lead Page will only be advertised when the Lead Registration Season is open. Prepare Sign-up Train Attend Report Transition Our Process and Procedures Description Preparation Process The process is when the Small Groups Team prepare dates and gather and/or create documentation when necessary for new small groups year Joining a Group Process This process details the procedures and documentation when people are interested in joining a group. Leading a Group Process This process details the procedures and documentation when people are interested in becoming a leader. Attend and Report Process This process details the procedures and documentation of meeting sessions, attendances, and reporting data for weekly, seasonal, and yearly reports. Preparation Process Below is an overview in the preparation process. Highlighted in blue are the players involved and their jobs: The Small Group Team has their planning meeting to plan the dates and activity for the upcoming year. Note: Everything will be formulated as an “Activity Schedule”. This is also good for departments and the Rock RMS team to know so they can prepare and be aware on their end. Note: The Administrator can also use the “Master Year Calendar” to plan as well. Joining A Group Process Below is the step-by-step procedures on how to join a group. Highlighted in blue are the players involved and their jobs: 1. An Interest signs up for a small group. a. Go to https://christchurchusa.org/smallgroups and go to “Join a Group” Note: You can also go to your Rock RMS Portal to join a group b. Filter and pick a group of your choice c. Sign-up for your chosen group 2. Rock RMS simultaneously: a. Sends the Interest a “Confirmation Email” b. Adds them to the group list and auto-sets Interest as “Active” c. Sends Leader a “New Interest Email”. The Administrator gets a copy of the email 3. As Rock RMS sends the above, simultaneously: a. The Interest receives a “Confirmation Email” b. The Leader and Administrator receives a “New Interest Email” 4. The Leader follows up and connects with the new Interest and adds them to their listserv. Note: At any point, if the Interest does not see a fit in the group and/or the Leader does not see them as a fit for the group, upon agreement, the Leader must delete the Interest from their list. 22 Small Grwowuwp.scoFmrapmaneywnaomrke.aconmd Strategy
Leading A Group Process Below is the step-by-step procedures on how to lead a group. Highlighted in blue are the players involved and their jobs: 1. A Lead Interest signs up to lead a small group. a. Go to https://christchurchusa.org/smallgroups and go to “Lead a Group” Note: You can also go to your Rock RMS Portal to lead a group b. Fill out the “Lead Application” 2. Rock RMS simultaneously: a. Sends the Lead Interest a “Confirmation Email” b. Sends the Administrator a “New Lead Interest Email” 3. As Rock RMS sends the above, simultaneously: a. The Lead Interest receives a “Confirmation Email” b. The Administrator receives a “New Lead Interest Email” 4. The Administrator invites Lead Interest to a scheduled “leadership training”. 5. The Small Group Team trains, tests, interviews and vets, the Lead Interest during the leadership training. Note: At the training, the Lead Interests must fill out the “Group Submission From”. 6. The Small Groups Team decides final leaders, then the Administrator sends them an “Approval or Decline Letter”. 7. The Administrator then: a. Adds the Leader’s approved group details Rock RMS b. Give the Leader access to leadership tools and resources c. Add Leaders to the outlook listserv to send lesson plans, notices, etc. 8. Train Process Below is the step-by-step procedures on how to join a group. Highlighted in blue are the players involved and their jobs: Before Training: 1. The Administrator will prepare for training by: a. Booking the room b. Get documentations and materials ready i. Training Agenda ii. Presentation During Training: 1. The Small Groups Team follows the agenda Following this agenda After Training: 1. The Administrator collect each paperwork a. Bible Test Results 2. Attend & Reporting Process Below is the step-by-step procedures on how to report a group. Highlighted in blue are the players involved and their jobs: Each Leader and participant must attend planned sessions. 1. The Leader must fill out attendance after each session. Note: The Leader has 1 Grace period to fill out attendance. Note: If the Leader did not meet that day, they must check off “We did not meet” in their rock portal to avoid false reporting. Note: If someone leaves…. 2. Rock RMS records the data and puts it into a report. 3. The Administrator extracts the report from Rock RMS and sends it to… 4. Rock RMS automatically: a. Creates weekly SM Overview Data Reports and sends it out to the Small Groups Team every Monday. b. Sends a “We Miss You Email” to small group participants who have missed a previous session: Note: Each report will run on a different frequency until the end of the SG season ● Life Groups: Every Monday, starting in November ● Activity Groups: Every 1st day of the month ● Bloom Groups 5. Transition Process Below entails the transition procedures. Highlighted in blue are the players involved and their jobs: Once Small Groups Season has ended 1. The Administrator inactivates all groups on Rock RMS. 2. Rock RMS puts the “Returning Message” up on the Rock Page. 3. CC Marketing Team put the “Return Message” on the Small Groups Website. 4. Rock RMS will send and “Small Group Survey” to participants and Leaders to get their feedback 5. The Administrator sends the “Group Renewal Form” to all leaders Note: So group leaders can submit if they plan to do next season, keep their group, update any group details, dates, and contact information, submit new leader for their group.
