Functions: Generating Invoices Receivables Revenue Projections Budget Allocation Infra
Generating Invoices [To be done for the previous month at the beginning of the current month] Prerequisites: ● You need to be a member of the “Receivables” Trello board ● The card with the project name to be created in the Invoice backlog list. The format is <Project Name> <Month> <Year> [Ex: mGage Jan 2016] ● You have access to the “Invoices” folder. ● Copying and Renaming of the invoice template is done. ● The no. of hours spent by each member in a particular project is confirmed. Tasks: 1. Make sure to move the card with the project name to “Invoice WIP” list of the Receivables board. 2. Create an entry in the Invoice Summary sheet for the project for which the invoice is being generated. 3. Using the renamed invoice, prepare the invoice for the project by entering the following: a. Invoice No. [Get the invoice no. from the Invoice Summary sheet] b. Invoice Date c. Customer Contact details [Refer Note section below] d. Particulars & Total Amount 4. Get the invoice reviewed by one of the heads. 5. Send the invoice email [template given below] to the client attaching all the relevant documents and their links. 6. Also, attach the PDF version of the invoice to the email. 7. Make sure to add the trello card link to the recipients list before sending the email. [This is done to automatically copy the email and its responses to the card.] 8. Update the Invoice Summary sheet with the following: a. Invoice amount b. Invoice Date c. Invoice Sent Date d. Link to the invoice in the given format 9. Finally, move the card to the “Invoice Sent/Payment Pending” list in the Receivables Trello board. 10. Add the Due Date given in the invoice email. 11. Update the “Invoiced Revenue” column of the relevant TimeIt document.
Note: To get the customer contact details, please check the “Contact Details” list of the Receivables Trello board. For a new customer, make sure to add the contact details to this list. Receivables Prerequisites: ● You need to be a member of the “Receivables” Trello board. ● You have access to the “Invoices” folder. Tasks: ● Send the reminders at regular intervals as given in the Account Receivables Email Followup Templates. ● Check with one of the heads to confirm the payment receipt. ● Once the payment is received, move the trello card to “Payment Received” list in the Receivables trello board. Revenue Projections Prerequisites: ● Reminder to update TimeIt have been sent. ● TimeIt to have been updated. Fortnightly Tasks: ● Get the following from TimeIt: ○ Utilization % for each billed employee ○ Total Actual Revenue so far ● Send the report on the slack channel. Prerequisites: ● TimeIt to have been updated. ● Invoices have been generated and sent to the respective clients. Monthly Tasks: ● Update TimeIt with the invoiced revenue figures for each project. ● Find out if there is a difference between ideal revenue and the invoiced revenue. If yes, reason it out.
Budget Allocation [To be done before the beginning of the next month] Prerequisites: ● Have access to the BuyIt folder Tasks: ● Get the expenses for the last quarter. ● In the BuyIt Budgets & Apportioned Costs sheet, fill in the Total Budget for the quarter ● Enter the % budget cost for each category so that it is almost the same as the expenses as the previous quarter. ● Get the budget allocation reviewed by one of the heads. Infra Requirement Allocation Prerequisites: ● Have access to Infra Requirement document ● Have the updated list of infra items For Requesters: ● Raise requests about 2 weeks before the shutdown ● Enter the required item in the Infra Requirement sheet ● Confirm the request. For Approvers: ● Get the requester to enter the requirement in the Infra Requirement document ● Approve the request. Links to related documents: ● Infra Requirement
