DESIGNATED MONTH OBSERVATION Rotary International board in its October 2014 meeting, modified Rotary's calendar of special observances to designate specific months that highlight RI's areas of focus. MAKING OF SUCCESSFUL PRESIDENT To become a successful club president, the first thing to do is to accept a challenge - a challenge for excellence and a determination. “I shall take the club to a higher plateau.” Take a vow that you shall make your year as the most effective year in your club. You will supersede all records established by your predecessors or by action and tangible results. The next thing to be done is the decision making. What sort of President or you would choose to be i. An autocratic leader or ii. A sharing leader or iii. A reconciliatory leader or iv. A complimentary leader In what ways would you build on what was done in the previous years? You can do that in the following manner? i. Set specific goals and guidelines ii. Establish regular reporting channels and points, when reports are due to be submitted by whom, to whom. iii. Set deadlines by which certain tasks are to be completed. iv. Recognize good work done by the Committee chairman or Individual Rotaractors. Your guide: Four key words – CONCEIVE, CONVINCE, CONFIDENT, COURAGE Before using the telephone, note down the points you want to talk about during the conversation. What you are expected to do as Club President: You are the leader of an exclusive group of people who have joined your club seeking friendship of fellow men and have volunteered to join this association for service to the community, in the vocational development of yourself and others and in the international service area. You are also one of them and have volunteered to serve this year. You on own volition bound yourself to certain obligations; and discipline. You are a leader, a planner, an organizer, a reporter an a facilitator. The club, and record and preserve the minutes of the meetings. 132

MAKING OF SUCCESSFUL SECRETARY 1. Possess basic working Rotaract knowledge through Secretary’s Manual, basic Rotary Library and other relevant materials. 2. To go through the Club Constitution and By-Laws. 3. Keep the records of club membership and its attendance at weekly meetings. 4. Prepare an agenda and send out notice of board and committee meetings of the club, and record and preserve the minutes of the meetings. 5. To assist the President in forming the club committee plan. 6. Maintain a complete report with various Committees. 7. Get new Membership proposals processed. 8. Refer all the correspondence to the President for information and necessary action. 9. Send monthly reports to DRR, District Governor, DRRC, ZRR, ADS & RCC. Also prepare quarterly reports & send them to the District Secretariat. 10. Ensure smooth change over & handover w.e.f. 1st July irrespective of formal installation of President Elect. 11. Keep upto date list of birthdays, wedding anniversaries of the club member’s and Dist. Officers and greet them. 12. To attend PETS-SETS and all other training seminars and District Assembly and obtain complete working knowledge of the Administrative plans of the club. 13. Maintain club history and prepare annual reports. 14. To update club Roster, get office stationery printed and placed order of other materials To be maintained by Secretary 1. Report Book 3. DUTIES OF ZRR  Work closely with the DRR to develop the goals for the District.  Attend all District Events and Zonal Meetings.  Arrange for a Zonal Meet for your Zone on respective subject.  Ensuring all club's participation at Assembly, Conference and Zonal Events in respective zone.  To prepare a kit containing all the materials for each Club and have it delivered to the Club President at the time of Installation.  To organize training of Office Bearers of the Clubs.  Manage, Plan, Coordinate and Lead Zonal Project(s).  Publish at least 3 informative circular in their respective year.  Visit & help the clubs for promoting Rotary-Rotaract programme. DRR OFICIAL VISIT PLANNING 1. Check your club's official visit date in District Directory and write to the DRR, telling him where and when the meeting will take place, arrangements being made for him, including the District Secretary and the Zonal Representative (If they accompany.) Write in advance about any special task (Like the inauguration of any project) you want him to carry out during his visit and inform him regarding his way to the venue. 2. Inform the Zonal Representative & ADS of the Program and seek their advice regarding the arrangement to be made. 3. Be sure to send the \"DRR'S, official visit form\" to the DRR at least a week ahead of his visit. 4. Inform your Parent Rotary Club about your DRR's visit for that Day. 1. MEETING WITH THE PRESIDENT /SECRETARY : Arrange the meeting for the first (confidential) session with the DRR. This is when he can seek information that is best discussed in private, you can ask questions and you can both establish the format for the club Meeting to follow later in the day. Any problems that you may have or any aspect that you want the DRR to highlight, may be discussed at this confidential session. 2. MEETING WITH BOARD OF DIRECTORS : Make arrangements such that all the board members of the club are present in this meeting. Inform the DRR about the programs already undertaken and discuss about the new programs to be taken up. Keep all directors ready with brief reports of activities undertaken under his avenue and plans for new projects. Invite your RCC in the meeting. 3. MEETING WITH RCC & ROTARYPRESIDENT, SECRETARY : Inform your Rotarians about DRR's Visit, prior to his arrival. Inform them about their meeting with the DRR. Discuss about Rotary-Rotaract Relations or any problems, in this meeting. Inform DRR of any Rotary- Rotaract Joint projects undertaken. Let the DRR talk with your Rotary President &Secretary and RCC, personally. 4. CLUB GENERAL MEETING : Inform all members for this special meeting with DRR. The members should be able to speak freely with the DRR and discuss any problems. Seek information (what ever needed) from the DRR, about Rotary-Rotaract. 136

ROTARACT CLUB MEMBERS QUALIFICATION DUTIES 1. Age Group : 18 - Upper age bar to be set by the club 2. Qualifications: a) Should be interested in making friends. b) Should have something to offer to the club. c) Should be willing to devote to his/her personal time to the club. d) Should be enthusiastic, active in normal life. 3. Duties: a) Pay all dues promptly. b) Attend at least 60% of regular meetings of the club. c) Attend Project Meetings. 4. Rights: a) Wear the lapel pin, identity card, attend meetings of the other clubs. b) Voice opinion regarding any matter related to the club of its activities. c) Inspect the Financial Accounts of the Club, when presented as per the Bylaws of the club. 5. Moral Obligation: a) Attend all meetings in time. b) Should not disturb the meetings by indulging in talks and comments. c) Make the club aware of the knowledge you have about any activities that the club wishes to undertake. d) Assist in pre and post program work. e) Accept all members as friends. f) Should not protest a project just because it is not of his/her interest. g) Should Share administrative work willingly and fulfil it. h) Should accept responsibilities that come along with the office or chair or post. i) Should not blame any member for failure or new project. j) Participate positively in all the activities of club. k) Should not use any of the club's resources or property for business purpose l) Should not indulge in any type of political activities in the club. m) Help and motivate fellow member. 139
