We have put together this guide to help you with booking in projects that require Design support. If you need further guidance on your project, please email and ask any questions before booking on the contact details below. We can arrange a Teams call to discuss if needed. Booking in a Design project All design requests must come via the Projects inbox ([email protected]) – please do not email designers individually to request work. To book in a project: 1 Complete a design brief (downloadable from the Lifetime Branding Hub) with as much information as possible. 2 Email it to [email protected] along with your content which should be: z Spell checked z Proofread z Signed off If we have not created work for this partner before, please include their brand guidelines, logos, fonts and high resolution imagery. 3 We will respond within 24 hours to confirm the date of your booking and 1x amends slot for any changes required. To manage partner expectations please wait until we have confirmed your booking date before providing the partner a delivery date. 4 The designed work will be sent to you for sign-off – any amends you or the partner have need to be collated and sent back in time for the amends slot. If you need any further amends after your amends slot, please email [email protected] 4

Top tips! If you are sending your project to print professionally, please request a print-ready PDF. When proofreading your copy, be sure to check use of capital letters are consistent throughout e.g. programme names, job titles, etc. During busier times our lead time can increase to 3+ weeks – please plan your requests in advance where possible. Design FAQs Can you create QR codes? Yes, we can! We’ll just need the hyperlink from you. Can you increase the quality of an image? 95% of the time, unfortunately not. If an image is low resolution we cannot change this. There are certain things we can improve in Photoshop e.g. the brightness of an image, or removing backgrounds. Can you design a logo for a partner? Yes, we can! We have designed many logos for partners, we’ll need the name the partner would like to call their apprenticeship programme – some opt for a simple “Partner Name Apprenticeships” while others have chosen names such as “Stepping Up” and “Be More”. We can design a few options in-line with the partner’s branding for them to choose from. Do Design arrange printing of collateral? No, printing needs to be arranged by you. Please read our guide to printing for more information. Can you create large scale banners for events? Yes, we can! We’ll need the banner dimensions from the printer you are using. Any imagery used for large scale printing needs to be high resolution. Can you turn my Partner’s guide into an online flipping book? Yes, we can! Your guide will need to be fully signed off before we do so, once this has happened please email [email protected] to request a flipping book version. My attachments are too large to email, what can I do? You can send large files via www.wetransfer.com or alternatively send a link to the files in Sharepoint.

Guide to supplying amends Content should be approved before it comes to be designed to reduce unnecessary back & forth and delays to your project. But we understand partners change their minds or project requirements can change slightly after a project has been designed, which is why we book in 1x amends slot for each project. Best practice for supplying amends: z Amends for PDF documents should be marked up using the comments tool in Adobe Acrobat – this video shows you how to use it. If you do not have this feature in Acrobat, SCC can set this up for you. z Please collate all feedback from yourself and the partner to one marked up PDF – checking that any comments from the partner are clear for the designer to work from. z If the partner has asked for something to be reworded or for additional copy to be added, you will need to supply this – Design do not write copy. z Ensure all your comments are spell checked and grammatically correct, as the designer will copy and paste text from your comments. z You may have Acrobat software which allows you to edit PDFs yourself, please do not make changes to Design documents yourself, as this causes issues with version control on our side. Amends for a video or animation can be marked up in a similar way using the review tool on Vimeo – the designer will send you a review link which allows you to add comments with any changes that are needed. 8

Guide to printing Design can create documents that are suitable for digital use or suitable for professional printing (or both!) please make sure this is mentioned on the briefing form under the ‘print or digital’ box so we can ensure your documents are set up correctly for purpose. Please also include what size each item needs to be, e.g. A5, A4, A3. Key things to remember when printing collateral: z When sending projects to print with Statex or other printers, it is essential you request a ‘print-ready PDF’ from Design. An easy way to tell if your PDF is ‘print- ready’ is to look for crop marks in the page corners. z Any imagery used in printed collateral needs to be 300dpi (high resolution) – we can use high resolution stock imagery, but if a partner wants their own imagery used it must be high resolution in order to be printed. If you’re unsure if your images are suitable, Design can check them for you. z When printing guides, due to the way the printers set the documents up the total number of pages must be a multiple of 4 – we can add notes pages to the back of guides if needed to round the number of pages up. If you need any help with printing or are looking to print something that is a non-standard size or unusual requirement, please contact Statex for guidance on what is achievable.

Guide to HTML Emails The Design team can design and build coded HTML emails for your project, these can then be sent out to a mailing list of recipients via CRM (note: Design will build and test your email, but the send-out is to be done yourself. For support or training, Marketing can help – contact [email protected]). You will need to: 1. Write the content for your email 2. Decide on a subject line and ‘from’ email address (e.g. [email protected]) 3. Create a marketing list of recipients for your email 4. It ensures the data of our learners and partners is protected, and that recipients can choose to unsubscribe if they wish. • Do not forward the test email on as a shortcut for a CRM send-out – this is not GDPR compliant, and the design of your email can be distorted in the forwarding process. • CRM also allows you to see how many recipients have opened your email, so you can see how successful it has been!

Guide to Videos & Animations The Design team can create exciting and engaging videos and animations for your project, these could be short, snappy videos for social media or longer more detailed videos. When writing a brief for your project, think about whether you require: z A video – taking existing video footage (we can cut out or trim clips) overlaying logos, text and graphics, adding backing music. Example here. z An animation – creating an animated video from scratch (i.e. no existing footage) and bringing your information to life through moving text, icons or characters. Example here. Before you book your video in, we do have a generic Lifetime branded video about apprenticeships with Lifetime that may meet your partner’s requirements – take a look at the line manager version and learner facing version. 14

Recording your screen Screen recordings can be done using Vimeo, please contact [email protected] who can help you access this feature. Requesting a Video: Send a brief and content through to [email protected], ensuring you’ve covered the points below: z If you are supplying video footage to us, mp4 format is preferred z We can clip videos and stitch multiple clips together, for this we’d need the timestamps of where you want the videos clipped e.g. “please use from 0.30 seconds to 0.50 seconds from video.mp4” z Please provide any wording you’d like added to your video, such as a title at the start, or the names/job title of a person featured in the video z Mention anything else you’d like to go in the video, e.g. the partner logo z If you are recording footage yourself: • Do not compress the footage when you send it on to us from your phone, as this will reduce the quality • If you are recording on Teams, before you start ensure you have a good internet connection, your computer/headphone microphone is picking up voices clearly and you are in a quiet room with no background noise • If your file is too big to email, you can send via www.wetransfer.com z If additional voiceovers or backing music is needed, please follow the guidance in the animation section on page 16. Projects will come back to your email with a date for the video to be created and an amends slot – please ensure any files required have been supplied ahead of the booked date.

Requesting an Animation: Send a brief and content through to [email protected], ensuring you’ve covered the points below: z Give as much detail as you can on what the partner would like from their animation, if you have examples of other videos they like please send links to these too z Brand guidelines for that partner if we don’t have them already, so we can ensure you animation is on-brand z A script and voiceover recording (if a voiceover is needed) z Guidance on what sort of backing music you’d like – e.g. energetic or relaxed Projects will come back to your email with dates for: Storyboarding – a PDF visual storyboard will be created based off the script provided to give you and the partner an idea of how the animation will look and flow, to check everyone is happy before the animation is created. Animation creation – the length and complexity of your animation will determine how long it will take to create. Amends – a slot to make any amends from the partner (note: the script should have been signed off before starting, if a partner has significant changes at this stage an additional slot may be required, which could delay your project). 16

Recording a voiceover Sadly we don’t have a resident Lifetime voiceover artist! Although if you are struggling to find a volunteer in your team, someone from Marketing may be able to support. Make sure your script has been signed off before you record. z Find a quiet place to record your voiceover, using your phone or a Dictaphone if you have one, avoiding rooms that are echoey or have background noise z Break your script down in to multiple sections and record separate clips rather than trying to get it all right in one take, we can stitch them together in the animation process z Speak at a steady pace and annunciate clearly – do a practice run before you hit record Best practice and tips z Shorter, punchier videos are more likely to keep viewers engaged – keep your script concise z Consider a call-to-action for the end of your video/animation – what is the aim? z Proofread and spell check your script, reading it out loud to ensure it makes sense when spoken z If your footage is low quality, or the sound isn’t clear, unfortunately there isn’t much we can do to improve it – consider re-recording.
