With AssetLOOK, you can track the assets you have, where they are, how much they cost and more.2.1 Objectives The fundamental objective of the AssetLOOK is to deliver a comprehensive asset tracking & management system while automating the purchasing, depreciation and other related activities.2.2 Expected Outcomes Facilitates an integrated solution, very consistent interfaces, high security and standardization to the functionalities. Provide an effective methodology to track and maintain assets. Dependency factor is always very high in this case. Further handling old files is difficult and unhealthy. Hand written data is sometime not readable. Though the manual way of working gives total freedom and flexibility it is a less protocol or standardized way of working.3.2 Capabilities Track unlimited number of assets. Print Barcodes directly from the system. Attach pictures, owner’s manuals, and other files easily. Check in and Checkout assets: You can check out assets to employees and always know who to call when you need an item returned. Set a due date during the check out process, and then run reports to find the overdue assets. Maintain multiple departments per company. Multiple sections per department. Group assets by type. Purchasing, Disposal, or sale of assets. Track fixed assets in your business: Whether you need help keeping track of where your assets are, or if you simply need a better accounting of what you have and how much it’s worth, this software can track it all. Attach owner’s manual, pictures, notes and more to your service records, and then look them up again in one place whenever you need. Track service, vendors, and contacts: When servicing an item, track the service instructions, tips and tricks, vendors, and contacts in your database. If the item needs to be serviced again, you’ll have all the information you need right at your fingertips. Print and save asset reports in a variety of formats. Methodology4.1 Development PlatformsDatabase implementation – MySQL/MSSQLFront End Implementation – Interface and the system has beenimplemented using Microsoft Visual Studio.NET. (C#.Net)4.2 Development Architecture 2 Tier Architecture. However this facilitates running on a single computer.4.3 Implementation Phase Developed Product. Product Name: AssetLOOK If additional components are requested, they will be analyzed and charged reasonably. Also they will require further developments and may delay the deployment.4.4 Testing Phase The completed system will be installed at the actual environment and a trail run will be conducted under true working conditions.4.5 Changes & New Requirements Generally ABT gather clients’ exact requirement at the time of the application demonstration. However client can request any change to this application any time. All the requirements/changes have to be sent us electronically (as an email). However customer requests a change or new requirement verbally, ABT will minute the discussion and its details, and sends it back to the customer for approval. Only approved minutes will be entertained.We explicitly state that to send all change requests & new requirements toour general email address ([email protected]). AssetLOOK – Smart & Comprehensive Project Proposal Software malfunction. 6. Terms & Conditions6.1 Course of actions: 1. Product demonstration (gather clients’ exact requirement). 2. Submitting of project proposal. 3. Submitting Post Approval Report (PAR). (On the PAR, we declare expected software delivery dates and payment expected dates and additional terms & conditions discussed with the client after proposal. This is done mainly to make our service more reliable and to guarantee customer satisfaction.) 4. Submitting of requirement specification (to be signed by both the parties). 5. Initial software delivery. 6. Final software delivery (this should confront to the requirement specification.). 7. Getting software approval from the client (This will be the official end point of the software customization. Generally we deliver Software Approval Documentation SADOC, client will have to fill up the SADOC and hand it over to our representative within 10 working days. If SADOC was not received within 10 working days, we presume software confronts to client’s exact requirement and client has approved the software). 8. Delivery of user manual.6.2 Acceptance of offer: Acceptance notification should reach us as an email or a fax. a. Email to [email protected] b. Fax to 011-281-45906.3 Validity period of the Proposal: 14 days. If validity period is over a fresh proposal or a quotation will be prepared with revised pricing.6.4 Installation: User License: Issued user license can only be installed on a single device.6.5 Transportation: Colombo City, Kotte, Kaduwela, Kottawa, Biyagama, Dehiwala, Rathmalana & Moratuwa – accessible areas. Areas except above – inaccessible areas. Accessible areas – Free Inaccessible areas – LKR 45.00 per KM (Distance is calculated from our main office at Pagoda Road, Nugegoda)6.6 Delivery & Deployment of Software: This application is under development. Without further changes to this application, this can be deployed in 7 days from the approval to the proposal. We intend to deliver software in two steps. Initial Software Delivery: Software installation at clients’ site with clients’ changes & new requirements. Final Software Delivery: Further changes to the requirements delivered at initial delivery to confront clients’ exact requirement will be delivered as final delivery.ABT © 2015. All rights reserved. However if clients’ site resides in an inaccessible area transportation charges are applicable in both the deliveries.6.7 Payments: Advance to be paid with the approval to this proposal. Generally ABT issues invoice after the approval to this proposal. Due date for payment will be 2 days from the invoiced date. Initial Payment is to be paid when initial delivery was completed. ABT issues invoice for initial payment before the initial delivery of the software. Due date for payment will be 2 days from the invoiced date. Final Payment is to be paid when final delivery was completed. ABT issues invoice for final payment before the final delivery of the software. Due date for payment will be 5 days from the invoiced date. If a payment is not made on or before the due date, simple interest will accrue on the invoiced total owed at a rate of 12.5% from the date the payment was due. If an amount remains delinquent 30 days after its due date an additional 10% penalty will be added for each month delinquency. This is not applicable for the advance payment. Initial software delivery will not be carried out until the advance payment is made. Any of the payment is overdue by 02 months or more will result auto inactivation of the software application or a part of the software depending on the payment type. An electronic version of the invoice will be sent over via email, on the date the invoice is generated. The original invoice will be handed over to the client on the date the payment is collected. If the advance payment was not paid within the validity period of the proposal, current proposal will be vacated and a fresh copy with revised pricing will be submitted to the client.6.8 Customer Changes & New Requirements: This results changes in all delivery dates. ABT will assess all change requests and new requirements, and will decide the new delivery dates. It is guaranteed that changes & new requirements unnecessarily will not long last. If changes & new requirements have been raised during customer meet up, they will be listed on the Annexure B. All the penalties will be waived off if the software was not delivered on an agreed date. This is applicable only if the delay occurred due to negligence of the developer. If customer site resides in an inaccessible area, final delivery will be executed electronically, preferably using third party software such as team viewer. Customer must have a third party software such as team viewer installed on their computer and grant us the permission to log on to their computer using installed third party software. They can work out things well in time and are free totake care of the other smaller issues in office management. The same office work can behandled by less staff thereby allowing the rest of the man power to be deputed in otherproductive works.The project, without any doubt will form an elegant working environment to the Client.The system; Would substantially improve the quality of processing function by improving optimum usage of resources. Streamline the processes such as assets profiles, asset purchasing, servicing tracking, and management while making hassle free, less work and more efficient working environment.
