Main Gate should be immediately informed of any security threats in order to set off the school alarms. Extensions 9033/9149. If it is not possible to call, one of the guards should be informed, so the gate can be contacted. 2.Main Gate will contact Security Coordinator, Business Manager or Head of School to provide information on the situation and confirm the need to set off the alarms. 3.Head of School or Business Manager will serve as the Crisis Team Leader and will be responsible for coordinating the first response to the events at the school. If they are not available, the Security Coordinator followed by the Principals (in the following order Upper School, Lower School) will be responsible. 4.The team leader will: a.Attempt to verify the information by communicating with individuals reporting the incident. b.Determine if the incident requires convening the Crisis Team to assist in the management and response to the crisis. c.Advise the Crisis Team of the situation using Whatsapp or radio. d.Make critical decisions. e.Send out email and/or SMS messages to parents and staff (*). f. Send a follow-up message to parents and staff once the event is over (*). g.Distribute school’s “official statement” to the news media and community.(*) see standard messages provided by Business Manager02 Crisis Management Plan—Gávea
IV) Strategies and Plans: 1. FIRE a. Contact the Main Gate (ext. 9033/9149) or a Security Guard, or an administrator who will then contact to main gate. b. Sirens activated to clear classrooms (continuous sound approximately 3 min.) c. Follow “Emergency Procedures” for evacuation of the buildings: ∗ Only take personal belongings that are with you. Students should not go to their lockers. ∗ Stay in single file behind the teacher. If alarm goes off during brunch, lunch or activities, proceed to the field. ∗ No talking. Listen for further instructions. ∗ Walk to the far side of the soccer field and join your advisor. ∗ Line up with your advisor or grade level teacher. ∗ Remain quiet. Wait for the “all-clear” signal. ∗ After the “all-clear” has been given, return to the building with your advisor in single file. d. Administrators provide follow-up procedures: ∗ Return to classroom with your advisory group / grade OR: ∗ Initiate emergency phone tree / SMS / email to contact parents in case we need to evacuate the school. ∗ Proceed with campus evacuation taking students to a meeting point outside school (Gavea Jockey Club’s gate - see picture below) if necessary and then activate phone tree / SMS / email.Crisis Management Plan—Gávea 03
1.1 General evacuation procedures in case of fire a. Evacuation of blocks to the soccer field. Lower School will go to the South part of the field, near Block 8. For MS and US please refer to details on Appendix 3; b. Pre-school to the Condominium; c. Lower, Middle, and Upper School to soccer field or lower court and/or lower parking lot in case field is considered a risk area. d. Block 8 / Cafeteria employees go outside of the White Gate. e. Crisis Team convenes on the field, when necessary, to determine next steps. f. Fire department contacted by Security Coordinator. g. 2. INTRUDER / ARMED COMMUNITY MEMBER a. Contact the Main Gate (ext. 9033/9149) or a Security Guard, or an Administrator who will them contact the main gate. b. Sirens activated (police siren) for everyone to remain where they are and to stay quiet. c. Teachers and Staff lock doors and close curtains. d. Crisis Team Leader or Security Coordinator calls police and US Consulate. e. Teachers and Staff will receive further instructions via the PA system, radio, email, phone call, SMS or cell phone. f. Follow “Emergency Procedures” for NON - evacuation of the buildings: ∗ Close all Windows and lock all doors. ∗ Do not leave the room. ∗ Remain quiet. ∗ Remain in room until you receive further instructions via PA system, email, radio, phone or SMS message.3. CONFLICT IN THE NEIGHBORHOOD (off campus) 3.1 Alert phase a. If an incident occurs outside of school hours, the Crisis Team communicates via Whatsapp and determines procedures to follow. The phone tree/email/SMS will be initiated if needed. b. If an incident occurs during school hours, the Main Gate will activate school bell (police siren), for everyone to stay in classrooms until the “Crisis Team Leader” gives all-clear message via the PA system, radio, email, phone call, SMS or cell phone. c. Students not in classroom report to closest protected/ covered areas in buildings and avoid staying on the field, playgrounds, courts and balconies. For clarification of protected/covered areas, please refer to map attached in Appendix two (all areas marked in GREEN on map). 3.2 Protection phase a. Teachers keep the students inside classrooms or other protected areas. b. Crisis Team will be informed by Whatsapp and/or via radio, email, phone or SMS messages about next steps. c. Teachers and staff should wait for further instructions to be provided via the PA system, radio, email, phone call, SMS or cell phone. 3.3 Evacuation a. The Crisis Team Leader will inform by Public Address system, radio, email, phone call, SMS, Whatsapp or cell phone if evacuation is necessary, and when and how it will take place. Final evacuation for each school area to Gavea Jockey Club’s gate will be organized by the Crisis Team. b. School map for safety areas attached (Appendix two).Crisis Management Plan—Gávea 05
4. CONFLICT IN METROPOLITAN AREA a. If an incident occurs outside of school hours, the Crisis Team communicates and determines procedures to follow. b. Security Coordinator validates information with local authorities. c. Transportation company is contacted by Transportation Manager and changes to bus routes and new schedules are made. Transportation Manager or Business Manager informs parents via email, SMS messages or phone calls. d. Teachers keep the students inside classrooms. Administrative staff remains in offices. e. Teachers and staff wait for further instructions from Crisis Team Leader via the PA system, radio, email, phone call, SMS or cell phone.5. BOMB THREAT a. Contact the Main Gate (ext. 9033/9149) or a Security Guard, or an Administrator who will contact the main gate. b. Sirens activated to clear classrooms (continuous bell for approximately 3 min) c. Business Manager or Security Coordinator contacts Rio Bomb Squad if needed. d. Follow “Emergency Procedures” for evacuation of the building: ∗ Only take personal belongings that are with you. Students should not go to their locker or classroom. ∗ Stay in single file behind the teacher. If alarm goes off during brunch, lunch or activities, proceed to the field. ∗ No talking. 6. MEDICAL EMERGENCYa. An adult should remain with the person needing medical attention and another person should be sent to get the nurse. If the nurse is not available, contact the Principal or Area Secretary, if no one is available, contact the front office secretary (21259002) and/or security (21259000).b. If necessary, contact the office secretary and/or security to clear the area.c. If an ambulance is needed, the nurse will ask the office secretary and/or security to call an ambulance.d. The Crisis Team will meet, if necessary, and determine the next steps.General Preparedness: a. Faculty and staff attend “Emergency General Procedures” meeting during in service at beginning of the school year. Information is shared with students during class time or Advisory. The procedures document will be distributed and posted in each classroom. b. Security Department reviews emergency procedures each year and tests SMS data base every semester. c. Emergency phone trees and SMS list are updated on a continual basis. Secretaries have master list. d. List of students with medical issues is on file in offices and Infirmary and updated each semester. Teachers are informed of the students they have who are on the list. e. All offices have phone numbers posted of all emergency personnel (including ambulance service and clinics). Secretaries have phone list for each student (home, business, cell). f. Drills will be conducted in September, November, March and May.Nurse’s Office: a. Update list of students with medical concerns each year. b. Stock First Aid Kits with updated supplies. c. Maintain basic medical equipment and supplies. Order equipment as needed. d. Nurse posts location when not in office.Security office: a. Revise crisis plan every year. b. Update and distribute emergency contact numbers. c. Check distribution of procedures. d. Test sirens and back-up equipment. e. Provide first aid training. Post names of personnel trained in First Aid in each academic area and administrative office.Communication Guidelines: a. General info on school’s website. b.
