We can pay your utilities and other outgoings for you, such as insurance, maintenance costs and ensuring all are approved in advance and detailed on your monthly statement. To stay on our roster as a preferred supplier, they must meet our quality control measures and achieve consistently positive feedback from our landlords and tenants alike. Zero tolerance on rent arrears Rent payments are monitored and any arrears are followed up diligently without delay and within legislative time frames. Our Agency is open from 8:30am to 5:00pm Monday to Friday and from 9:00am to 2:00pm Saturday to allow plenty of flexible time for tenants to pay their rent. We also have the facility for tenants to pay directly into our bank account. The arrears list is checked daily and action is taken to collect any outstanding rent.

How we manage your property? Inspection of the property Routine inspections form a very important part of maintaining your investment, and we conduct these for several reasons. At the commencement of the lease, prior to the tenant taking possession, the property is inspected and a thorough condition report is completed as well as internal and external photos of the premises. During the term of the lease we are able to undertake a routine inspection of the property at intervals of every 4 months (unless otherwise requested by the owner), in accordance with the Residential Tenancies Act. The purpose of these inspections is to ensure that your property is being looked after by the tenants and secondly, bring to your attention any immediate maintenance needs. Photographic reports are forwarded within 10 days of inspection. Invitations are sent to owners should they wish to attend. Selection of tenant We consider this to be the most important duty, good tenants are highly prized and we want to ensure that our property owners get the caliber of renters they deserve and we believe that the screening process is one of the most important parts of the tenancy. That’s why we utilise a screening process on each and every rental applicant. • We contact former and current landlords for verbal references • We do a verification of the applicants employment and income • We speak to the applicants employer directly as a character reference • We obtain 100 points of identification from each applicant • We do a thorough check of personal references for each applicant Keys The office retains one set of keys to facilitate inspections in a safe and secure cabinet. Under the Residential Tenancies Act we are also required to supply tenants with one full set of keys for every lock on the premises as well as a partial set that secures entry to the premises to each and every other resident that requires them. Absentee landlords If you live or move away from the area, interstate or overseas, you can rest assured your investment is managed by our team. We undertake all the standard functions required to manage your property in your absence, while staying in constant contact with you.

Water charges Whilst it is the owners responsibility to pay for all fixed charges for water supply, if the property is made “water compliant’’ a three star rating and a certificate is produced by a registered plumber, then tenants can now be charged for water consumption. Otherwise owners will be required to pay for the first 25kls and tenants will be charged above and beyond 25kls every three months. A water meter reading is taken at the commencement of the tenancy to ensure correct charges are calculated. Lease renewals & rent reviews Our aim is to keep your tenant on a fixed term lease. When a lease is approaching term we shall contact you to determine how you would like to re-negotiate, and advise you of our opinions. The decision is yours. We also take the opportunity to adjust the rent accordingly to current market conditions. Owner statements The accounting for end of month payments is performed the next business day after end of the month, payments are distributed to your bank account or sent out as a cheque. Mid month payments can also be arranged if requested. All statements are emailed with invoices attached. We also offer payments of rates, insurance premiums plus any body corporate fees. Landlord insurance Whilst we take all due care and attention in managing your property, occasionally things can go wrong. To minimise the risks of your investment you need to look at insurance policies, which cover the loss of rent, malicious damages, and contents and legal liability. Property management costs Letting fee Equal to one weeks rent plus GST. This is a once off payment that you make at the commencement of a new tenancy agreement. It covers the costs for advertising the property, open inspection viewings, application processing, lease agreement, collection of rent and bond monies, entry condition reports with photos. Management fee 7.5% plus GST. This is a ongoing monthly charged on collection of rental payments. This covers lease renewal processing, maintenance requests and follow ups, invoicing, rent arrears, end of month reporting, routine inspections and all other adhoc duties. Advertising fees Upon advertising your property there is a $135 advertising fee. This cost ensures that your property receives the highest level of marketing. We offer premier marketing for all our clients which on average results in 4.5 x more enquiry than properties on a standard listing. Your property will listed on realestate.com.au, domain.com.au, rent.com.au, honely.com.au and prd.com.au Other fees $12.83 Administration Fee charged per month. Covers sundry outlays such as the Federal Government Tax and Fees payable on all deposits, postage and all other ingoings and outgoings.

Preparing your property for rent A property prepared home will not only fetch a better weekly rent, and attract a better tenant, it will also help ensure the whole rental process is simple and easy from start to finish. Indoors • Paint and touch up interior walls • Make necessary repairs/replacements • Clean carpets and polish floors professionally to remove stains and odours • Clean curtains, blinds and shutters • Clean bathrooms thoroughly, ensuring you remove mould and water stains. • Ensure all lights and power points are working Outdoors • Mow lawns • Weed the garden • Prune trees and shrubs • Clear gutters and drains • Empty bins, remove rubbish • Wash windows and fly screens • Touch up paint where necessary • Wash the exterior of the house • Clean your pool and outdoor living area

Routine inspections Sarah Tuxford Routine Inspection Officer Sarah has 8 years’ experience of property management and a further 2.5 years as a routine inspection officer with PRD Burleigh Heads. She is dedicated in helping maintain your property, working with your property manager and tenants. As part of the property management service we provide to landlords and tenants, our property management team likes to ensure that rental properties in our care are inspected on a regular basis, in accordance with the Residential Tenancies Act 1997. Our inspections officer Sarah Tuxford will attend to your property 3 times per year. She will help ensure that your property remains in a state of good repair. Sarah will look over the reported maintenance and look out for anything that may have been missed by the tenants. The routine inspection report will include current and any possible future recommendations such as the carpet replacement, painting or blinds/curtains, that may need updating. These routine inspections are beneficial to tenants and landlords alike, as they are designed to determine any concerns with the ongoing tenancy and rectify where necessary. Routine Inspections are also a great opportunity to assess the property and obtain an up-to-date rental appraisal, based on comparable market review. Sarah will advise your property manager of this and a rental increase may be recommended along with a lease renewal option. It’s important to note that a routine inspection is not a housework inspection. Rather the inspection is carried out by property managers on behalf of the owner to ensure that the property is well cared for and to see if there are any maintenance or health/safety issues that may need to be rectified for the tenant.
