Getting your Property Ready Refer to our comprehensive rent ready guide Prior to selecting a tenant to move into your property, it's important to attend to any minor improvements or maintenance that needs to be done. Property Owners responsibilities: • Property should have landlord and building insurance cover, and policy details must be provided to our office. • The property should be handed over in good condition, clean and all repairs attended to. • Gardens should be weed free, edges trimmed, mowed and tidy. • All appliances should be in safe working order • Minor repairs must be attended to, ie. sticking windows, leaking taps, running toilets, creaking doors, etc. If you are unable to attend to these items prior to signing up with our office, we are able to arrange them for you, however this may affect the available date for the property. Just remember, the condition that we give the property to the tenant, is the condition we can expect it back from them at the end of their lease.

Step 1 Getting Started When you make the decision to appoint LJ Hooker Yarrabilba | Scenic Rim to represent you and manage the property, we will coordinate all relevant documentation to be executed and ensure you understand our processes. Now is the time to ask any and every question that you may have, so that we can help you understand exactly what will happen and anything else that we require from you. Step 2 Property for Lease Once photos have been completed and we have discussed a plan for inspections, we will launch the property to the market and begin working to secure a prospective tenant by leveraging our database of prequalified tenants. Our Leasing Consultant will also begin taking enquiry, scheduling Open Homes and private inspections and processing any rental applications that start coming through. Step 3 Tenancy Application Once we have any completed rental applications for your property we will send them through to you with a breakdown of the application. The tenant selection is up to you, so we will provide our recommendations, but you will make the final decision. Once we have selected a tenant we will work with all parties to confirm a move in date for the tenants. Step 4 The Property Manager With the tenant approved and moving in, you and your property will then be handed over to your new Property Manager for them to handle the day to day items including rental payments, maintenance and routine inspections moving forward. From here, any queries that you may have can be directed straight to your new Property Manager.

Pricing your property At LJ Hooker Yarrabilba we pride ourselves on consistently achieving record returns for our Landlords in a local market which may, at times, seem stagnant. When we bring your property on, we watch the market and review our recently leased properties, as well as immediate competition, to ensure that we price your property competitively. Our goal is to achieve the best return for you, while still hitting the market with a competitive price so that we don't see your property sitting vacant for longer than necessary. By closely monitoring the market, both available properties and recently leased, we are always on top of any market trends and changes that may be coming your way. We provide updated market appraisals at the lease renewal stage, to ensure that we are achieving the highest return for your property that we can. If a rent increase is feasible during the lease renewal process, our Property Managers will work to achieve this for you. If the property has been on the market for a week with little to no enquiry, we may look at adjusting the price to invite more enquiry, and avoid a vacancy period. Our Leasing team will speak with you while the property is available for rent, around the amount of enquiry and whether we would recommend re- visiting the pricing on the property.

We begin with photography, encouraging our owners to utilise professional photography where possible. Our dedicated Leasing Consultant personally attends all of our Open For Inspections and Private Inspections for our rental properties. Tenant Selection It's Up To You! One of the most important things to our Landlords, and one of our most frequently asked questions, is about our tenant selection process. Our team have high expectations for our tenants, and we know how important it is for all parties, that we ensure a good tenant is in your property . We have a comprehensive rental application process, which is automated through Tenant Options. We require 100 points of ID, 2 years worth of previous living and employment references. We also utilise both TICA and Barclay in our office, which are defaulting tenancy databases covering Australia and New Zealand. We are careful to check all of our tenants and ensure that prospective tenants are cleared from being listed on these tenancy databases. When an application is completed and the LJ Hooker Yarrabilba prospective tenant has passed our checks, the application will then be forwarded to you with a break down of the tenants applying, and our recommendation. From here, it is completely up to you. If you are Application 1 happy to proceed with the application, our Property Managers will contact the tenants to WW12xoeArLekdakiunblylgrtasinfdu&colol2rtmiCmehei=ld$re2,n500 arrange the specifics of their move in. Then the Move in: ASAP Property Manager will conduct an extensive entry condition report. We also require tenants pay their bond and 2 weeks rent up front to secure the property. Once this has been received, the tenants will sign the Tenancy Agreement, along with a representative from our agency, as the managing agency. All relevant documents will be forwarded to you for your records.

Tenancy Renewals We will always work in our client's best interests and managing the lease renewal process is an important component of our services. We start our process well in advance of a tenancy expiry date for several reasons; the most important is to ensure that the property owner is protected. This process will start up to four months prior to the expiry of a tenancy agreement. Your property manager will consider the following - Should we re-engage the existing tenant into a new agreement? Review the current rental return and compare your property with comparable properties that are currently available for rent or have been recently rented Seek your instructions - your plans may have changed and you may wish to sell or move into the property - this ensures we have ample opportunity to provide notice to the tenant as required under legislation (60 days) If the rent is increasing, providing the required notice to the tenant of a rental increase to coincide with a new tenancy agreement (60 days) For your protection, we want to prepare if the tenant intends to vacate and therefore need to re-rent the property to minimise the vacancy timeframe between tenancies

The Owner Portal When you appoint us to manage your property, you will receive your unique log in to our Owner Portal. This way, you will be able to access all of the information about your property whenever you like! All of the statements, invoices, up to date rental information, the tenants' paid-to dates and any other costs relating to the property, such as rates notices and body corporate statements, will all be kept in one, easy to access place! This also allows for ease of tax returns at the end of financial year, with all of your costs in one place. You can even give your tax agent your log in details, and they can access your owner portal for all relevant information for your tax!

Disbursements & Statements We offer a variety of options for your rental disbursals; weekly, monthly, or bi- monthly. Weekly payments are run on the Friday of each week, end of month payments are made on the first business day following the end of month, and mid-monthly payments are made on the 15th day of each month. Should this fall on a weekend or public holiday, payment will be made the next business day following. A statement will be produced upon each disbursal and emailed directly to you. At EOFY a summary of income and expenditure is available, and will be issued by our Accounts Department. We can pay rates, body corporate and strata fees on your behalf, and these costs will then be itemised on your statement. We can also attend to payment of your Landlord Protection insurance premiums, but are unable to pay other insurances. Disbursements are made to owners by electronic funds transfer (EFT).

Rental Payments & Arrears Process To make payment of rent convenient for tenants, LJ Hooker Yarrabilba | Scenic Rim has a number of payment options available. We have a zero tolerance policy in relation to rent arrears and we are proud of our consistently low arrears rates. Our Property Management team review any arrears on a daily basis. Our tenants are advised of their responsibilities regarding payment of rent during their sign up process and fully informed of the action taken, should they not fulfill those obligations. Our Arrears Process: • Reminder sms from 2 days in arrears • Email reminder from 3 Days in arrears • Phone call requesting payment from 4 days in arrears • Further phone call and warning email from 7 days in arrears • Advise that notice will be issued unless full payment is made immediately • Breach notice issued at 8 Days in arrears • Contact owner, seek instructions, act in accordance with owner's written instruction and the legislation • Terminate tenancy if required, once breach notice has expired

Routine Inspections At LJ Hooker Yarrabilba | Scenic Rim we will carry out a routine inspection every sixteen weeks. Legislation allows for the Lessor/Lessor's agent to conduct routine inspections no more than every 3 months. We are required to provide tenants with 7 days notice for access to the property for a routine inspection. Our landlords are more than welcome to attend these inspections with us. Once the inspection is completed, your property manager will provide you with the report. This report is comprehensive and detailed, outlining the condition of the property with photos of every part of the property for your perusal. If an issue arises from the routine inspection, the tenant will be asked to rectify immediately, and a follow up inspection may be scheduled to ensure the issue has been corrected.

Repairs & Maintenance As your Agency, we will always work within your best interests - Understand the repair/maintenance in detail Identify who is responsible - i.e. tenant or property owner Ensuring the contractor's pricing is fair and reasonable The job is completed promptly and efficiently Provide you with recommendations Negotiate on your behalf (if applicable) It is important to understand your responsibilities as a Property Owner. The property manager/owner is responsible for ensuring the property is fit to live in and in a good state of repair. The tenant must notify them of any repairs needed. If a tenant, or their guest, damages the property, they may have to pay for repairs. There are 2 kinds of repairs referred to when it comes to property management emergency routine Emergency repairs The tenant should contact the property manager/owner or the nominated repairer (listed on the tenancy agreement) about the problem. It is a good idea to put the request in writing as evidence of notification. If they cannot be contacted, the tenant can arrange for a qualified person to carry out emergency repairs to a maximum value of 2 weeks rent. Paying for emergency repairs If the tenant pays the repairer they need to give all receipts to the property manager/owner who must pay them back within 7 days. Alternatively, the tenant may ask the property manager/owner to pay the repairer directly.

Emergency repairs The tenant should contact the property manager/owner or the nominated repairer (listed on the tenancy agreement) about the problem. It is a good idea to put the request in writing as evidence of notification. If they cannot be contacted, the tenant can arrange for a qualified person to carry out emergency repairs to a maximum value of 2 weeks rent. Emergency repairs are: a burst water service or a serious water service leak a blocked or broken toilet a serious roof leak a gas leak a dangerous electrical fault flooding or serious flood damage serious storm, fire or impact damage a failure or breakdown of the gas, electricity or water supply a failure or breakdown of an essential service or appliance on the property for hot water, cooking or heating a fault or damage that makes the property unsafe or insecure a fault or damage likely to injure a person, damage property or unduly inconvenience a tenant a serious fault in a staircase, lift or other common area of the property that unduly inconveniences a tenant in gaining access to, or using, the property. All other repairs are considered routine repairs.

Communication At LJ Hooker Yarrabilba | Scenic Rim, we would rather over-communicate that under-communicate, which is why we provide many opportunities for our Property Managers to touch base with owners and tenants throughout the entire process. While your property is on the market for rent, you will receive weekly Owner Reports from our Leasing Team, as well as an inspection report following each inspection at the property. We will also make contact if there have been no inspections, as this is a great opportunity to gauge the marketing or pricing on the property. Once a tenant has been found, you will receive a summary of their details and our professional recommendation regarding the tenants. If you choose to approve the application, we will then contact the tenants and come back to you regarding move in dates and lease terms. Once the tenant has moved in, one of our Property Managers will perform the first routine inspection after 8 weeks. This will allow our Property Managers to speak with the tenants and if there are any issues and address them early. This also provides an opportunity for our Property Managers to set the expectation from the beginning, of what we require from our tenants. After every routine inspection you will receive a detailed report including photos of the property for your viewing. We will also touch base for any maintenance items or queries from the tenant that may arise during the tenancy. Our Lease renewal process begins 3 - 4 months out from the end of a lease, when our Property Managers will touch base with both the owner and the tenant to gauge if both parties are happy to renew the lease. At this time we also provide our owners with an updated market appraisal for the property to ensure your property stays priced correctly, and if there is an opportunity to increase the rent on the property, our Property managers will work on this for you.

Comparative market analysis We have prepared the following comparative market analysis specifically for your property. It displays all nearby and/or similar properties for sale and those sold in recent times. It details: • Properties that are currently on the market with similar features as yours • Properties with similar features to yours which have recently sold • The average length of time on market • The difference between the asking price and actual selling price
