Welcome to the ASAP (After School Activity Program)!Dear Activity Coordinator,Thank you for your interest in being part of the Lower School After School Activity Program(ASAP) for the first semester of the 2017-2018 school year. Extra-curricular activities are anintegral part of student development at EARJ and they help build in main components ofcharacter—Trustworthiness, respect, responsibility, fairness, caring and citizenship. They are alsoan excellent way for children to explore and discover what they like doing!We are proud to offer high-level complementary activities, in English, to the excellent academiccurriculum EARJ offers, for Lower School students (Preschool to 5th grade).In order to submit your proposal, please read this document carefully and send your proposals [email protected] by August 7, 2017.Activities’ dates and times:The ASAP, is directed to the LS audience and runs for an hour more after school and have amonthly fee for parents. Mondays, Tuesdays & Thursdays from 3:50pm to 4:50pm (The Activity Coordinator or assistant should be ready to pick up students at 3:40pm when the bell rings at the Mezzanine) Wednesdays & Fridays from 2:50pm to 3:50pm (The Activity Coordinator or assistant should be ready to pick up students at 2:40pm when the bell rings at the Mezzanine) Activities may take place once or twice a week (Note that you can have different “once a week” groups considering different age groups. Ex. Meditation—Monday, PS-2nd grade / Wednesday, 3rd-5th)Dates:• The ASAP will start on August 21, 2017 and will end on December 8, 2017 (a week prior to the end of the 1st semester)Quorum and Ratio Teacher/Student: A quorum of a minimum of 5 students (or specific number established by the Activity Coordinator) is necessary for the activity to take place. If the minimum quorum is not reached, you will be able to make a new proposal the following semester. Every activity from PS to 2nd Grade needs:  5-10 students: Always 1 teacher and 1 assistant  10+ students: Always 1 teacher and 1 assistant, plus 1 extra assistant for every 8 students Activity from 3rd Grade to 5th Grade  5-20 students: Always 1 teacher and 1 assistant  20+ students: Always 1 teacher and 1 assistant, plus 1 extra assistant for every 10 students

Contract & EARJ Fee:For every activity proposed, the Activity’s Coordinator signs a contract with EARJ. In thiscontract name, duration of contract— semester, responsible person and payment fees arestipulated and agreed upon. No activity may start without prior contract signature A fee of 10% of the number of enrolled students per month, is due by the Activity Coordinator to EARJ. This is a rental/security fee and it is due every day 5 of each month. Payable at the ADM.Activities’ Fees and Payments: It is up to the Activity’s Coordinator to dictate his/her price as long as it is justifiable. The monthly fee is to be paid directly by the parent to the Activity’s Coordinator (AC). It is the AC’s responsibility to keep track of students monthly payments and send out reminders. EARJ does not participate in this procedure.Communication with parents:• ACs are free to connect with parents directly, via e-mail, as long as Ms. Cris Gomes ([email protected]) and Ms. Beatriz Pontes ([email protected]) are ‘cced’ on the e- mails. This helps manage absences, doubts and questions.Transition from classroom to ASAP and Transportation: The ASAP starts right after school. Lower School students are taken to the Mezzanine Area where they are picked up by their respective Activity’s Coordinator (or designated teachers and assistants) and are taken to their activities’ classroom or outside space. At the end of class, each Activity Coordinator (or designated teachers and assistants) is responsible for taking all students to the Red Gate for pick-up and wait with them until the last child is dismissed. Dismissals will happen through Red Gate only. There is no school transportation provided for students. If families are more than 30 minutes late, the teacher will accompany the child to the LS Office where an EARJ Staff member will contact the parent. After three late pick-ups, the school will un-enroll the student from all afterschool activities for the semester.Field Trips, picnics and outside tournaments: If you wish to enroll your ASAP in an outside competition, where students are expected to leave campus or meet outside EARJ. Contact Ms. Beatriz Pontes ([email protected]) at least 2/3 weeks prior to the event. A letter will go out to parents, jointly from EARJ and ASAP’s Activity Coordinator.Materials and Snacks:Materials:Each activity demands different materials. Be sure that if your class has a material fee that it iseither embedded in your price, either explicit to parents. Make sure you are clear about whether itis a monthly fee or a semester fee. Materials can range from uniforms, to appropriate shoes orapparel, or food for cooking, etc. E.g.: Jiu-Jitsu, Capoeira and Ballet require uniforms. Gymnastics and soccer require adequate apparel…

Snacks:Remember that the ASAP adds an extra hour to the student’s day. Parents are encouraged to pack a light snack for your child. Children CANNOT share food in order to avoid allergic reactions/food intolerances.What to consider when writing your proposal: Name of activity; Age/Grade Target; Credentials/Education Times a week offered (once or twice a week) ; Price of your activity (price once a week and twice a week); Space needed (Ex. Classroom, outside area, mirror room, computer room…); Teacher in charge (As an Activity Coordinator, you can have teachers leading different groups. Please specify full name and contact information for each one); Description of activity (Please detail your activity and program. Do not forget to add educational value and curriculum); Write a small “catchy” paragraph on your activity (this will be shared with parents. So make it as interesting as possible) IMPORTANT DATES August 7, 2017: Deadline for submitting proposals. August 9, 2017: The ASAP Committee will analyze your proposal and get back to you August 11, 2017: Brochures will be sent to parents by Mr. Nate’s through weekly parent e-mail From August 11th to August 18th: Parent/Student sign-up August 21, 2017: Start of activities August 24, 2017: Students on trial classes last sign-up opportunity .
