Nursing Team Site A Team Site offers specific kinds of tools and workspaces that you can use to communicate with team members, track projects, coordinate deadlines, and collaboratively create and edit documents. Nursing Team Sites utilize several different types of content. This user guide contains helpful information related to managing Nursing Team site. I. Navigate to Team Site Team Members can be a member of multiple team sites. Follow the steps below to access your team site: 1. Click on the Group Sites link located under the Resources tab on the Team BayCare home page. 2. All the Team Sites you are approved to view are listed. Click the desired site to view it. The queries that determine the content for automated web parts are based on two factors: terms/tags and the target audience.  Terms/Tags are keywords that help when searching and are assigned during the publishing task.  Target audience is facility and role specific. For example, Morton Plant Nursing team sites will contain announcements, events, and FAQ’s intended for that facility only. Examples of automated web parts on team sites include:  Announcements and links on the Home Page  Educational announcements, competencies, job aids, educational events, and educational FAQ’s on the Education Page 1

Nursing Team SiteII. Automated Web PartsWeb Parts are one of the basic building blocks of team sites. They enable you to customize a page to displaycontent or business data from many sources. Automated Web Parts are Web Parts that display informationfrom external sources, such as RSS feeds or news sites.When you create a new team site, the home page for that team site automatically contains Announcements,Calendar, Links, and Site Image Web Parts.2

Manual Web PartsManual web parts can be added to the team site if additional web parts are desired.Manual web parts may be edited in one of two ways: direct edits and page edits.Direct Edit is an edit made directly to the Nursing Team site.  Data for this content type displays published documents/links from Team BayCare and your Team Site. Web Part DescriptionsWeb Part PurposeAnnouncements The Announcements list contains messages posted by contributors to the site (whoCalendar have necessary permissions). Use the List View Web Part named Announcements to display and update these messages on a site.Links The Calendar list contains upcoming meetings, deadlines, and other important events.Shared Documents You can add a Calendar List View Web Part to various locations on a site to displaySite Assets and update the information on the calendar.TasksSite Feed The Links list contains links to Web pages that your team members will find interesting or useful. You can use the Links List View Web Part to display important or interesting links in different locations on your site. Use the Shared Documents List View Web Part to provide quick access to team documents in different locations on the site. This library stores files that are included on pages of the site, for example, images from Wiki pages. The Tasks list is where team members can keep track of work that needs to be done. Add the Tasks List View Web Part to a page to view and update the list of tasks. The Team Discussion list contains newsgroup-style discussions among team members. Use the Site Feed List View Web Part to display and add to the discussions. 3

Nursing Team SiteA. Direct EditsAdd A New Hot Topic Announcement1. From the Site Home Page, click the Add new announcement link.2. The web part is now in edit mode. Enter the title of the announcement in the Title field.3. Enter the body of the message in the Body field.4. Enter the expiration date of the announcement in the Expires field. Note: This is the date the announcement will no longer be visible on the team site. It does not delete the entry.5. If you want to save the announcement in the list, click the Save button. -or- If you want to cancel creating the announcement, click the Cancel button to go back to the list.4

Page Edit - Add EntriesExamples of page edit web parts are listed below.  Required Education on the Education Page  Quality page – joint commission/regulatory, meaningful use, readmission information, HCAPS scores, HCAPS: what else can I do?, core measures  Contacts page – other contact informationWe will use Adding an HCAPs score as an example.Add entries for HCAPS scoresThis web part does not contain an embedded link that can be put into edit mode. Instead, the entireQuality Page must be put into edit mode.1. Select the PAGE tab.2. Click the Check Out button.3. Click the Edit button.Note: There is no requirement to Check Out the web part that is being changed before putting it into edit mode.However, not using check out risks more than one user accessing and editing the same web part at the same time.For example: If more than one user is editing adocument, the last person to save their changes willbe presented with three options: overwrite previousedits, discard their own changes, or merge changesmade by both users. Merging changes made by morethan one user can lead to unexpected results. Get in thehabit of Checking Out and Checking In any object thatyou are making changes to on your Team Site.4. Enter HCAPS Score in the appropriate field.5. Click the Save button.6. Click the Check In button.6

Site Feed Site feeds display Posts and Replies (Conversations) to users who have access to the Team Site.  Best used for short, time-sensitive conversations within a team  Maximum of 512 characters per post and 100 replies per conversation  Users have the ability to “Like” posts  No moderation  Users can delete any conversations they have initiated and any replies they have posted  Conversations can be locked by the posting user. A locked conversation is not available for edits of any kind (replies, likes, links)  Images can be embedded into posts by selecting the camera icon located under the post/reply text box 7

Nursing Team SiteV. CalendarThe Calendar page and Calendar web part on the TeamSite home page are synchronized.A. Add New Events1. From the Site Home Page, select the Add new event link located in the bottom left corner of the calendar web part.2. The Event Properties window displays. Enter the Title, Start Time, and End Time, which are required fields.Note: If the event is an All Day Event, only the title is required.3. Click the Save button.8

Nursing Team SiteB. View Events1. Select the Team Calendar link in the navigation menu on the left side of any Team Site page. (The Team Calendar page displays.)2. Select the EVENTS tab. The Events tab allows you to view and edit event properties, attach files, and sign up for alerts to events (sent by e-mail or text message). 9

Nursing Team SiteVI. LibrariesTeam Sites have two types of libraries: Documents (Public and Site) and Pictures. Public Documents can be viewed by all users with access to Team BayCare. Team Site Members have permission to view and edit Public Documents. Site Documents can be viewed and edited by Team Site Members only. Any file saved as a Site Document will be hidden from Global Users (those team members not provisioned for the Team Site). Pictures can be viewed by all users with access to Team BayCare. Team Site Members have permission to view and edit Public Documents.Any document that is being referenced as a resource (policy, announcement, job aid, competency, form, etc.)should be created as a Site Document. This will minimize the risk of accidental changes to the resourcedocument by unauthorized users. A good example of this type of document would be the Team Map Action Plan foryour floor or the Infection Control tracking report. These two items are displayed by selecting links on the Qualitypage.10

Nursing Team SiteVII. Moving Content to a Team SiteThere are two methods for transferring documents into team sites.A. Drag and Drop a File from your Local Computer or an Email Attachment1. Select either the Documents or Pictures menu link. (Site documents display.)2. Select the locally saved file or e-mail attachment and drag and drop them into the Site Documents window. Note: Hold the Ctrl key to select more than one document. 11

Nursing Team Site Note: To upload a file into a subfolder, click Choose Folder.B. New Document Link1. Click the new document link. (The Add a document window displays.)2. Click the Browse button.3. Click the OK button. (The Site Documents window displays.)4. Click the Save button.12

ProvisioningAssigning UsersTeam Site provisioning is managed by assigning users to one of three possible groups:Visitors, Site Members, and Site Owner/Permissions Manager.  Visitor - All BayCare team members can access the content on your site, but they have READ ONLY permissions. These accounts are not able to contribute to or edit your content.  Site Members - These team members have full READ/WRITE/CONTRIBUTE access to their respective site(s). This includes adding pictures/photos and initiating and contributing to conversations in the Site Feed web part. Remember: Team Site content is not moderated.  Site Owner/Permissions Manager - This is the person that can assign the rights/permissions to site members.Managing Permissions 1. Select the PAGE tab. 2. Select the Page Permissions link. 3. Select a user or group name for which you want to edit or remove permissions. OR 4. Click Grant Permissions to grant permission to a new users or groups. Note: Access Request Settings allows users to request access to this page. 13

Nursing Team SiteVIII. Provisioning continued...Permission LevelsPermission levels are a sets of individual permissions a user or group can be assigned. Permission Level Description Full Control Has full control. Design Can view, add, update, delete, approve, and customize. Edit Can add, edit and delete lists; can view, add, update and delete list items and documents. Contribute Can view, add, update, and delete list items and documents. Read Can view pages and list items and download documents. Limited Access Can view specific lists, document libraries, list items, folders, or documents when given permissions. Site Permissions Manager Can manage site user permissions. Page Customizer Can add and customize pages and the web parts on them. Approve Can edit and approve pages, list items, and documents. Manage Hierarchy Can create sites and edit pages, list items, and documents. Restricted Read Can view pages and documents, but cannot view historical versions or user permissions. Restricted Interfaces for Translation Can open lists and folders, and use remote interfaces. NoDelete Edit/Contribute rights without Delete14
