Page 7 Planning your wedding Planning a wedding can be both exciting and stressful. From my experience the best way to handle planning a wedding is in small manageable parts, and maybe a glass of wine or two. Dedicate some uninterrupted time, once the euphoria of the engagement proposal has subsided, with your partner and talk about just a few major elements of your wedding. Do not try and decide everything in one sitting. These are the major elements I would do first (about 13 months out) … 1. What is the budget? 2. What year do you want to get married? 3. What time of year would be best for your wedding? 4. What style of wedding would you like (this can be affected by No.2) 5. How many guests? Remember this affects the budget. 6. Decide bridal party. This is the start of formalizing your wedding plans. The following is a list of nearly everything you will need to do. Divide and conquer is the key here. Get your partner to do some things and set deadlines when you need this information so next time you sit down you can make informed decisions as well as cross some things off the planning list. Enlist your family or bridal party to help. It will help them feel special and a larger part of your wedding. 12 months out • Make a guest list. • Hire a wedding planner if you are time poor or feel it’s too much stress to plan. • Select a venue (ensure they can cater guest count, style and budget). • Select caterers to visit and see what options they have for you to plan a menu. 11 months out • Choose colour palette and overall design. Page 9 10 months out • Shop for the dress – take a trusted friend who knows you, your style and can be honest as well as keep you within budget. • Book accommodation for guests and yourselves. Ensure the room is large enough to get ready in or book two. Book your wedding night accommodation if you want somewhere different to getting ready. Booking lots of rooms can get you discounts. • Create a wedding website so add the URL to invites so guests can be informed of even upload photos they take on the wedding day. • Shop for invites that suit the style of wedding and can be customized to suit you and have URL added. 9 months out • Buy THE dress of your dreams. Send an image to your photographer so they can see how they can best photograph it and the style of the wedding. • Send save the dates. 8 months out • Register for gifts or if you have everything why not ask guests to gift money to a wedding album or wall art prints from your photographer. • Select the bridal party attire, including ring bearer and flower girl. • Meet with potential florists. First, decide if you want fresh or artificial, both have pros and cons. Be flexible as time of year and supply can and will affect choices. 7 months out • Book the rehearsal dinner venue. If it’s the reception venue get your guest to give an honest opinion in case any red flags are raised. • Hire ceremony musicians. • Hire officiant. 6 months out • Hire venue lighting/special effects technician. 5 months out • Book transport for you and bridal party. • Book additional transport for guests if necessary. • Book honeymoon (remember travel insurance) • Buy/rent groom’s attire. 4 months out • Have a final tasting with the caterer. • Choose your cake maker/designer and ensure you taste samples. • Buy the wedding rings. • Groomsmen fittings. • Hair and make-up trial, take in some images of preferred style that you feel suits you and your wedding day plus dress. 13 Gardiner Street, Ingham, QLD 4850 – 0408588164 – ABN 24 812 316 727 revision 07/08/2023

Page 11 3 months out • Order the invites. • Create and confirm menu with caterers and the suggested guest count. • Brainstorm guest favors/gifts. Make it fun and part of your style/characters. • Book a photo booth. • Write vows or if not writing your own, how about a personal love letter to your partner so they can read it as they are preparing for the wedding. Include a personal gift to let them know you are thinking of them and how special they are to you. • Select special readings and who will read them. • Select your MC and let them know their duties. • Start creating any DIY crafts you need for the ceremony, reception or formal photo session (let your photographer know). • Take a few dance lessons with your partner. WOW your guests, and have fun. 2 months out • Send invites if you haven’t already. Ensure there is an RSVP date one month from date so caterers can alter amounts as well as seating by the venue. Check their contracts as it may be earlier. • Send rehearsal invites at same time invites go out. • Dress fitting. • Purchase wedding dress, undergarment and shoes. • Purchase wedding party gifts. • Song selections for ceremony and reception. • Visit florist for floral arrangement mock-up to ensure it suits your style. Remember the tossing bouquet, buttonhole flowers and the flower girl’s hairpiece. Page 13 1 month out • Assemble gift bags. • Pay all venders in full. • Create a seating chart and name place cards. • Create a family/Friends shot list for the photographer. • Break in those amazing wedding shoes! Final Week Congratulations! You've made it all the way to the final week of wedding planning. See, it was easy, right? Take a few deep breaths now or pour another glass of wine, most of the hard work is over at this point. Now all that is left is those minor details that can easily be overlooked. You, your partner and your bridal team need to take care of things like: • Manicure/pedicure • Having a massage (why not make it a couple's massage?) • Final dress fitting (a friend or bridesmaid should come with you so they can learn how to bustle if your dress requires it). Remember to find out where the button is to lift the train up. • Pack your bags for the honeymoon (don’t forget your passport, cash, international phone charger and travel insurance if going overseas) and confirm travel arrangements. Remember to leave copies of everything with a trusted friend or family member. • Clean your ring (head to your jeweler to get your engagement ring professionally cleaned so it’s extra sparkly on the wedding day) • Chase any RSVP stragglers and deliver the final headcount. • Clear your work to-do list so you can only focus on wedding festivities and take it all in • Practice your vows out loud. • Write your partner a love letter if you forgot in month 3. • Order a food platter for both you and your partner to munch on during the preparation. Page 15 Night Before and Morning of the Wedding Your day to shine and proclaim your love is finally here. All the preparation and planning to create your dream wedding have come to fruition, and now it’s time to enjoy the wedding. The Night Before: • Eat a healthy meal. • Pack a clutch or small bag of personal items. • Drink water. • Get a good night's sleep. • Put any boxes, suitcases, bags, and survival kits to bring to the ceremony or reception in the car (you'll thank us tomorrow). Page 29 AGREEMENT Overview: This Agreement expresses the full and complete agreement between the named parties (Hereafter referred to as the CLIENT) and Mostyn Swain Photo-Graphic Artisan (Hereafter referred to as COMPANY NAME) regarding the subject matter hereof. It supersedes all prior agreements. The only way to add or change this agreement is to do so in writing, signed by all parties. COOPERATION: Unless otherwise noted, COMPANY NAME, its associates, or employees will be the exclusive photographer(s) at this event. CLIENT agrees that guests may not take photos of the assigned photographer(s) setups, poses or arrangements without prior permission of the photographer(s). The Parties agree that good faith cooperation and communication between them is important in obtaining a good result. COMPANY NAME recommends that CLIENT identify to the photographer(s) important individuals during the event and during associated portraits, if they wish to have them photographed. COMPANY NAME or the photographer(s) will not be held accountable for not photographing desired guests if there is no one to assist in identifying and gathering people for photographs. COMPANY NAME is not responsible if key individuals fail to appear or cooperate during photography, or for missed images due to details not revealed to COMPANY NAME or beyond the photographer(s) control. HOUSE RULES: CLIENT agrees and understands that the photographer(s) are limited by the guidelines of the ceremony official, or reception site/venue management and CLIENT agrees to accept the results that may occur from said guidelines. Negotiation with the officials for moderation of guidelines is solely the CLIENTs responsibility. COMPANY NAME will however offer technical recommendations concerning such guidelines. IMAGES and COPYRIGHTS: Photographs/images produced by COMPANY NAME; are protected by Federal Copyright Law (all rights reserved). The client upon signing this contract agrees to the assigning of Copyright to the COMPANY NAME. Upon final payment by CLIENT, CLIENT is granted limited license to use, print and display resulting photographs/images for personal use. Said images may not be altered, reproduced, traded or sold in any manner without prior written permission of COMPANY NAME. The CLIENT, who receives high-resolution digital files on a media storage device with printing rights, may make prints for personal use, but may not copy, or re-distribute the media device in any manner. Page 30 MODEL RELEASE. The CLIENT hereby grants to COMPANY NAME and successors, heirs, executors, administrators, assigns, attorneys, representatives and agents, the irrevocable and unrestricted right to use and publish photographs of the CLIENT or in which the CLIENT may be included, for editorial, trade, advertising or any other purpose and in any manner or medium; to alter the same without restriction; and to copyright the same. The CLIENT hereby releases COMPANY NAME and all associates representatives and assigns from any and all claims, actions, demands, suits, liabilities, damages, expenses, and obligations of any kind arising from, or related in any manner to COMPANY NAME use of said images. RETAINER & PAYMENT SCHEDULE: $500 is immediately upon signing this agreement. This is a NON- REFUNDABLE RETAINER to cover initial planning costs and date retention. Should CLIENT cancel or otherwise breach this Agreement, the NON-REFUNDABLE RETAINER shall be liquidated for damages to COMPANY NAME. The CLIENT shall also be responsible for payment of any materials/charges incurred up to the time of cancellation. Otherwise, the retainer shall be applied towards the Final Total, with the remainder of charges payable in full, two weeks prior to the date of the event. PAYMENT FAILURE (pre wedding agreed date): If full agreed amount is not paid by an agreed pre wedding date or two weeks prior to wedding, then the CLIENT shall forfeit all monies paid and cancellation of services by COMPANY NAME to photograph the wedding is immediate. COMPANY NAME shall not be held responsible for finding and providing another photographic service. PAYMENT FAILURE (post wedding agreed date): Where there is an approved and signed acceptance for payments past the wedding date and the CLIENT fails to meet their obligations no photographs/images will be supplied. The COMPANY NAME will issue a first written notice for the full amount of outstanding monies to the CLIENT after which if arrears are not paid in a single amount a 10% penalty shall immediately be applied with no longer than 5 days to pay from the date of the second written notice notifying of the new arrears balance of the original outstanding monies and the added penalty. Failure to pay the amount of the second notice after the 5 days period shall invoke a 10% penalty applied monthly on balance owing and rounded up to the nearest dollar and added to the balance. The penalty shall apply and be added to the total immediately on day 6. The date the 6th day falls on shall become the monthly due date to apply further monthly penalties. Page 31 LIMIT OF LIABILITY: In the unlikely event that the photographer(s) are injured, become too ill, or has an emergency that prevents them from photographing the event, COMPANY NAME will make every effort to secure a replacement photographer. If a suitable replacement is not found, the CLIENT agrees that the responsibility and liability of COMPANY NAME to the CLIENT is limited to the return of all payments received for the event, excluding the non-refundable retainer and any costs already incurred. COMPANY NAME takes the utmost care with respect to exposure, storage, and processing the photographs/images, but cannot and does not, guarantee that photographs/images of the event will not be lost, stolen, or destroyed for reasons within or beyond COMPANY NAME control. CLIENT agrees that COMPANY NAME or the photographer(s) full and complete responsibility and liability is limited to the return of all payments received for the event. CLIENT further agrees that the limit of liability for a partial loss of originals shall be a prorated amount of the exposures lost based on the estimated percentage of the total number of original images. LIMIT OF IMAGE LIABILITY: COMPANY NAME and staff will make every effort to gain all key and requested images but will not be held responsible for Location limiting factors, wedding party, guests, attendees, other professional services used, and technological failure on the day preventing images from being captured. CLIENT AND GUEST CONDUCT: COMPANY NAME and staff will make every effort to gain all key and requested images but will not be held responsible if conduct of wedding party (including those getting married), family, guests, vendors or other professional parties are such that COMPANY NAME staff are threatened, bullied, intimidated, assaulted either verbally/ physically or both, and or COMPANY NAME equipment being stolen or damaged due to bad conduct results in COMPANY NAME immediately and without reservation cancelling the contract and leaving the event. If such an action is necessary by the COMPANY NAME, no refunds will be offered or provided. COMPANY NAME reserves the right to bill the CLIENT for any and all costs associated resulting from the action taken. PAYMENT FAILURE shall be as per clause PAYMENT FAILURE (post wedding agreed date): COMPLETION SCHEDULE: Images shall be prepared for proof within 6 weeks of the event date. Final, edited JPE’s are expected within 8 weeks and uploaded to an online client website. Printed items and albums will require additional time. ALBUMS: COMPANY NAME staff chooses Album images based upon consultation with CLIENT. Once designed, the CLIENT for final approval must view the design. Minimal changes may be made at that time, but no changes may be made after final album approval. Changes in more than 10% of pages may incur additional charges. Page 32 IMAGES: Only images chosen by the COMPANY NAME staff as being of the highest quality and representing the spirit of the event will be offered to the CLIENT. Request for supply of all images and/or unedited images taken during the period of the contract will be denied. CATERING: If COMPANY NAME staff are required to stay more than 3 hours of the reception time, then they shall be catered for by the CLIENT with a meal and beverage (no alcohol is permitted to be consumed by COMPANY NAME staff whilst working). Note: not all images taken by the second photographer will be used in the final delivered images. Only those images enhancing and unique to the day will be selected and edited by the COMPANY NAME. Solicitation/advertising by them of their own business is strictly prohibited. Solicitation by guests for their service or copies of images is strictly prohibited. RAW IMAGES: The COMPANY NAME on the day capture in RAW format to have the maximum editing capabilities and provide the best edited images to represent your day. RAW Images will not be provided to the CLIENT, any associates, family members or externally engaged third party businesses. Page 42 We want your wedding photos to be flawless. The photographer will be unobtrusive and ready to capture your special moments. Here are some suggestions for you: • Avoid glossy lipstick and consider foundation or powder that will reduce the chance of having a shiny face. • Please note we have seen mineral makeup cause unflattering effects with flash. The minerals have elements in it reflecting light. • In order to allow for a private photo session of bride and groom, we will need at least half an hour of your time alone with the photographer. • bring flat shoes when doing formal photos at location shoot, it’s easier to move around and stops tired feet. • Be kind to ensure the presence of all the family members required at your wedding photos. Plan for about 5 minutes per photo for shots with fewer than 14 people, about 10 minutes per photo for shots with more than 14 people. • It always takes some time to gather people together and pose them so that everyone can be seen, etc. • Before the wedding day, inform the people you want in posed photos where and when they will be needed for pictures. • Pre-assign a family member or friend who knows the people to be in the pictures to round them up for the photos. Getting people where they need to be for the photos is by far the most time-consuming part of group shots. • Please, make sure the cutting of the cake occurs within the booking time.
