ProofStream_User_Guide.doc ProofStream v.7.x.x.x. 1 Introduction Proofstream provides a range of Web based collaborative proofing and workflow tools designed to handle each step of the proofing and file handling process. Proofstream is designed to meet the highest Design and Pre Press production demands by automating many of the manual tasks normally associated with getting ideas to print. From file submission and optimizing to final output, internally or the other side of the world: Proofstream delivers. ProofStream can run as a stand-alone application or in conjunction with all leading Workflow manufactures providing rendered data to the end user via a browser (the file you view is the file that is used to go to print). Proofstream can be integrated into the following workflows: Agfa Apogee, Screen Truflow, Harlequin based RIPs, CGS Oris Normaliser, ArtQuest, Barco/Esko Graphics and Fuji XMF. Nustream Graphic Inc. ProofStream_User_Guide.doc ProofStream v.7.x.x.x. 2 Describing the System 2.1 Key Features 2.1.1.1 Create With ProofStream giving clients access to any job is simple. Once a job is created, users with the correct privileges can upload their PDF or Native file remotely via any browser: No special software downloads are required, once uploaded the file is rendered either internally or by an existing workflow system, its contents are then displayed in the browser. Emails are automatically sent to users once the file is ready. 2.1.1.2 Share Once a user receives their email they can then log on via any browser and start correcting, annotating or approving their job (depending on their privileges allowed by the system administrator) by using the browser based Java Interface with Sticky Corrections and Notes. It couldn’t be simpler. Select Tool, Highlight and Type or Approve. All users in the chain are notified by email as to the status of jobs, 24 hours per day, 365 days per year. 2.1.1.3 Collaborate ProofStream works in real time therefore any user working on the same job is also updated in real time. If one user has rejected, placed a correction, requested or approved a job or page, then all the nominated users receive emails stating where and when this has occurred. Within the Java Interface corrections and notes are updated by a specific coloured drawing pin assigned by the User. 2.1.1.4 Compare ProofStream allows you to manage multiple versions of the same job quickly and easily. Simply click the \"Upload New Version\" function on the flatplan page to upload a new version. Users will be notified by email that a new version of the page has been posted. Users can then compare the new version with the old version, this shows where corrections have been requested and outlining where the changes have been made. 2.1.1.5 Approve Getting approval is a simple 3-click process. Logon, Select the job, Approve the Page or Job. All actions are logged and data-based so that when it comes to invoicing, there can be no disputes over cost or job content. 2.1.1.6 Process If 5 users have the right to approve a job, then only when all 5 users have approved the job is it released and allowed to proceed to the next stage of the production process. Once a page is approved it can be automatically sent to either your printer directly, to your imposition software or calibrated proof printer without the need to manually action any tasks. These tasks can be fully pre- configured so you can build a specific workflow to your individual client’s needs. ProofStream_User_Guide.doc ProofStream v.7.x.x.x. 3 Getting Started 3.1 First-time Users In order to connect to the application’s interface the user should open one of the supported Web Browsers and enter the address of the Application in the following format: http://YourDomain/ProofStream, where YourDomain is the Friendly URL for your server or its IP address. Alternatively, a link to the application along with you login name and password will be provided in an email from your system administrator. 3.2 Access Control At the login screen you will be asked to provide your user name and password (see Figure 3-1) These will be provided by your system administrator. When logging on for the first time you may be presented with the next screen (see Figure 3- 2): This screen allows you to change the password provided by your system administrator to a password of your choice. N.B. This screen will only appear if your system administrator has allowed you this priviledge. If the operation is successful you will see the message that the password was successfully changed and the Continue button will be enabled (see Figure 3-3). When you click the Continue button, the standard logon screen will be presented to you (see Figure 3-4) you must now enter your new password. If the operation is successful, the next time you login to the application you will need to provide your new password. 3.3 Installing the system In order to have full access to all of ProofStream’s features, you must install Adobe Flash Player, JAVA Virtual Machine and their plugins for your chosen Web Browser. Your browser should advise you of the need to install the additional software when its functionality is required by ProofStream. No other installation is required.Starting the system Open one of the supported Web Browsers and enter the address of the Application in the following format: http://YourDomain/ProofStream, where YourDomain is the Friendly URL for your server or its IP address. The Main Menu on top is static and appears on all the pages of the application (except the popup windows) The “Views” menu (on the left) and the “Actions Menu” (on the right) are present on certain pages only. They are both draggable and can be shown with icons and text (see Figure 4-1) icons only (see Figure 4-2) or they may be minimized (see Figure 4-3). Note: If for any reason you lose your floating menus, click on the Reset Menus Position button and they will be positioned at a predefined position (see Figure 4-4). Depending on the rights you have been assigned, you will see only your Jobs, or the list of Jobs from Collaboration Groups of which you are member. (see Figure 4.5) Figure 4-5 Show Active Jobs: Displays only active Jobs and hides the disabled Jobs. Show recent actions: You can see the last 3 interventions on the Jobs displayed. If recent actions are displayed, press the More button, opens a window with the Job history. Show Last Version: You can see only the last versions of the pages in the Jobs and respectively the pages counts. Show All Versions: You can see all versions. *Show Jobs Locked by you: You can only see Jobs locked by you or Jobs containing pages locked by you *This header is only visible when locked pages are present in the job. Show jobs from the last X days indicates the number of days since the last update to the Job and not from its creation. Note: This dropdown is visible only if you are member of more than one collaboration group Search Button: When clicked it shows you the search fields and allows you to search a particular job by specifying the Job Name, Job Code or Project Code. Note: The search is limited to the number shown in the Show jobs from the last X days. To extend the search choose a greater number. Job Status icons: Indication of the activity in a job: Figure 4-6 Jobs Group dropdown: Jobs Group can only be created by System Administrators, Collaboration Group Administrators or Correction Masters, jobs are grouped by affiliation, thereby simplifying the Jobs list for the user. This way when a user is a member of a Collaboration Group with job groups, he can assign a new job or edit a job so that it becomes part of a Job Group created by an administrator. This name will appear in the Jobs List. By default, the system assigns you a Job name which consists of the user name, date and time. The Job name is final and cannot be changed. Users may also create a new job utilising the existing structure of an existing job by selecting the Edit Job function. When choosing Edit Job a duplicate button appears alongside the existing job name. (see Figure 4-12) Figure 4-12 CAUTION: No spaces or characters other than a-z, 0-9, underscore, the point or the dash are allowed in the name of the Job (see Figure 4-13). This code is not used by the system. It facilitates the tracking of Jobs, this code can be changed at any time. Project Code: Enter a code or unique identification number to all Jobs of a project, according to the procedures of your company. Job Group: Choose here if your Job has been assigned to a group. Only administrators or managers have the right to create or edit groups of Jobs. If you have the right to create Jobs, you can assign them to a group of Jobs as appropriate. Job Priority: Sets the priority of processing of the Job against other Jobs handled by WP. When uploading files, the option to specify another workflow will be proposed. The available workflows are those assigned to the Collaboration Group(s) to which the logged user is afiliated. The workflows available in creating or editing a Job are those saved in the Collaboration Group. Figure 4-16 Total number of pages: Enter the total number of pages that the Job will contain, ProofStream can then provide consistent statistics on the pages of the Job in Flatplan view (Ex.: % of pages received, approved, etc., etc. ... ). Creation due date: Entering a date in the field will send an email to the group 24 hours prior to the selected date. A further email will be sent after the date advising that the due date has passed. Prepress due date: Entering a date in the field will send an email to the group 24 hours prior to the selected date. A further email will be sent after the date advising that the due date has passed. Production due date Entering a date in the field will send an email to the group 24 hours prior to the selected date. A further email will be sent after the date advising that the due date has passed. Delivery due date Entering a date in the field will send an email to the group 24 hours prior to the selected date. A further email will be sent after the date advising that the due date has passed. N.B. The Due date fields should be left at their defaults if their functionality is not required.. Job Sections: By dividing jobs into sections users can better manage and display them in the Flatplan view, exports, printing etc. A section may contain any number of pages and may be editorial or imposition based. Editorial sections would be most likely to contain the document pages for which users have responsibility. Imposition sections will contain pages as required by the final imposition layout. Predefined sections are determined by the system administrator using workflow building blocks Predefined sections can be assigned to individual or global Collaboration Groups Figure 4-17 Specific sections can be assigned to the job using the sections dialogue in the job ticket set up process. Users may assign the name of the section and the relevant page folios. (see Figure 4.18). ICC Profiles can be assigned to individual sections as required if the necessary licence is in place. Actions on approval: Allows you to execute automatically some actions when approving a file (export, virtual proofs, or renaming a file). If “Deliver only combined pages” is checked, the resulting pages are combined in a single multipage PDF file, before delivery. Note: If “Deliver only combined pages” is checked the number of pages in the job must be configured and the Combine will occur only when the configured number of pages is equal to the number of approved pages. Figure 4-19 Booklet Margins: The booklet enables you to view your final trimmed job. The Collaboration Group has pre-defined margins, in case your Job differs from that of the Collaboration Group, you can correct them when creating or editing the Job. N.B. The use of point or comma depends on the language used when you authenticated, and in French, you use a comma to separate decimal places, while in English you use the dot. In case of an error, you will see this error message: Figure 4-20 Figure 4-21 - Rename input files: If the incoming files do not meet the standards of your production, they can be renamed with a unique name followed by the page number, or using a naming convention defined by a separator (BOF = Beginning of File, EOF = End of File, a dot, a comma, semicolon, etc) then you specify a character offset if necessary and the number of Document Name: ProofStream_User_Guide.doc Page 30 of 83 © Nustream Graphic Inc. 2012. Figure 4-22 Page Number Source : Specifies whether the page number is taken from information contained in the submitted files or inferred from the name of these files (following a specific naming convention). For example, to set the name convention for the file ASF001.pdf, the following formula is used: From the beginning of the name, skip the first 3 characters and read the following 3 characters. Figure 4-23 Figure 4-24 Approval Users: Select the users whose approval of pages is necessary for this file. The available users are the members of the Collaboration Group for which the file is created. E-Mail Frequency: Determines the frequency of sending the defined email notifications for this group to the selected users. Users and User Groups to notify by E-Mail: The listed groups and users are those belonging to the selected Collaboration group. From this list, choose those who will approve the pages of the Job. These users also receive notifications of the treatment status and any errors. E-Mail Parameters: These parameters are determined when the collaboration group is created by your System Administrators or Collaboration Group Administrators. Those that warn of a change in the status of a custom page. Those which notify the arrival of a new page and emails which advise of a request for corrections or notes on a page. These E-Mails are grouped together and sent with a predefined E-Mail frequency (5, 15 or 30 minutes) to users that you choose here (see Figure 4-26). Pages List: In Pages List view, you have an overview of the job showing you the status of each page, you can see whether the latest version or all the versions of the pages, allowing you to modify the page numbers and when clicking on the name of a page to see it in Single Page view. The actions taken in Pages List view apply to the entire Job. For example, print notes / corrections in the action menu, prints all pages and any notes and / or corrections. Pages Thumbs: Page Thumbs view allows you to view at a glance the thumbnails of the pages, their status, to see the latest (or all) version(s) of the pages. The Actions menu allows you to manage the pages in groups by selecting them using the checkbox on the left of the thumbnail. (see the action menu in Pages Thumbs view). By clicking on a page thumbnail in Pages Thumbs view, we are transferred in a Page called Single Page view, where actions are applied only on the current page. Flatplan: The Flatplan view enables rapid visualization of the work. It allows you to see the Job by sections if they were specified when the job was created or modified. N.B. Clicking on a page in the Flatplan will launch the browser based corrections editor allowing users to place annotations and corrections Activity: The Activity page gives you a quick view of the current stage of the submitted files. Job History: The Job History allows you to see and search through the history of the Job via the user name, message or date and time of the message. SPOT Colors: Allows you to search, edit or add SPOT colors in the list of SPOT colors available in the system. Submit: To submit new pages, click the Submit button which brings up a Java applet that can upload multi-page documents, documents JDF attachments for this Job. You have also the possibility to choose a Standard HTML upload if JAVA Applets are not supported in your organization. Print: Allows the user to print to printers on the ProofStream server. Download Pages: Gives access to the virtual Proofs, Exports and Screens of the pages. Delete Pages: Allows users to deletes pages or the entire job.. Rename Pages: Allows you to rename files with a new name, they retain their folio and extensions. Approve & E-Mail: Enables the approval of all the pages and at the same time recall by email to partners that all pages have been approved. This view allows you to check various aspects of a page with access to zoom, correction editor (A full explanation of the features and functions of the Corrections Editor is given in Chapter 5), a list of notes, correction requests and custom page status. You may also navigate to other pages in the job by selecting the appropriate page in the page name drop down box. Alternatively you may use the arrow keys situated just below the page name drop-down box There are four tabs available on top of the preview of the page for viewing the page, the transaction log for this page, the Meta Data available in the original file of the page or the SPOT Colors used in the page if any. When selected it allows you to send a HTML link to the page, to one or more ProofStream users. You may also check “Send link to external user”, this allows you to send the HTML link to an somebody who does not have an account in ProofStream. They will be able to see and add notes for the page in question but access is limited to two sessions. The thumbnail image in the top left enables you to select a specific part of the page when the desired zoom is achieved The 4 arrow keys (Up, Left, Right and Bottom) move the zoomed image in the chosen direction. The Reset Zoom button puts the zoom back to its point of origin, 100% visible and oriented according to the origin of the page. You can also use the command button on the Macintosh or Control on the PC to bring the point of origin. The button will appear only if you have more than one version loaded for this page.
