While holding the (Fn) key, press the (Print Screen) Key to the upper right of the keyboard 6. A large + will appear on the screen 7. Holding down the left mouse, select the area you want to screenshot 8. After selecting the area, release the left mouse and the below window will open 9. The image can be opened in Greenshot image editor if it needs to be adjusted or it can be sent directly into a document, or even an outgoing email Zoom Downloading Zoom 1. Go to: https://zoom.us/download 2. Select Download in the Zoom Plugin for Microsoft Outlook option 3. Click the download link in lower left-hand corner of screen, select Open 4. You will be redirected to a pop-up window, select Open Zoom 3. There will be two Audio related prompts, generally we do not use these as we are already connected via phone. At that point the meeting requestor will generally request access to control your device, but you are also able to grant access by selecting the Remote Control icon, then Give Mouse/Keyboard Control to:, then the individual you are giving access to. Select the ellipsis (…) to the right-hand side of the *Start bar 3. The Start Widget Configuration screen will open 4. The personal settings will already be pre-populated, you can modify these if you would like 5. To add additional saved access widgets, select the drop-down next to Categories 6. Select 2 to create your first additional widget 7. In the new option section, type in the name of your widget (example Timesheets) 8. Add or remove options from Available Windows • Drag existing selection into the Available Windows to remove them, or from Available Windows to add them 4. Search in Job Title to find a similar posting to the job req you are creating • If nothing is displaying in Job Title, try changing it from Start With to Like 3. Locate the similar position and select the Copy Job requisition to the left 4. Select Copy 5. Review Job Details and modify if needed 9. Review and update the Summary if needed 13. Select Preview in the upper right-hand of the screen to review the job req prior to saving it, ensure it looks professional and is representative of Franklin 14. Select Save in the upper right-hand corner 15. The hiring manager’s supervisor will now receive an email to approve the job req. The req will not go live until the supervisor has completed this step. First and last name should have the first letter capitalized 2. Nickname should be first name, unless a nickname is known 3. Verify personal email is correct 8. Manager/Supervisor Training | Last Modified: 02/04/2020 Rehire Process Below is the process for rehiring an employee, 1. Email HR at [email protected] to ask if the employee is okay to rehire 2. HR will investigate and respond, letting the manger know if the employee is okay to rehire • No steps should be taken until this communication comes from HR 3. Manager should then let HR know if it is decided to move forward with the rehire • Include the effective date of rehire in the communication to HR 4. HR will reactivate the employee and notify the manager when complete 5. VERY IMPORTANT: Once the employee is reactivated the manager must go in and review the employee’s information. They will be active with all their previous employment information. The manager must then submit a change form to modify location, supervisors, role, compensation, etc... as necessary. This should be done as soon as manager is informed the employee is active in Kronos. Time & PTO Missed Time Entry The first step is to have the employee submit a missed punch request in Kronos: See below: Employee Missed Punch - submission to manager 1. From Show-Me, select My Time > Timesheet > Timesheet 2. Scroll all the way up to the top of the page 3. Enter the date and time that needs adjusted or added in 7. Enter a Comment • Example: Forgot to clock-in after returning from lunch yesterday 8. Timesheet approvals are due Mondays before payroll at 10:00am 1. Go to My Team > Time Off > All Open 2. Select the time frame you would like to review in the filter section in the upper right-hand of the screen • Can be set to current Pay Period for example if you are approving Time Off in preparation for approving Timesheets 3. Select Apply in bottom right-hand of screen after entering filtering parameters 4. Review time off requests 5. Search for All Timesheets in search bar 3. Time entries can be reviewed or modified from here (modifications should only occur on very rare instances, employee missed punches and PTO requests need to be submitted by the employee and approved by the manager through the submission and approval process). Complete the Date From and Date To fields, select Add Note: Delegation can only be made to other managers or supervisors, otherwise Kronos will return an error. Approving or Rejecting PTO Requests The first step is to have the employee submit a PTO request in Kronos: See below: Employee PTO Request - submission to manager 1. From Show-Me, select My Time > Time Off > Request 2. Select the drop-down arrow under Time Off Type in upper left-hand corner of screen 3. Locate the date that is being requested off on the calendar and click in it to highlight • Click the over arrow located at the top left of the calendar to navigate to the next month. 5. Scroll the screen all the way to the far-right 4. Locate the amount under the Hours Remaining column • This can be copied if locating for termination purposes Compensation Changes Hourly Compensation Change 1. Select the appropriate change reason in the Reason for Change drop-down 9. Select Continue 10. In the next Compensation screen, select the +Add option on the right-hand side 11. In the Add New Base Compensation pop-up window: • In the Effective From field, enter the date the change is to be effective from o Must coincide with the start of an hourly pay-period, always the Sunday before payday. o See next page for calendar example Franklin Building Supply | Human Resources Page | 42

Ensure that Salary amounts are always entered in the per pay period (PP) format, do not enter them in the annual format 3. In the Add New Base Compensation pop-up window: • In the Effective From field, enter the date the change is to be effective from o For Salary this should always be the 1st or the 16th, whichever is the next upcoming pay date. • Enter the Reason Code in the drop-down (mirror from the first reason code selection) • Amount $ = Biweekly amount (annual divided by 24 (always round up)) • Per = PP • Hours = 86:40 • Per = PP • PP in Year = 24 • Amount Earning Autopay = Regular Wages • Autopay Type = Both • Select Save 4. THERE IS A ONE WEEK HOLD ON HOURLY PAY THAT SALARY DOES NOT HAVE. CONTACT HR FOR ASSISTANCE. 1. Follow steps 1-10 in the Hourly Compensation Change section • The Effective From date must be the 1st or the 16th only • Change the Amount $ to the hourly rate • Change the first Per field to Hour • Change Hours to 2080:00 • Change the second Per field to Year • Change PP in Year to 26 • Change Amount Earning Autopay to Blank • Change Autopay Type to Amount • Select Save 6. Manager/Supervisor Training | Last Modified: 02/04/2020 Terminations NOTE: Terminations should always be dated the final day the employee physically worked at their location. If the employee no-shows for multiple days, review their timesheet and term them effective the last day they worked. Prior to entering term: ➢ Review timesheet and identify the last day worked (see Viewing Timesheets) ➢ Locate PTO hours if employee has been here longer than one (1) year (see Viewing Employee’s PTO Balance) o If employed less than one year any accrued PTO is forfeit and the amount entered is 0 ➢ If employee is not rehireable, please clearly outline the reason(s) why. This information will be used if the employee tries to return at a future date. 1. From the Show-Menu, type HR Action, select the second option OR 2. Select Team > HR> HR Actions 3. Enter the Effective From date (this first date should be today’s date), select Continue Request on the far right- hand side of the screen 7. Enter the termination date (this needs to be the last day the employee physically worked – obtained prior to starting the termination process) 8. Enter the PTO Balance in hours:minutes format (obtained prior to starting the termination process) 11. Check Re-Hireable if employee should be eligible for rehire. Notate the termination reason in detail (particularly if not noting as re-hireable). 12. Select Submit in the upper right-hand corner of the screen 13. Manager/Supervisor Training | Last Modified: 02/04/2020 Reports Running & Creating Reports 1. From the Show-Menu, select My Info > My Reports > My Saved Reports 2. The report options will display, select the category and sub-category that most closely matches what you are looking for (you can modify it later). 3. If accessing My Saved Reports, select Others’ Settings on the right-hand side of the screen to see reports created by other users that you have been given access to • If you cannot find the report you likely have not been granted access to it, reach out to the report creator to get access 4. Change the Saved As Name to Like to achieve better search results 5. Once the report is found, select the arrow to the far left of the report to open it 6.
