Entering Text in the Document Entering text refers to typing the text in the MS-Word document. To type the text do the following: Steps to Follow: Step-1 : Start MS-Word. Step-2 : Start to type text. Editing a Document Editing means to change or modify something in a document. Whenever you want to make some changes in a document, you may need to select the text before changing or editing the text. Selection of Text A selection of text is a block of text marked for further manipulation. To se- lect a text using the mouse, follow the following steps: Steps to Follow: Step-1 : Place the cursor to the left of the first character to be se- lected. Step-2 : Hold down the left mouse but- ton and drag it to a position Step-3 : Release the mouse button. Now you can notice in the picture, the selected text is in highlighted form . Selection Technique You can also select range of text with different mouse clicking tech- nique and using keys combination from the keyboard. Step-3 : When you insert new text, the ex- isting text moves to the right. Inserting a Line You can insert a blank line between two existing lines. To insert a blank line, follow the following steps: Steps to Follow: Step-1 : Place the cursor at the end of the line after which you want to insert a line. Step-2 : Press the ‘Enter’ key. You will notice next line gets shifted down and blank line is inserted. Creating a new document Steps to Follow: Step-1 : Click on 'File' button. Step-2 : Click the 'New'. Deleting You can easily delete a character, a word or block of text in the Mi- crosoft Word. Deleting a Character To delete a character follow the following steps: Steps to Follow: Step-1 : Place the cursor to left of the character to be deleted. Step-2 : Press the ‘Delete’ key. Or Step 1 : Place the cursor to the right of the character to be deleted. Step 2 : Press the ‘Backspace’ key. Deleting a Word To delete a word, follow the following steps: Steps to Follow: Step-1 : Place the cursor to the left of the word to be deleted. Step-2 : Press and hold the ‘Ctrl’ key. Step-3 : Press ‘Delete’ key. Or Step-1 : Place the cursor to the right of the word to be deleted. Step-2 : Press and hold the Ctrl key. Step-3 : Press ‘Backspace’ key. Steps to Follow: Step 1 : Select the text to be deleted. Step 2 : Press the ‘Delete’ key or the ‘Backspace’ key. Undo Command The ‘Undo’ command is used to reverse the last command. To reverse the last command, select the ‘Undo’ icon from the ‘Quick Access Tool bar’ menu. Redo command The ‘Redo’ or ‘Repeat’ com- mand is used to reverse the ‘Undo’ action. Copying and Pasting Text The ‘Copy and Paste’ commands of MS-Word can be used to copy text from one place of a document and paste it to another place. The ‘Copy’ command creates a duplicate of the selected text, leaving the original text unchanged. The ‘Paste’ command pastes the copied text at the position where the current cursor position. To copy the text, follow the following steps: Steps to Follow: Step-1 : Select the text Step-2 : Select the 'Copy' option form the 'Clipboard' group of 'Home' tab. Or Right mouse click, select 'Copy' option form the context menu. Step-3 : Place the cursor in new place where you want to paste it. Step-4 : Click the 'Paste' option from the 'Clipboard' group of 'Home' tab. Or Right mouse click, select 'Paste' option form the context menu. You can use a lot of parameters to format your document such as font’s styles, size and color,line spacing, paragraph spacing, high lighter to high- light important text of your document, alignment of text, etc. Character/Font formatting Character formatting refers to displaying the selected text in an at- tractive way. Character formatting is also known as the font format- ting Character formatting includes text properties such as Bold, Ital- ic, Underline, Font, Font size, Font color etc. Steps to Follow: Step-1 : Type the text Step-2 : Select the text to be formatted. Step-3 : Click flyer button of 'Font' group at 'Home' tab. Yo get the 'Font' dialog box. Highlighting the Text The text is highlighted to draw the attention towards it. Highlighted text will have a colored box around it. To highlight important text, fol- low the following steps: Steps to Follow: Step-1: Select the text to be highlighted. Step-2: On 'Home' tab. Find the 'Font' group. Click the high-lighter drop down button You get different option of color to highlight the text. Step-3: Select the desired color option Now the selected text gets highlighted. Paragraph formatting: Paragraph formatting is an change of the appearance of text that af- fects the complete paragraph. It includes alignment of text, line spac- ing, paragraph spacing, indenting, bullet and numbering, border and Shading etc. Alignment of Text Alignment of text is a ar- rangement of text between the margins of the page. It includes left alignment, right alignment,center alignment and justified. To align the text, follow the following steps: Steps to Follow: Step-1 : Type Text. Step-2 : Select Text. Step-3 : Click the desired alignment from the 'Paragraph' group of 'Home' tab from the Ribbon. Indent and Spacing Indent or indentation is the increase or decrease of space between the left and right margin of a paragraph. In MS-Word, an indent for the first line of text can be created by mov- ing the cursor to the front of the line and pressing the tab key on the keyboard. Insert Picture Adding pictures in document can be a great way to illustrate important information and improve the overall appearance of your document. Steps to Follow: Step-1 : Place the insertion point where the im- age appear. Step-2 : Select the Insert tab on the Ribbon, then click the Pictures command. Step-3 : The Insert Picture dialog box will appear. Navigate to the folder where your image is located, then select the image and click Insert. Step-4 : The image will appear in the document. Wrapping text around an image: When you insert a picture from a file, you may notice that it's difficult to move it exact- ly where you want. This is because the text wrapping for the image is set to In Line with Text. You'll need to change the text wrap- ping setting if you want to move the image freely, or if you just want the text to wrap around the image in a more natural way. Step-1 : Select the image you want to wrap text around. The Format tab will appear on the right side of the Ribbon. Step-2 : On the Format tab, click the Wrap Page Editing & Formatting in MS-Word 70

Just click and drag it to the desired loca- tion. As you move it, alignment guides will appear to help you align the image on the page. INTRODUCTION Presentation is the method of showing and explaining the content of a topic to an audience or learner. Using Blank Presentation: Step-1 : Select the File tab to go to Backstage view. Step-2 : Select New on the left side of the window, then click Blank Presentation. Step-3 : A new blank presentation will appear. USING THEME A theme is a predefined combination of colors, fonts, and effects that can be applied to your presentation. PowerPoint includes built-in themes that allow you to easily create professional-looking presenta- tions without spending a lot of time for formatting: Step-1 : Select the File tab to go to Backstage view. Step-2 : Select New on the left side of the window, You can get a lot of theme in the right pane, then click desired Theme. Here it is selected the 'Quotable' Theme. Step-3 : A dialog box appears with choices for background color. Step-4 : Select the desired background, then click the Create but- ton. Step-5 : A new presentation will appear. Change Themes If you have already created a presentation using the 'Blank Presenta- tion', or other any theme or template option, you can still change the theme of presentation. All themes included in PowerPoint are located in the Themes group on the Design tab. Themes can be applied or changed at any time. To do this, follow the following steps: Steps to Follow: Step-1 : Select the Design tab on the Rib- bon, then locate the Themes group. Each image rep- resents a theme. Step-2 : Click the More drop- down arrow to see all available themes. Step-3 : Select the desired theme. Step-4 : Right mouse click the selected theme to view the different ways of applying the theme else the theme will applied to the entire presentation. Trick & TIP • Once you've applied a theme, you can also select a variant for that theme from the Variants group. Variants use different theme colors while preserv- ing a theme's overall look. USING A TEMPLATE A template is a theme plus some content for a specific purpose, such as a educational presentation, a business plan, or a classroom les- son. So, a template has design elements that work together colors, fonts, backgrounds, effects and regular content. Steps to Follow: Step-1 : Select the File tab to go to Backstage view. Step-2 : Select New on the left side of the window Step-3 : You can select any one of suggested Search words to find the online templates or use the search bar. Here, it is se- lected Education option. Step-4 : Select the required Template. CREATING PRESENTATION A presentation is consisted with a sequence of slides. When you start new presentation, it displays the Title Slides in the slide pane. You can type your presentation title and sub title on this slide. Steps to Follow: Step-1 : Click and type the Title of your presen- tation in the 'Click to add Title' place holder. Step-2 : Click and type a 'Subtitle' in the 'Click to add subtitle' place holder. INSERTING NEW SLIDE After completing your Title Slide, You can insert new slides, To insert the new slide, do the following: Steps to Follow: Step-1 : Click the 'Home' tab. layout appears in the 'Slide Pane' of the PowerPoint Win- dow. or Right click the slide in the 'Slide Pane' and select 'New Slide' from the Shortcut menu. ORGANIZING SLIDES PowerPoint presentations can contain as many slides as you need. The Slide Navigation pane on the left side of the screen makes it easy to organize your slides. From there, you can duplicate, rear- range, and delete slides in your presentation. Duplicate slides: If you want to copy and paste a slide quickly, you can duplicate it. To duplicate slides, do the following: Steps to Follow: Step-1 : Select the slide you want to duplicate. Step-2 : Right-click the mouse, and choose Duplicate Slide from the menu that appears. Steps to follow: Step-1 : Select the Slide to delete Step-2 : Click on the ‘Home’ tab. Step-3 : Click on ‘Delete’, option from ‘Slides’ group. or Use 'Del' key from the keyboard. or Right click your mouse on the slide, you get the shortcut context menu. Click the 'Delete' option. Rearrange Slide Re-arrange the slides in slide pane is known as the organizing the slide. Some time, you need to change the place of slide, in such a case you have to follow the following steps. Steps to Follow: Step-1 : Select the slide in the Slide Pane. Step-2 : Drag to the position you want. Step-3 : Release the mouse button. Step-4 : Now, you look, the slide position is changed. INSERTING TEXT Text can be inserted into both placeholders and text boxes. Inserting text boxes allows you to add to the slide layout. Steps to Follow: Step-1 : From the Insert tab, select the Text Box command. Step-2 : Change the mouse pointer as like sword. Step-3 : Click and drag to draw the text box on the slide. Step-4 : The text box will appear. To add text, simply click the text box and begin typing. FORMATTING TEXT Formatting refers to change the appearance of the text in the slide. Basically, Text formatting include two types: Character Formatting and Paragraph Formatting which we learned in previous chapter MS- Word. Lets's Just review them: Character Formatting To apply the character formatting to the text, follow the following steps: Steps to follow: Step-1 : Select the text to be formatted. Step-2 : From the 'Home' tab find the 'Font' group. Paragraph Formatting To apply the paragraph formatting, follow the following steps: Steps to follow: Step-1 : Select the text to be formatted. Step-2 : From the 'Home' tab find the 'Paragraph' group. You can apply the following char- acter formatting: Alignment, Indentation, Spacing, Bullet and Number- ing list. CREATING BULLET AND NUMBER LIST A bullet is an asterisk, black dot, circle, or other mark that is placed before the text. It makes your slides easy for the audience to read. By default, a black dot bullet is placed at the beginning of each para- graph automatically in Powerpoint. If you want to modify, do the following: Steps to Follow Step-1 : Select an existing list you want to format. Step-2 : On the Home tab, click the Bullets drop-down arrow. Number List Numbered lists are usually used when you need to put the list under a specif- ic order, ascending or descending. It is called ordered list. Steps to Follow Step-1 : Select text to create list. Step-2 : On the Home tab, click the Numbering drop-down ar- row. Step-3 : Select the desired numbering option from the menu. To change the starting number: By default, numbered lists count from the number 1. However, some- times you may want to start counting from a different number, like if the list is a continuation from a previous slide. Steps to Follow Step-1 : Select an existing numbered list. Step-2 : On the Home tab, click the Numbering drop-down arrow. Step-3 : Select Bullets and Numbering from the menu that appears. Step-4 : A dialog box will ap- pear.
